  1. I had a situation recently where we increased an employees salary but they wanted to reduce their working hours by 80%. The salary is based on 1 FTE. There is no way to actually do this in Xero Payroll. If I put the FTE salary in (to recognise the actual approved salary increase) and set working hours to 8 hours a day 4 days per week the 1 FTE salary is paid out in full over the year. But it should only be 80% of that. So I had to enter 80% of FTE and reduce the actual work hours…

  2. The Trust - Annual Accounts Xero SPFR template for trusts > Notes to the Financial Statements > 1. Reporting Entity states "Legal or Trading Name is a trust established by a trust deed dated [insert field: trust deed date], and subject to the Trustees Act 1956." this is incorrect as the Trusts Act 2019 passed on 30 July 2019 has replaced the Trustee Act 1956. Xero have advised "While the team is aware the templates may need updating given current focus being on the expiration of old reports they do not have the capacity to give it a priority at…

  4. Set the calendar to Sunday to Saturday for everything, including Invoices. - Xero recently changed the Calendar for only the invoices. The week day now starts on Monday. I was informed this change was intentional and is currently not going to be changed back. Credit Notes, Recurring payments, quotes, bills, reports, literally everything else has the week starting on Sunday. This is very cumbersome for our business. My staff are constantly putting the wrong date on invoices. We operate at very high speeds because we have a lot of customers come in at a time, and a lot to…

  5. It would be great to see an option of being able to highlight in red or yellow a particular line on your sales invoice for the client to specifically take note of, because at the moment when I add a note for clients to see I write it in capitals but it still gets ignored. Whereas if it was highlighted they may take more notice of it.

  7. Show the email subject line in Xero files.

It's simple enough to forward emails with invoices to my xero mailbox, but I don't have control over the filename. It would be great if Xero can show the subject line. That way I could change the subject line when I forward the email. It would look like a note on the invoice in Xero Files.

Hi everyone, thanks for sharing and supporting this idea. The file name shown in Xero Files is taken from the name on the attachments. As a workaround these could be renamed before the emails are forwarded to Xero or renamed from within Xero files.

  8. There are so many disadvantages to the new invoicing. All my points have been covered in previous ideas so have voted for them. This note is to add my frustrations to everyone else's on this supposed "faster" way to invoice.

I have even had a customer say the GST was wrong and had to revert to the classic invoicing to fix then return to the new version.

This whole new version is not my favourite and I will be recommended to my clients to consider other software if these Xero "improvements" continue to disappoint. There are other improvements that disappoint…

Thank you for your feedback, Kathy - I've made sure your feedback here has also been shared with our product team and thank you for also adding your voice and votes to specific ideas across the forums here.

We will move the thread here itself to not planned, however we will continue to iterate new invoicing to keep improving the experience for all our customers.

  9. At present it is impossible to link a payroll item to an Asset Account in GL. This is a limitation that is wrong and should be easy to fix. It is wrong because in some cases the wages are capitalised (for instance when the resources are used in full or in part to construct capital assets). Sure, it is possible to post a journal to move costs from P&L to a Balance Sheet account but it is cumbersome and error prone. I note, a majority of competing products do not have this limitation.

Hi community, while we appreciate you sharing in the idea here we don't have any plans for developing this capability in the global Pay run product. Instead, we'd recommend using a manual journal to record this.

  10. Our company's invoicing procedure comprises three steps:
    (1) invoice generation by our own custom software and also pushed to Xero through the Xero API,
    (2) direct debit payments manually added and processed via GoCardless (on their own website, not Xero's integration) for selected invoices, and
    (3) invoice reconciliation in Xero. This process is jeopardized when any alterations are made to the invoices in any of the systems (our database, Xero, or GoCardless), causing inconsistencies and the need for corrective credit notes.

We primarily use our custom software for invoice generation and management (90%) and occasionally create manual invoices in…

  11. Locking Invoices and Bills so they cannot be deleted once Finalised.

We often see clients raise invoices, or bills in their Xero file, and then later delete them if a change is required, and then raise another invoice or bill.
From an accounting perspective, this is a huge sin.
Once an invoice or bill has been finalised, the only way it should be altered is by raising either a debit or credit note against it. Xero allows a user to raise debit or credit notes, but the average non-accountant does not understand what these are, so they do the…

  12. ABILITY TO AUTOMATICALLY CHANGE ITEM PRICE ON A SPECIFIC DATE

Obviously item prices vary and when we give customers notice of a price change, sometimes this is months in advance. Now I know I could add a note to the item, but seriously, this would mean checking the notes for every item which would become very tiresome + time consuming.
I would like the ability to be able to go into a line item and be able to change the price of the item on a specific date, so that it when that date comes the item price has automatically…

  13. Current invoice template (as of 26 July 2023) does not allow to automatically populate the customer's VAT number nor make reference to reverse charge, as is required by Council Directive 2006/112/EC of 28 November 2006 on the common system of value added tax, Section 4 "Content of invoices", Article 226, paragraphs (4) and (11).

Current template means we need to remember to fit in those details in the services description since there is no way to add a note on the invoice itself.

    Please,
    (1) when a tax rate EU/0% is selected, add the customer's EU VAT number automatically or trigger…

  14. Expenses, the Categories field should be wide enough to display the text on the website. Note that the mobile app works fine.
Or there should be the ability to nest categories.
As a web developer, widening the Categories field should be trivial. Apparently not according to Xero support....

  15. Ability : To have a function within contact to block raising purchase orders to an individual supplier.

Purpose: To ensure no future orders are placed with suppliers, who we may have had issues with previously. Easier to have a function that would automatically flag this, as opposed to placing note within contact and relying on all to find this information.

  16. Please enable the Microsoft Word function SKIPIF for use in docx invoice templates. Currently, we can use the "IF" function in customized invoices to skip item records according to its ItemCode, but as noted by another user in the Microsoft Office discussion, a blank row will still appear for records that meet the filter test. Read a detailed discussion of the issue here: https://answers.microsoft.com/en-us/msoffice/forum/all/microsoft-word-mergefield-code-to-skip-certain/3414ecba-e0c9-46aa-90bb-b5a205d25f5a?page=1

  17. Kelly Munro shut down discussion on an idea I suggested, because she was under the mistaken impression that she had resolved the issue, which she had not. I suggested that it would be useful to be able to allocate payment of purchase invoice against overpayments and credits. While what Kelly suggested was correct - that this is possible to do when an invoice is first raised, it is only possible at this stage. It is not possible later. I have a client whose main supplier operates a very complicated system of prepayment for orders. This results in a large number…

Hi Heather, while maybe slightly brash do appreciate the feedback.

With your added detail we're happy to have the idea in the forums here that we can get a feel for the appetite on - You're always welcome to reply to an update I've shared on an idea too and we can review this.

Please understand it's not my intention to inhibit customer feedback, but will do our best to highlight and share places where features and capability in the product do exist but may just be unknown by users.

  19. Document reference number could be modified & next number is shown is recommended.
    Eg.
    - Invoice number could be customised into "INV yymm-***", same goes to payment, receipt, credit note so on.
    - to shown next number under the reference number.

  20. Turnover per XERO and VAT declared Net Sales should be ideally Equal ,however often may not match and therefore need reconciling-which is important to understand the difference from both the YE accounts and HMRC point of view .

There should be a report in XERO which can facilitate this reconciliation rather than use spreadsheets -which is time consuming when the information is already existing in XERO

One of difference arising is -"The Date" invoice created and approved -are different and will report in different periods of the VAT return and Xero Sales Nominal Account

Example -Invoice created and left as…
