  1. At present, using Xero's Invoicing templates, you cannot send a "Receipt" from the Invoice -> Email screen. It prints as "Tax Invoice" with a zero balance. You have to click into the payment applied and send a "Receipt" from there.

If Xero labelled a paid Invoice as a 'Receipt', then surely we could use 'Receipt' templates - as you cannot unless using an advanced docx template with custom coding.

Secondary to that, Email templates - not being able to have a 'Receipt' template means that our "Receipts" go out with Xero's "View Full Invoice and Pay" message at the bottom…

Hi everyone, returning to the idea here there have been a few changes since this was raised that may solve your needs.

Our new Invoice template editor has been rolled out to all regions which also allows you to customise the invoice title. Meaning you could have a theme that was completely dedicated to 'Receipts'.

When you want to send a receipt to your customer you would need to adjust the branding on the invoice to then send with this template.

Right now, although the online invoice would show as Tax Invoice, if you include a PDF this would show with your customised Invoice title.

Also the email template has been updated for Paid invoices so this will now just show 'View Invoice' when it has no balance to pay.

We appreciate this is not the complete solve that has been asked here but hope these changes may help with…

  2. When entering a number of invoices for the same customer or vendor it would be great not having to reenter the name for each entry. Recommend the ability to "pin" a name for multiple entries under the same name.

Hi Kari, we don't have any plans for pinning a contact at present but we're still getting a gauge of interest from your idea here.

For now, you may find it useful to use the Copy to draft invoice option if you know you're entering multiple invoices for a single Contact.

As soon as you enter the contact name, you'll find this selection available from the 3 dot drop menu on an invoice. 🙂

  3. I am writing to bring your attention to some significant process issues related to payments on invoices that I've encountered after using the Stripe service for just one month with only two transactions. As a new user, I believe these issues warrant your immediate consideration to improve the service for all your customers.

    ACH Payment Process Concerns
    Overpayment Issues

One of the main problems I've encountered is related to overpayments when using the ACH process to receive payments from our customers. The current system does not seem to account for outstanding balances beyond the single invoice being paid, which can…

  4. IT would be really good to have the capability to add 'optional' items to a single quotation -

    • example #1: supplying in quantities of 10, 25 and 50,
    • example #2: there are five items in the 'basic quote' but the customer may choose to add items 6,7 and/or 8 but these aren't a fundamental requirement to include.

If there is a quotation tool, then being able to offer customer flexibility is important as issuing multiple quotes can appear unprofessional

  5. Being able to access supplier invoices using the link in the email. Currently we can only access the invoice related to the email. When trying to view other outstanding invoices, I get the message that I don't have permission to view that page and to have my access upgraded even though I have full access (bar subscriber). It would be great to be able to, as a bookkeeper, access other outstanding invoices. A lot of clients will use the link, see that they can access the other invoices, and not see an issue.

  6. In new invoicing the drop down issue date is today or tomorrow. I suspect "Yesterday" and "end of last month" would be helpful for lots of businesses who bill the day or month after a job is finished.

  7. It would be really useful to have a way of typing the date without having to use a / in between the numbers, like you could on classic invoicing

e.g. 20012024 used to convert automatically to 20th January 2024 on classic invoicing

Thanks for your interest in this idea, everyone. We understand there are different ways our customers find useful when entering dates for invoices in Xero.

Based on feedback our team are looking at improvements to the date pickers in new invoicing. While I can't confirm exactly what these will entail atm, we'll shift the idea to working on it and I'll be back to confirm when we have more of the detail.

  8. In New Invoicing can the Date field be left blank when in draft status as per previously. Regularly I create draft invoices and want to continue to be able to leave the date blank or to put tentative dates in before moving forwards int he process.

  9. What's most wrong with the new invoicing template is that the most useful features have been shifted to to the bottom of the layout , so you have to scroll to the bottom to use them. Also the default of approve and send is not the best option , approve would be better ( or perhaps a way to choose that box default would be terrific. Also to attach files , all the way to the bottom we go, thats crazy . also the size of the template is too big , it needs to be more compact its adds…

Thanks for feeding back to us here, Mark. I want to assure you our product teams and leadership are very attentive to the feedback we've been receiving from customers on the new invoicing experience and we're committed to improving this.

It helps for each of the points you've raised to be tracked separately so our teams can consider the votes as a factor when prioritising and planning development, as well as keeping the communication clear of the changes we're making.

