NZ Payroll - Sick leave schedule of accrual
Schedule of Accrual - Sick Leave : would love the option: Annually after 3 Months
7 votesHey everyone, we've been making some changes to improve NZ Payroll for Xero users.
If you're just getting started with Xero (from 5 August 2024) you can now set up the Sick leave entitlement date for an employee.
We know people in the idea here are existing payroll users and we can assure you we're working to also develop this for existing customers. There are a few more intricacies to work through from what already exists to the new. I'll be back to share when there's more news on this and when you can get access to this too. Thanks

Account Transactions - Remove Awaiting Payment status from unallocated overpayments
In the customer under account transactions it shows the list of invoices and payments. Against unallocated overpaymentsit shows the status of 'Awaiting Payment' why? we are not awaiting the payment it is shown there.
Awaiting allocation maybe.
Anyway this caused confusion for our sales guy who had goods arrive for a proforma customer, he saw 'Awaiting payment' and thought they had not yet paid so he did not ship the goods, (Accounts were not in to tell him) He did not see the words overpayment or even if he had, he was not accounts so would he understand it? He saw highlighted in bright green 'Awaiting Payment' which anyway, is fundamentally incorrect. I suggest it ought to be changed.

Quote/Invoicing - Job Workflow
BETTER WORKFLOW FOR QUOTES/DELIVERIES/INVOICING:
If we could get the actual flow for how the paperwork per Job can be produced!1.I always start with a QUOTATION: this doesn't always need to be sent to a customer at all as it could be raised by way of a telephone conversation, etc,et. This is logged as a Job manually in a Workbook.
2.If the customer agrees and some do use PO numbers then when we go to accept/confirm, this is when we need the ability to enter Their PO number or some other confirmation that can be proved, this may take the form of an email or even the customers name!
On other systems it is possible to send " order confirmation " for them to check and alter if anything needs adding etc,etc.
3. After approval, then we need to fulfil and deliver the Job, this is logically when a Delivery Note will be required...definately waste of time when raising an Invoice as this is the last stage..
The delivery note can accompany the Job in transit etc.
4. Finally when job is Delivered, we raise an Invoice..At all stages, copies of any emails must remain on the system or in the respective email software, Outlook etc...
This would give a normal workflow to Job flow in my opinion and make Xero more user friendly

Contacts | Merge - show contact merged to
When merging customers xero currently completes the merge and then displays the profile that has been moved which typically (for me) contains no customer data. Is it possible to instead display the profile that the customer has been merged to which shows all the existing customer data. Usually I am completing a merge and then having to go in and search for the customer name again.

Bills List view - Sort and adjust column widths
The new bills view has totally rearranged the columns and the column widths. I have already added my own vote to adjusting column widths but i really need to be able to sort my bills view columns in an order that is easier on the eye, and neck, instead of bouncing from from one side of the screen to the other unnecessarily.

VAT201 report | PDF - Links to attached files
VAT201 Report - PDF link to scanned tax invoices. It will be great to have a PDF link to scanned invoices attached to bills and invoices in the transaction by field number report. It will be easier and save time to download and save from this screen, instead of opening the actual bill or invoice in order to download attached documents for upload on SARS efiling for VAT verification/audit.

Reports - Add Contacts report to show contact details and contact activity
Contacts report that shows contact details (name address etc) and Activity in last Financial Year.

Xero Me - List earning rates in alphabetical order
We have several earnings rates Eg. Normal Time, Saturday, Sunday, etc and for each earnings type, there are several rates. We have these set up in Xero and they display in Alphabetical order under 'Pay Items'.
However, when staff are completing their timesheets in Xero Me, all of the earnings rates are out of order (in fact they are in no particular order!) which makes it very hard for employees to complete their timesheets correctly. We have over 45 staff and approximately 30 earnings rates, therefore having them in random order in Xero Me causes many timesheet errors.
I am suggesting that XeroMe Earnings Rates are listed in alphabetical order.

Quotes - Include reference in quote acceptance email notification
Ability to include the reference with quote acceptance email. Currently the email notification only has the account name and quote number.

