Login history Changed to only 60 days? Cannot sort by User? Why?
I used to be able to sort by login history to see who has been working on which client account. This feature no longer is available it seems. Also, there used to be the ability to see a year's worth of logins, now it's only a few months. Why the change? This doesn't help when we are doing a year's worth of book-keeping for previous periods and I would like the functionality back to what we had in Classic. When using something New, please add and not remove well used and helpful reports and options. Thank you.
BTW, why did you change the time frame from over 1 year to now 60 days? That's really not helpful :(

Quotes - Move quotes to an expired status after expiry date
At the moment, the options for quote status are: Draft, Sent, Declined, Accepted, and Invoiced. A sales quote that was sent but it's now past the date on which it expired still shows as Sent. It hasn't been Declined yet, but nor has it been Accepted, so there are quotes which are 4 years old still sitting in the list of valid quotes (see attached extract from the accounts of one of my clients). There needs to be another category for quotes which are old but which the customer may want to revisit (and therefore would be more efficient to revise the expired quote rather than create an all-new one for the same items). Quotes should automatically move to this category after the expiry date, so that managers can decide whether the expired quote should be moved to Declined (as unlikely to be revisited) or left for a while longer.

Xero Me - Add detail to notifications
Xero permissions are all or nothing - you either have access to timesheets and expenses or you don't. As such, you get a lot of notifications about things that aren't yours to deal with. It would be good to have a little more detail in notifications, for example; "There is a new expense from Robert Smith to review" so you know if it's relevant to you or not
2 votesThanks for sharing your idea here, Sophie. Atm our product team are working on a few changes for expense notifications - Once live there will be a few different scenarios for notifications
- When an expense is submitted users with the admin or approver role will receive an email notification that an expense is awaiting approval
- When an expense is approved or declined the user that submitted the expense will receive an email notification
- Users will no longer receive notifications when they take an action on their own expense
I'll let you know once these changes have been rolled out. But if there are other specifics in the notifications that you'd find helpful it would be good to hear these, too.

Bills - Add planned payment date from inside the bill with a default of the due date.
Add planned pay date automatically as the due date or add a field into the bill entry screen so that you dont have to go back and add it from the bill list view.
Just a suggestion which i think lots of people would find helpful. It would give real time data from the bill screen and saves going into the bill list to add the planned payment date for the categories at the top to populate correctly.
I I believe that this enhancement would be beneficial for many users, as it would definitely save time by reducing the number of steps required to set a planned payment date

AU Payroll - Payrun history expand or collapse button OR group in payroll years
Ability to have an expand and collapse button for pays previously posted and presented under Pay Run History.
After using Xero for a number of years, locating a previous pay run becomes looking for a needle in a haystack as this section is just a swamp of pays.
Grouping in payroll financial years or having a date filter would assist greatly also.
2 votesHi Yvonne, thanks so much for raising this idea and sharing your thoughts with us. We totally see how useful it’d be to have the option to expand or collapse pay run history, or group it by financial year in the Payroll product.
As pay run history builds up, it can definitely get a bit tedious trying to scroll through and find what you need. Having a more organised view would really help when you’re digging into older payroll data.
As a temporary workaround, you may find it helpful to use Ctrl + F (or Command + F on Mac) to quickly search the screen for a specific date or payroll year. We know it’s not a perfect fix, especially when there’s a lot of data, but it might make things a little quicker in the meantime.
Right now, your idea’s in the ‘Gaining support’ stage, and we’re keeping a close eye on the feedback and votes coming through. The more support it gets, the better we can understand how valuable this would be and where it fits in with other requests. We’ll post any updates here as soon as we have them.

Contacts - View balance of outstanding amount in multi currency
I would like to have having ability to quickly see the outstanding amount in the currency it was originally invoiced (like USD or EUR) directly from contacts dashboard, without having to navigate through detailed reports and apply multiple filters. This would save a lot of time.
7 votesHi Gita, we're grateful for your engagement and for letting us know the changes that matter to you.
We understand that having this 'at-a-glance' view directly on the contacts dashboard would save time and make managing multi-currency accounts more efficient.

eInvoice as default where available
While eInvoicing is a great addition, the need to toggle it for each invoice is annoying. It would be great if eInvoicing was the default for customers where it's an available. The need to toggle it every time is cumbersome.

AU Payroll - Fortnightly payslips, split hours worked visually over 2 week
Fortnightly Pay Runs to have weekly split.
Allowing admin staff to put hours worked for employees on a weekly basis which also allows for greater visage of hours worked per week rather than an overall of the fortnight for both managing staff and the employee themselves.1 voteThanks for sharing your idea, and letting us know the changes that matter most for you.

Xero Login - Enable Passkeys as a replacement to passwords
Passkeys (https://fidoalliance.org/passkeys/) are rapidly taking over passwords and are infinitely more secure than passwords.
Intuit are already using Passkeys (https://fidoalliance.org/case-study-intuits-roi-from-passwordless-customer-authentication/)
56 votesHi team, we've just launched passkeys to our first group of users. From this week, Xero Me app users who haven't set up MFA yet will be able to use passkeys to log into Xero. Next, we'll be progressively rolling this out to more users over the coming months. We look forward to and welcome your feedback here. As we have more news on the rollout I'll share with you on this idea.