Many of the things you've shared are being worked on and we have separate ideas for these that I've listed below and welcome you to join and vote for each, if you'd like.

Trying to get a better view of the placement of buttons that you mentioned - would this just be the Attach files option or is there another that you would like to see shifted above, too?

  10. New Invoicing - Show ABN details with Client details in the "To" section of the invoice. All other information is there for reference, excluding the ABN.
To view the ABN details, you need to leave the invoice screen and go to Contacts.

  11. Hi,
My business often delivers the same or similar services to repeat customers. It would be useful if Xero could default the contact address based on GPS Location, and then even propose default invoice items and pricing to make the invoicing process easier. This reduces the risk of invoicing mistakes and adds efficiency into the process for invoice creation. Also helps with contact payment process improvement.

Hey Nathan, thanks for sharing this idea. Using GPS to automatically fill in a contact’s address would save you time and make invoicing on the go much smoother.

It’s a smart way to reduce manual entry and help keep addresses accurate.

This feature is now in Gaining Support. If you think it’d be useful, please add your vote or comment. Hearing from all of you helps our product team understand what matters most.

Keep an eye on this thread for any updates.

  12. There is currently a way one sync from Jobber to Xero. It would be great if a sync from Xero to Jobber can be implemented to records payments in Jobber as soon as a transaction is reconciled in Xero. Similar to what is being one with Thryv and other integrations. This will save me about 1 hour of effort everyday and about 5 hours monthly when the bulk payments come in. I have tried to implement this myself however Jobber API support states they will only allow this if a partner works with them like Quickbooks and Stripe.

Hi Jaco, I want to be open that we don't typically design and build integrations with other apps ourselves. We have a Xero Developer ecosystem where interested parties can come to get information on how to integrate and sync data from Xero with their application. If not already, I'd suggest letting Jobber support team know this is something you'd like to see and if they'd consider expanding their integration for.

  13. In February this year, all suplier invoices that were supposed to be marked 30 days, got moved to due in March and not end Feb due to the 28 days, This needs to be changed as an exception as there will never be 30 days in Feb.

Thanks for sharing your idea and letting us know what changes you want to see!

We've reviewed it, and now it's in the hands of the community for support. Be sure to share your idea with any colleagues who would also benefit—their votes and comments can help build momentum and add more detail on how this change could improve their experience with Xero.

  14. Xero can currently accept online payments however most methods have quite large fees and can result in chargebacks. BTC lightning payments have lower fees (almost nothing) and no chargeback risk. The ability to offer customers this would be great.

There are a few SDK's to implement end-to-end lightning payments that are apparently pretty good such as this one:

Hey team thanks for voting and supporting this idea! We’re continuing to gather feedback on this, and requests like this help build a clearer picture of customer demand and support for potential future improvements. While we can’t confirm if or when this functionality may be introduced, the interest has been noted 🙂

  16. I think being able to connect a barcode scanner to xero to allow users to create a new invoice and scan items to have them appear as line items would be very beneficial to many customers. A lot of people use xero to resell items and if i could create a new invoice and instead of manually type everything, to just scan the UPC and have the item pop up would help prevent human errors

  17. Is it possible to move the delete button away from approve button in Sales Overview.
When approving invoices, have too be very careful with delete button right beside approve.

  18. I raise invoices for clients who provide services to government departments and have project managers involved. This requires me to send an invoice to the accounts department who may have einvoicing and to the project manager who does not have access to the financial software and therefore requires a copy of the invoice which also confirms to them that the invoice has been submitted to accounts. Would it be possible to have another option when preparing an invoice to Approve, Send (as an e-invoice) and Email all in one process?

Interesting to here your feedback here, and would be good to get a wider sense of customers that have similar scenario here. We don't have any plans for adding this option atm, but we'll update you here if anything changes. Thanks

  19. For setting dates on new invoicing:
    - when using the "copy to draft invoice" function, keep original date from copied invoice and not default to current date.
    - be able to type date using all numbers and not having to type month name (slows me down)

Hi Rebecca, I've just amended the title of your idea for your first request. In terms of the second when you're mentioning the input of dates. You should find you can currently enter dates in number format, however you'll need to make sure you keep the '/' or '.' to separate day month and year, alternatively you may find shortcuts help you cut down the time needed to enter your dates here.

  20. Email Templates - Supplier remittance to include a place holder option for invoice number.
