  1. Show the email subject line in Xero files.

It's simple enough to forward emails with invoices to my xero mailbox, but I don't have control over the filename. It would be great if Xero can show the subject line. That way I could change the subject line when I forward the email. It would look like a note on the invoice in Xero Files.

Hi everyone, thanks for sharing and supporting this idea. The file name shown in Xero Files is taken from the name on the attachments. As a workaround these could be renamed before the emails are forwarded to Xero or renamed from within Xero files.

  2. At present it is impossible to link a payroll item to an Asset Account in GL. This is a limitation that is wrong and should be easy to fix. It is wrong because in some cases the wages are capitalised (for instance when the resources are used in full or in part to construct capital assets). Sure, it is possible to post a journal to move costs from P&L to a Balance Sheet account but it is cumbersome and error prone. I note, a majority of competing products do not have this limitation.

Hi community, while we appreciate you sharing in the idea here we don't have any plans for developing this capability in the global Pay run product. Instead, we'd recommend using a manual journal to record this.

  3. Our company's invoicing procedure comprises three steps:
    (1) invoice generation by our own custom software and also pushed to Xero through the Xero API,
    (2) direct debit payments manually added and processed via GoCardless (on their own website, not Xero's integration) for selected invoices, and
    (3) invoice reconciliation in Xero. This process is jeopardized when any alterations are made to the invoices in any of the systems (our database, Xero, or GoCardless), causing inconsistencies and the need for corrective credit notes.

We primarily use our custom software for invoice generation and management (90%) and occasionally create manual invoices in…

  4. There are so many disadvantages to the new invoicing. All my points have been covered in previous ideas so have voted for them. This note is to add my frustrations to everyone else's on this supposed "faster" way to invoice.

I have even had a customer say the GST was wrong and had to revert to the classic invoicing to fix then return to the new version.

This whole new version is not my favourite and I will be recommended to my clients to consider other software if these Xero "improvements" continue to disappoint. There are other improvements that disappoint…

Thank you for your feedback, Kathy - I've made sure your feedback here has also been shared with our product team and thank you for also adding your voice and votes to specific ideas across the forums here.

We will move the thread here itself to not planned, however we will continue to iterate new invoicing to keep improving the experience for all our customers.

  5. ABILITY TO AUTOMATICALLY CHANGE ITEM PRICE ON A SPECIFIC DATE

Obviously item prices vary and when we give customers notice of a price change, sometimes this is months in advance. Now I know I could add a note to the item, but seriously, this would mean checking the notes for every item which would become very tiresome + time consuming.
I would like the ability to be able to go into a line item and be able to change the price of the item on a specific date, so that it when that date comes the item price has automatically…

  6. It would be great to see an option of being able to highlight in red or yellow a particular line on your sales invoice for the client to specifically take note of, because at the moment when I add a note for clients to see I write it in capitals but it still gets ignored. Whereas if it was highlighted they may take more notice of it.

  8. Current invoice template (as of 26 July 2023) does not allow to automatically populate the customer's VAT number nor make reference to reverse charge, as is required by Council Directive 2006/112/EC of 28 November 2006 on the common system of value added tax, Section 4 "Content of invoices", Article 226, paragraphs (4) and (11).

Current template means we need to remember to fit in those details in the services description since there is no way to add a note on the invoice itself.

    Please,
    (1) when a tax rate EU/0% is selected, add the customer's EU VAT number automatically or trigger…

  9. Locking Invoices and Bills so they cannot be deleted once Finalised.

We often see clients raise invoices, or bills in their Xero file, and then later delete them if a change is required, and then raise another invoice or bill.
From an accounting perspective, this is a huge sin.
Once an invoice or bill has been finalised, the only way it should be altered is by raising either a debit or credit note against it. Xero allows a user to raise debit or credit notes, but the average non-accountant does not understand what these are, so they do the…

  10. Expenses, the Categories field should be wide enough to display the text on the website. Note that the mobile app works fine.
Or there should be the ability to nest categories.
As a web developer, widening the Categories field should be trivial. Apparently not according to Xero support....

