Reporting - Finalise year and produce Late Changes report
Finalise Year End
Can we have an option (just like finalising the GST returns) where we can finalise the year, and then later on print a report with any changes made since? The lock dates are not the solution, because they can be unlocked and relocked and there is no detail of changes made.
If we could "finalise" a year when the client has signed off accounts or tax returns, then if anyone inadvertently edits or changes coding we can see that.4 votes -
Purchase orders: Ability to add CIS labour & materials
Allocate purchase orders to CIS labour & CIS material account codes. Obviously these shouldn't be included in the CIS report until the purchase order is changed into a bill.

NZ Payroll - Opening leave balance negative
When transferring from another payroll system, Xero has not accounted for the user case of an employee starting with a negative entitlement.
A lot of businesses allow employees to use annual leave as it's accrued and do not always enforce the 12 month stand-down as per legislation. As a user who has just entered 12 months of payroll information for a transferred employee, I should not then have to calculate what the balance now is.
As per other requests, there should be three fields which you should be able to enter when setting up an employee which is their current balances of accrued, entitled and total balance. A negative should never be required.
The way it is set out is not intuitive at all or self-explanatory.

Xero Expense report - Ability to add column for user that created the expense
To produce a report that shows all expenses entered via the expense claim feature for a specific period, which also shows who entered the expenses and details of the claims?
This is a useful feature required for comparing budgets and forecasting future cash flow expectations.

Bank Feed - Don't remove duplicate statement lines
Xero should auto import all the transactions from the bank feeds even if it appears to be double entries of the same transaction. For example Toll fees with the same amount on the same day are only imported once into xero although all the transactions are on the bank's online profile.

Organisation Settings - Pull 'Organisation type' from Companies House API
When setting up a new Xero organisation, in Organisation Settings we are being asked for organisation type and registration number. it should be possible, especially for Limited Companies, to pull their details which are stored on statutory register via the API by reference to registration number.

Quotes - Resize summary window
We are a professional services company and use the quote feature to outline our objectives, scope of work and deliverables for a potential new project. As such, we use the summary window to enter all this information.
It would be very useful for us to be able to resize the summary window to view a larger portion of the text. Some of our descriptions can run to several paragraphs and as such, the ability to review more text would be incredibly useful.
I hope this can be implemented with some simple coding.
Thank you.

Notice of Electronic Funds Transfer (EFT)
Option to generate a Notice of Electronic Funds document to send to suppliers requiring immediate proof of payment. Said Notice to include:
remittance date
name/contact details of remitting party
amount
reference / description for payment being made
the bank details of both the remitting and beneficiary banksNot an original idea but I received a notice from a customer. Today I was asked to submit one to a supplier as proof of payment so they could ship out an urgent delivery but I could not provide one. See sample document attached for reference.
4 votesHi Nina, this is something I'd recommend engaging your financial institution or bank about. While you can set up and create a payment in Xero, the confirmation of funds transfer would come at the point the money is paid from your actual bank account to the suppliers bank account.
If your suggestion however is from the Sales side where you'd like to request your own customers provide proof of payment for invoices you send to them perhaps this could be worked into your organisations branding as part of the payment terms?

Bills - Apply contact defaults when sending bills to Xero (e-invoice, 3rd party etc.)
Populate Contact Purchase Defaults when Bills arrive as e-invoice or from 3rd party app.
As a bookkeeper I was so looking forward to promoting and using e-invoicing, but unfortunately it's not going to work for me (and many of my clients). This is because we often have invoices with A LOT of line items which are brought into Xero just as a total with one line only. However, if we receive an e-invoice all the individual lines would come into Xero and then we are faced with having to click through every individual line to populate the default purchase GL code.
So pretty much e-invoicing is off the agenda and I cannot promote it until this is changed.

16 votesThanks for your support here, everyone. Appreciate there is some interest in this from people emailing bills to their organisation, or importing via a 3rd party application.
We wanted to share a recent change we've made for those using eInvoicing - invoices received via Xero's eInvoicing will apply Contact defaults (such as a set default 'Purchase account) when creating the invoice in Xero. 😁

Credit Note - Create payment file for cash refunds
There should be an option when refunding money to customers, that we can export the file for internet banking processing?

User Roles - Limit access to view transactions for specific tracking categories
It would be really useful to be able to give users (dept. managers) access to Xero, but purely for their department, so they can view real time reports (profit & loss etc) of only their department, without having access to the company as a whole, or other people's departments.

Invoicing - Don't show Pay Now on invoices for Direct Debit customers
'Pay Now' shouldn't be displayed on invoices where the customer already has a DD in place as it is confusing, could lead to duplicate payments and cause them to contact us to query whether there is a problem with their DD when they don't need to. Xero say this is because xero can't differentiate customers who already have a DD in place, but they can - there is a flag and this is visible in settings and therefore must be available to developers.

Bank reconciliation - View date last manually reconciled
Is there an option to show "Manual Bank Reconciliation Date" rather than Reconciled Date? The reconciled date is system generated and it does not mean much if the balances are out to start with. This would allow the user to know when bank rec was actually performed by a human.
4 votesHi Jo-Ann - when you say you'd like to view the date the bank account was manually reconciled would this be on the org's Dashboard?
As a means of viewing this information at present - you could run the History & notes and view only Bank transaction items where you'll see the name of the user and date that the last transaction in the org was reconciled. 🙂

Bills - Auto-populate fields when Files is used to create the bill
A number of bills are received via supplier portals rather than by email. The simplest entry point into Xero is therefore to drag and drop the pdf into the "Files" area of Xero and then create the bill. However using this method doesn't auto-populate any of the information for the draft bill like when using the email to Xero method.
I'm sure all the functionality is there for this suggestion : It would be great if files could be dropped into a specific "Bills" folder from which then Xero a) automatically created draft bills and b) auto-populated fields on these draft bills where possible.

27 votesHi everyone, we're pleased to share that we have some work underway atm that will provide what you'd like to see here. Right now, along with work for managing duplicate bills, and providing a quick view of bills we're developing a bills upload feature where you'll be able to upload or drag & drop a file from your device to create a bill in your Xero organisation. You can read more of the detail on our blog and I'll round back to share once this is released for you all.

Files - Separate locations for contact related documents vs financial related documents
Where can I attach contact related documents vs financial related documents, as it appears there is only one document file upload location now. When there were options to keep these separate previously. It is all very well making updates and changes to the system in order for things to be quicker and more efficient but when this means, loosing previously used facilities, this is very frustrating. Keeping these different related documents apart has been very important previously and so now these all being stored together will mean things our end take longer and are less efficient for the end user. Returning the option to attach contact related documents in the contact tab would be very useful and very much appreciated. thanks

Contacts - Secure method of requesting contact bank account details
Have an "Ask" type of function within the business subscription to securely collect new Customer and new Supplier information when creating a new Contact. Particularly keen to be able to collect Bank Account details securely without needing to risk email communication of same. This feature would also ensure better accuracy of contact details and spelling of names.
