New Workpapers - Ability to view Document upload date
It would be a good idea for all documents to have a document upload date so the reviewer can see if this is a new attachment or something that existed at first review. Also to have a tick box so you can say you review the attachment not just the workpaper as some jobs would have multiple attachments.

I (eventually) found how to export notes, but (1) when I export I would like to include the Account Name as well as the account code. Otherwise the queries would need to be worded with more detail in them.
(2) The format of the report could be improved - it already has "Client Query" as a heading, that doesn't need to be repeated on every single query.
(3) Also hoping these will be exportable to Xero Ask or some format that allows a response by the client to be attached to the specific query.

We've made an update to how client queries export - These now export to text, so they can easily be sent outside of workpapers. 🙂
There's also another idea I'd recommend making sure you've supported on the ability to connect to Xero Ask and we'll keep you updated on any progress for. Thanks again!

Workpapers - Company Tax return import
I have been testing the company tax return import. I have accounts with negative balances - the bank overdraft for example, doesn't get posted to the current liabilities section of the tax return as a positive amount. It is posted as a negative.
I can see that the integration has the ability to exclude from integration but this is counter-intuitive to reducing manual data entry. The ability to post as a positive figure is available in the Xero import function.
4 votesGood news everyone! We recently released updates to our Tax integration. This included a change to fix the signage (negative/positive balances) when sending amounts from Workpapers to Xero Tax which solves for the pain point raised here.

Read Only Options
Can more users be allowed to view the new Xero Workpapers other than the usual 3 users?
Requiring an Admin staff member to kick people off or add people on to have a quick look at the Xero workpapers is quite tedious, so having an option to add a user as "Read only" and not occupy a preparer, reviewer or final reviewer slot could be handy.
4 votesHi all, thanks for your feedback here. With new Xero Workpapers, workpaper packs can be seen by all staff that have access to the client record.
Client record access is managed as part of the staff management menu within the practice tools. We have a bit of information to help with this on Xero Central 🙂

Being able to apply a change of Reviewer to all individual pages in the Workpaper pack
Ability to apply a change of Reviewer to multiple pages in the Workpaper pack.
We have a pool of reviewers so do not know at the time a Workpaper pack is created who is going to review the job. A "generic" reviewer is selected on initial set up.
When a reviewer picks up the job they change the settings to their name. This does not automatically update each page in the workpaper so you then have to change it for each tab you go into. Would be great to have the option of bulk updating all the pages at once.5 votesHi team, thanks for feeding back to us on new Workpapers here. We've made a recent change where you now have the ability to update staff assigned in bulk (whether that's Preparer, Reviewer or Final reviewer) directly from the Worksheet table. 🙂

New Workpapers - fix the colours for the various statuses and groups, not so many illogical duplicates
They're all illogical and not even consistent

Colours match the urgency of each of the statuses:
- Not applicable/ Not started - grey
- In progress/ Awaiting further information/ Client query - blue
- Ready for review - yellow
- Rework required - red
- Complete - green

Imputation Credits to Retained Earnings workpaper
This workpaper exists in the NZ classic workpapers and is a requirement for IR4J returns and keeping a record of Imputation Credits on Retained earnings for dividend prep. Bring it back.

New Workpapers - Supporting Balance Column
I would like a supporting balance column for each workpaper so we can enter manually the balance from the supporting document so we can see immediately the variance to the CY balance if any.

There is now a 'Supporting balance' column, the previous 'Variance' column has been updated to 'Change' and we've added a new 'Variance' column where we updated the formula for to be the delta between the supporting balance column and the current reporting period 😊 Thanks for all your insight here and sharing the difference this would make for you.

New Workpapers - Financial Year end default dates
Reporting period date: full financial year, based on Xero Blue Financial settings' year-end.
Not all the clients' year-ends are the same in South Africa

We've just released an update so now the Period Start & end dates will default based on the organisation setting connected to the Client. This means less manual review/update needed for Clients whose FY dates do differ to the norm. 😊

Finance Lease is not in Workpaper Trial Balance
Accounts labelled with Finance Lease (non-current) are not shown on the Workpaper trial balance, nor they are in any workpaper, e.g. Loan, non-current liabilities. They disappear in the new workpaper.