Invoice templates - Set defaults for show/hide fields
When creating/editing an invoice with the new style, you can select fields to show/hide. We would like to be able to change these and set the changes as default - at the moment you have to go in and select the ones you would like to see every time you are editing an invoice. The main one for us is the discount column - we would like to see this on every invoice. Having this functionality to show/hide is good, but just don't want to change this every time.

As you may have seen in other updates we're working on a new line item grid that will encompass a few enhancements we know our customers want to see, and will also include an improvement to the behaviour of the show/hide fields so the options you select will be retained. I'll come back to confirm when this is released.

Xero Tax - Accreditation for tax authorities in Portugal
Currently, it appears that Xero is not authorised by Portuguese tax authorities for use with a company in Portugal. As we run a business in the UK using Xero, it would make sense to also use the same accounting system in an authorised fashion in Portugal.

Bills - Categorising hire purchase or loans from aged payables
Having the option of when adding a purchase invoice which is for a hire purchase or a loan agreement, then Xero automatically removes the aged payable balance from the listing and posts to a Hire Purchase/Loan nominal code to avoid having HPs/Loans in the payable listings - I know that this is a feature that other accounting systems have, such as FreeAgent.
1 voteI know it's been some time since you first started this idea, Harry. There's been lots of discussions from other users on Xero Central about recording Hire purchase transactions, and if you're using Xero's Fixed Assets you'll find steps on how to do this in our article here.
There's no logic in Xero to automatically detect where a transactions is for hire purchase or a loan, however if you've set up a liability account that you can record these sort of transactions to, it's a simple process of choosing this account when recording the transaction in Xero.
Tbh we don't have any immediate plans for changing how this works in Xero for the short term.

Invoices - Support Pay Now with Foreign Currency
The Pay Now option is not visible on the online page of an invoice when the currency of the invoice does not match the organisation's default currency. This is especially annoying when Payment Services such as Stripe are set-up as they can easily process multiple currencies.
Moreover, as it is not (or poorly) documented that Payment Services are not usable when using a foreign currency, it just seems to be a bug. I contacted support who responded with the following:
"The Pay Now button on an invoice only shows if the currency of the invoice or payment account is the same as your organisation's base currency."
Our default currency is AUD, but most invoices are in USD, in general payments are collected directly in Stripe, but it is essential for us to be able to create a USD invoice in Xero and get it paid directly as it is possible in AUD.

Invoicing - Assign a default Due Date and Currency per Invoice template
To allow default settings for individual invoice templates. For example rather than set a default due date or currency for ALL invoices, allow individual invoice templates to be set there own due date timeframes , ie 7 days or immediate payment terms and also the same for currency.
The more standardised we can make our templates, the less likelihood of user error.

Billable expense - Automatically autofill account and project code in invoices
Currently after we assigned billable expenses to a customer and subsequently when we create a new invoice with the billable expenses, noted that the tracking category named Projects as well as account code are not auto-fill. We need to fill in manually which is time-consuming, imagine there are 100 items in the invoice.
It will be very helpful and save time if the account and project code will be auto-fill in the invoice. We really appreciate your support and looking forward this can be implemented. Thank you!

GoCardless - Notification of chargebacks on invoices
We need a way for Xero to know that there was a chargeback on an invoice through GoCardless so that the payment applied against the Xero invoice is removed.
There have been instances where a customer's bank did not accept the charge made against the bank account and GoCardless charged us back for the invoice. We didn't collect the payment, but Xero still has the invoice marked as paid. When reconciling AR this month, there was a few invoices that were charged back but were still showing paid.

Contacts - Option to choose column to sort by
Sorting bills or invoices under contacts by bill/invoice number or date or due date or reference, etc., Previously I believe that this was possible, now the only column is date and that's pretty annoying when looking for a particular bill number, etc.,

Notification - Reminder to employee to enter Timesheets
An option within the employee page, once selected, to send app notification reminders that timesheets are due by specific date/time.
