    Hi Jane, appreciate the feedback here. We understand that payment confirmation is an important part of the customer experience.

    Extending SMS functionality to include “Paid” invoice notifications or receipts could provide a quick, mobile-friendly way to confirm transactions. We’ve updated this to Gaining Support so we can track interest and share it with the product team.

  2. When using the invoicing system in Xero, there is no ability to move columns around. It would make my workflow much easier if I could enter quantity first, followed by product code, as this matches the standard ordering format in our industry. When customers place orders, they typically specify the quantity first and then the product size or code.

    In our previous system, we were able to click and drag columns into any order (similar to how line items can currently be rearranged in Xero). However, with the current fixed column layout in Xero, I often find myself writing phone…

    We understand why having the ability to customise invoice column order could make invoicing workflows easier, especially for teams that process a lot of invoices or follow a specific data entry process.

    This idea is suggesting the ability to rearrange invoice columns directly within the invoice screen, allowing businesses to set up the layout in a way that better suits their workflow.

    We’ll continue to track feedback and interest around more flexible invoice layouts.


  3. A simple solution for those that want to format their text when emailing would be to allow formatting that WhatsApp uses, where you simply add * either side of word or sentence that you wish to format as bold, for example.

    Thanks Eamonn for the feedback here. We hear that having a quicker way to format text in invoices and emails would help improve clarity and workflow efficiency.

    Being able to apply simple Markdown-style formatting while typing could make it easier to emphasise important information like due dates or payment terms. This has been moved to Gaining Support so we can continue tracking interest and share it with the product team.

  4. Instead of a search button, the search field should be displayed by default and the cursor should default to that field. That way we can just type our search terms without first clicking on a button or a field.

  5. We need the desktop app to support a bill approval workflow. Ideally, I’d be able to submit an invoice for approval, with it then routing automatically to different approvers depending on the nominal code. Once approved, it should post straight through to the ledger.

  6. Please change the font size back to the larger size in the quoting & invoicing where the line item entry section on the quote/invoice edit screen, where the Description, Qty and Amount fields appear smaller than the other fields at the top of the page.

    The larger size the same as the reference/date fields was much better.

    Hi Sharna, we understand you’re looking for the ability to increase or scale the font size within workspace grids, so line items are easier to read when working with detailed data.

    Having adjustable text sizing could help improve readability and make it more comfortable to work through longer lists of items.

  7. Currently when invoice reminders is turned on by the client, the default address is for the reply to emails seems to be the Subscriber's email. Would be good if it was the email of the logged in user by default.

    Hi Jadé, when you say sales representative can I just check how is this information currently being entered in Xero? For example have you set up a tracking category to track the sales representative, or would you be wanting this information from the user that created the invoice? Will be helpful when sharing your feedback with the team.

  9. There is multiple quotes that i want to search by "CITY", but it seems that it is not possible.

On invoices with CIS deductions can we have a button or something to indicate if a CIS statement has been received for the deduction and then a report for which invoices haven’t received a CIS statement so easier to see who needs chasing rather than keeping a separate spreadsheet elsewhere of received CIS statements.

    Appreciate your request here, Carey. Right now, you can use the CIS Suffered report to monitor deductions recorded in Xero, however understand this doesn't enable you to track CIS statements received at the invoice level.

    This isn't something we have plans for atm, but we'll continue to get a gauge of support in this from your idea. I'll share if there are updates.

  11. We had a NEW customer that was added with no email address. This meant than when the invoice reminder email was meant to be sent the email didn't go. The system should alert you this field is empty as a lot of Xero communication is done through email.

    The only way I noticed this was in the Sales > Invoices > Awaiting Payment list there was a small 'Email missing' message.

    Would be better if this was in red letters to draw attention as there is currently no manual way to re-send the email that didn't go. (I have made…

  12. When copying an invoice, users can now edit the copied version, and all information from the original invoice automatically carries over. To make this process more efficient, it would be helpful to add a “Clear All” button for the quantity column. This would allow users to reset all quantities at once instead of having to manually change each line item to zero before entering new quantities.

    Thanks for reaching out with this suggestion 🙂 I can see how being able to copy an invoice or bill to a draft and then clear all quantities in one go could make this workflow much quicker and easier.

    At this stage, we don’t have a confirmed timeline or feature announcement to share for that specific functionality. What I can confirm is that this has now been moved to gaining support.

    While it isn’t a confirmation that the feature will be developed, it does help show there is customer demand for it.

    For now, quantities would still need to be adjusted manually after copying, but we do appreciate you taking the time to raise this

  13. We import our data for invoicing and only the customer name/contact is in the file. When emailing out the invoices after import, we use the "Awaiting Payment" screen but unable to see if there any new customers so we have to review the "Statements" tab beforehand. This will save time and effiencies within our company.

    Perhaps, the screen columns we are all wanting could be added but with a X box so columns could be hidden if not needed, therefore collating a few thoughts at once ?

  14. Whilst purchase credit notes can be assigned to Projects, a Sales Credit Note can't be raised from Projects in the same way that a Sales Invoice can from Tasks and Expenses. Anegative invoice can't be created - the error message "The invoice total cannot be less than zero." appears.

    Therefore, Sales Credit notes don't automatically link to Project costs and get marked as "invoiced".

    This direct linking needs to be added.

  15. I have seen there is already a thread for this in Repeating Bills, but we recently streamlined our product codes and archived the old ones.

    However, Xero is still showing all the achieved codes when you create or update a repeating! This does not happen with raising normal invoices. I can see this causing errors in the future and am surprised at the oversight by Xero.

  16. It would be really useful to have the option to add one-time billable items to a repeating invoice and set them to be included on the next invoice automatically. For businesses that charge a fixed monthly retainer but occasionally add extra services, this would save time and reduce the risk of forgetting additional charges. The item could sit in a pending list against the customer and then be pulled through automatically alongside the standard repeating invoice when it is next raised.

  17. read only is almost self defining - unfortunately read only users are not able to export (some) tables. The rational is that they are bundled with import. Can read only users have the right to export data.

  18. Problem
    When sending Quotes and Invoices in Xero, users need a simple way to confirm who an email was sent to and keep a clear record of recipients within their email client.

    Current behaviour
    If “Send me a copy” is selected, the sender receives a copy of the email, but it does not clearly include all recipients. To check who the Quote or Invoice was sent to, the user has to go back into Xero history and look up the details there.

    Suggested improvement
    For both Quotes and Invoices, when “Send me a copy” is selected, include all original recipients…

  19. The software shouldn't be restricting printing of a draft invoice at any stage of the process nor user settings.
    Printing of draft invoice (even not finalized) is needed for documentation and accountability purposes!
    Drafts only user cannot do this at the moment.

    Every company and with any software I have worked so far, printing is allowed and expected to be done, as a proof of work done, back up of what was submitted etc.

    In our company we have more than one person workng on the same draft invoice.
    How can I can prove that I have done my job…

  20. We send out promotional items and invoice these with a 100% discount. When saving the invoice, Xero is not saving the account code that I applied. I've read this is an accounting simplification. We need to see these invoices - is there a workaround?

    Hi Vanisha, thanks for sharing this suggestion. Retaining the selected account code on zero-value or fully discounted line items could be useful for reporting and analysis, particularly for tracking promotional or non-charged allocations.

    Keeping this mapping in place would help preserve useful context in reporting, even when the line has no financial impact on the ledger.