New Workpapers - Manual journals come up with an out of balance when there isn't one
I sporadically have an issue where the manual journal will balance but I am unable to post as it believes the journal is out of balance. Only work around is to post directly in the Xero file

Flexibility with Workpaper Codes
It is my understanding that workpaper codes - e.g. A - Job Notes, A1 Financial Statements are fixed and we cannot change them.
This creates issues - as we would like to have a Workpaper Code section specifically for Division 7A, and also delete items which are clearly of no relevance - e.g. franking credits for trusts.

Workpapers - Ability to mark Note (e.g. Client Query, Review Point) as resolved
In new workpapers there is no ability to see which "notes" (Client Query, Review Point) has been resolved 😭

Workpapers - Edit Checklist Items
Ability to edit the checklist item. Currently we can only delete and re-type a checklist item not edit anything that is existing

Workpapers - fix the buttons on the Note popup dialogue box
The buttons on the Note popup dialogue box are silly as.
Most dialogue boxes have actions on the bottom right. If a negative action (cancel/close), it would be to the left of the main action.
Add note button is middle left and miles from the bottom right.
Bottom right is the Close button. Close button is also highlighted blue, rather than white.
To point out how ridiculous this is.. as I am typing this idea, to the bottom right of the text box are two buttons, Cancel (white) on the left, and Post idea (blue) on the right...
2 votesHi team, we get wanting action buttons to be more intuitive. We've recently released improvements to Add Notes that address points raised here.
Now, there is one 'Publish and close' button, so you no longer have to click close as a separate action to make the notes modal go away.
We've also moved the position of the buttons, shifting these closer to the main focus area. Thanks for sharing back on how we could improve this experience.

Workpapers - don't calculate Tax on taxable income, when income is nil or it is a loss
Workpapers by default calculates negative tax when there is a loss. This is wrong.

Workpapers - I don't want a warning for every single time I click an attached URL
More clicks. I don't want more clicks.
I understand security.. but if someone has already hacked my Xero account, gone to Workpapers, attached a URL to an account - I have bigger security issues than the fact I will be clicking a link within my (supposedly secure) Xero account!!!
Our URLs are to our SharePoint. I do not want to confirm I want to proceed. EVERY. SINGLE. TIME.

Workpapers - one click to save and close notes popup window (as Queries used to)
In original Workpapers, if I was adding a Query to an account or workpaper, after typing the Query I could click Save and the Query was saved and the popup window closed.
This is great and made total sense as more often than note, I am adding ONE Query/Note per account.
Now I have to click save and then I have to click close.
I don't want more clicks!!!

Now when you click 'Publish note and close' it'll also close the window unless you select 'Publish note, and add another'. Thank you all for voting on this, here.

Workpapers - Offer both Attach URL and Attach document when clicking Attach document or file next to an account
On original Workpapers I would click the Document button next to an account and I'd have the option to upload a file OR paste a URL.
In new Workpapers, I click the Attach a document or file paperclip next to the account and I am by default, only shown the Attach document option.. I have to Click Attach URL to paste the URL.
Offer both or offer the choice to choose the default (ours is Attach URL, every time).
This change adds a click EVERY. SINGLE. TIME. we want to attach a URL (which is all the time).
Terrible change.

Workpapers - change Variance to Change or Movement (it is not a variance, it is a movement from one year to the next, which is expected)
It's bad enough that new Workpapers only show "Variance" for CY vs LY rather than CY vs supporting Workpapers (the whole point of workpapers).
This is not a Variance... it is a Change or Movement.
Variance is defined as:
- the fact or quality of being different, divergent, or inconsistent
- the state or fact of disagreeing or quarrelling
- a discrepancy between two statements or documentsYou'll notice that these all suggest a variance is not good (it's a difference of facts, quality, disagreement, discrepancy).

We've also added a new 'Variance' column that shows the difference between the supporting balance figure the and the current reporting period. 😊