  11. Ability : To have a function within contact to block raising purchase orders to an individual supplier.

Purpose: To ensure no future orders are placed with suppliers, who we may have had issues with previously. Easier to have a function that would automatically flag this, as opposed to placing note within contact and relying on all to find this information.

  12. Please enable the Microsoft Word function SKIPIF for use in docx invoice templates. Currently, we can use the "IF" function in customized invoices to skip item records according to its ItemCode, but as noted by another user in the Microsoft Office discussion, a blank row will still appear for records that meet the filter test. Read a detailed discussion of the issue here: https://answers.microsoft.com/en-us/msoffice/forum/all/microsoft-word-mergefield-code-to-skip-certain/3414ecba-e0c9-46aa-90bb-b5a205d25f5a?page=1

  13. Kelly Munro shut down discussion on an idea I suggested, because she was under the mistaken impression that she had resolved the issue, which she had not. I suggested that it would be useful to be able to allocate payment of purchase invoice against overpayments and credits. While what Kelly suggested was correct - that this is possible to do when an invoice is first raised, it is only possible at this stage. It is not possible later. I have a client whose main supplier operates a very complicated system of prepayment for orders. This results in a large number…

Hi Heather, while maybe slightly brash do appreciate the feedback.

With your added detail we're happy to have the idea in the forums here that we can get a feel for the appetite on - You're always welcome to reply to an update I've shared on an idea too and we can review this.

Please understand it's not my intention to inhibit customer feedback, but will do our best to highlight and share places where features and capability in the product do exist but may just be unknown by users.

  14. I think it would be great to have a screen to manage notifications settings.
This could present a long list of notifications for different things (e.g. for me the important ones are activity statement due soon, STP filing overdue).
For each item, the user could select if they want it active, how they want to be notified (e.g. header line, or in a widget), and whether to be emailed (very helpful for people like me who only log in once or twice a week and do a days work).

As a side note, the first of my important ones was…

  16. Turnover per XERO and VAT declared Net Sales should be ideally Equal ,however often may not match and therefore need reconciling-which is important to understand the difference from both the YE accounts and HMRC point of view .

There should be a report in XERO which can facilitate this reconciliation rather than use spreadsheets -which is time consuming when the information is already existing in XERO

One of difference arising is -"The Date" invoice created and approved -are different and will report in different periods of the VAT return and Xero Sales Nominal Account

Example -Invoice created and left as…

  17. Fix the Bill Total field to allow regular number input ability.

Specifically, allow the ability to enter .01 instead of having to enter 0.01 which is very unnatural. So, disable/remove the logic that requires the Bill Total entered to start with a number.

    Use Case
    - We get numerous invoices with a $0.01 total where the product may be an allocation or new line incentive. I constantly get a Bill Total mismatch because I enter the Bill Total as .01 which results in $1.00 bill total instead of the expected $0.01 bill total.

Secondary to this primary fix - Allow…

  18. Document reference number could be modified & next number is shown is recommended.
    Eg.
    - Invoice number could be customised into "INV yymm-***", same goes to payment, receipt, credit note so on.
    - to shown next number under the reference number.

  19. We have multiple sites within our payroll company. Each site is in a different physical location. We have set each location up as a "Group" Each employee is set to a group. This way, we can sort and report on each location within our payroll entity.
However, we need the payslip to show the address of the location, rather than the address which is showing in the organisation settings. I understand that we can set up a different physical address, but is it possible to have a separate address for each group or location within this organisation?
    We need this…

  20. It would also be helpful if there was something that would show whether an individual transaction has already been included in a VAT return submitted and show which VAT return it was included in. For example in the account transaction report there could be a column that shows which VAT return the transaction was included in. In the individual transaction there could be a note below showing which VAT return it was included in.