NZ GST - Styling PDF export
Ability to add report styling to the PDF export so you can show logo. Like you can do with other reports.

NZ Payroll - Select multiple employees on Leave transactions report
Leave transaction report - NZ. Could this be changed to select multiple employees & to change the format so that there is a column for employee as opposed to grouping by employee. This enables easier reconciling through Excel. The Australian Leave Transaction report is ideal - could NZ's be made the same or similar.

Bank Reconciliation - Available balance including Overdraft
In the bank account settings, add an optional data field to enter in the Overdraft limit on a bank account. Then on the dashboard screen, show the net available balance of current bank balance + the undrawn Overdraft limit.
Purpose - to save the user from having to manually calculate how much is available to make supplier/payroll payments or login to internet banking prior to check.
Should also be a simple feature to add.

UK Payroll - Reports - Backdate Posted Date/Payment Date functionality beyond August 2024
On the Gross to Net report, payments before August 2024 have a "posted date" set to the date the report was generated, which is incorrect. See attached example.
To reduce confusion, either:
- The Posted Date feature should be backdated so that payments before August 2024 show the correct "posted date"
- Payments before August 2024 should not state a "posted date" at all.1 voteThanks for sharing your idea, and letting us know the changes that matter most for you.

Email to bills > Email forwarding directly into Xero as draft bills
I would like the ability to set up an email forwarding rule so that any incoming invoices can be automatically forwarded to Xero and created as draft bills.
At the moment, there’s no verified mailbox or built-in process that allows this automation, meaning invoices have to be manually uploaded or sent from specific addresses.
Adding this feature would make invoice management faster, simpler, and far more cost-effective, as users wouldn’t need to subscribe to third-party apps or integrations just to achieve automatic forwarding.1 voteThanks for sharing your idea on setting up auto-forwarding to the bills inbox, and letting us know the changes that matter most for you.

NZ GST - Consistent approach to display transactions
The "GST on expenses" and "no GST" sections of the GST report have contradicting signage - e.g.: expenses are a positive when there is GST but a negative when its under the "no GST" section. Can we keep it consistent in the report as its confusing to read/review.

Contacts - Supplier audit report add last active/used date
Can we please have an option to run a report for contacts incl Suppliers for example, where we can then audit new suppliers for a time period. Links into other ideas posted here to also see last active/used date. Similiar to the account transaction reports but to be able to run one for Contacts/suppliers would be super helpful for audits. Currently xero does not support any such thing, only the history & notes which is basically useless as it does not have the capacity to show or export more than 1000 entries, so when we do more than that in a day xero cannot verify for audit purposes. Thankyou

1 voteHi Emma , thanks for sharing your feedback and idea. For tracking payable transactions (bills) by contact, we suggest using the Supplier Bill Activity Report or filtering the Account Transactions Report by contact and payable invoices. If you require setup assistance, please raise a case with our support team for guidance.Regarding the 'last active/used date' feature: This functionality is not currently available in Xero. We have moved your idea to the Gaining Support section. We encourage you to share this idea with others to help build traction for its development.

Payroll (UK) - Bank holidays to automatically deduct from annual entitlement
Link the holiday group, working pattern and leave entitlement so it automatically deducts the relevant number of hours taken off for a bank holiday. Our contracts stipulate 28 days including bank holidays pro rated. The holiday group deducts the bank holidays on the pay slips but doesn't reduce the annual entitlement so the leave allowance is always higher than it should be. If you don't use the holiday group so you can circumvent the allowance being incorrect you then have to manually add the bank holidays for each user to ensure the pay and holiday allowance is correct which is very labour intensive and time consuming.

1 voteThanks for sharing your idea and highlighting what matters most to you. Currently you don't need to process a leave request for public holidays.
If an employee is assigned to a holiday group in their Employment information, Xero will automatically add a Bank Holiday/public holiday earnings line to the payslip and reduce their ordinary hours by this amount.
If you want a contract that’s “28 days inclusive of bank holidays,” you can set this up by either:
- Entering a reduced annual leave entitlement (for example, 20 days if 8 bank holidays are included).
- Not assigning the employee to a holiday group and treating bank holidays as part of their regular annual leave.
We’ve reviewed your idea and it’s now open for community support. Please share it with colleagues who’d benefit so they can vote, and others can comment with any additional details about how this would improve their experience with Xero.

Bills - Change draft bills to spend money
I would like easier access for entering multiple spend money transactions with a preview screen
I suggest either;
1) a separate email to send spend money receipts to like bills have; or
2) when entering spend money transaction, after clicking save and add another, allow the preview pane to be available after attaching a file so you can still see the details of the receipt when entering (just like the preview is there when you enter a spend money from the files section) otherwise you have to go out of spend money and back to files just so you have the preview; or
3) ability to change a draft bill to a spend money transaction so that all receipts can be emailed directly there. This would probably be the most flexible because if people send them to the wrong address it can be fixed without having to download the file and delete the transaction and re-upload.

5 votesThanks for your idea, Katie. Appreciate how you've thought of multiple ways we could help in the process you're after here.
While we'll gain specific interest in being able to change a bill to a spend money from your idea here, I also wanted to highlight this one for being able to set up separate emails in a contact for different transaction types. I've made sure to add your vote to that too so if there are any updates to tackle this from that view you'll be notified, too.
