Sales Invoices - Combine and hide line items for customers
Ability to combine and hide line items in the invoices.
Purpose: To have good accounting and tracking of sales without showing the client the breakdown of all the items involved
Hi everyone, thank you for your continued passion, and sharing how having the ability to group or combine line items within an invoice would give you the control to present information to your clients in the best way for your business.
In lieu of a direct feature, while I appreciate it won’t fit all needs here, the inbuilt calculator may help in some cases to combine costs of multiple lines to one, and we appreciate there are some customers that have explored third-party apps with more extensive functionality for the time being to full-fill their needs.
We’re updating the status of this idea to Accepted - While this isn’t on our roadmap atm, we see the value in this suggestion and it’ll be considered as we plan our future roadmap. We’ll update this thread if we have any more news to share.

VERY keen for XERO to offer this but so far they have show zero interest in sorting this out
Numerous clients who use XERO allocate sales revenues across multiple accounts and do not want to show this on sales invoice so have to do this manually at present which defeats the whole object of XERO which is meant to be user friendly
PLEASE get this fixed XERO

This is so essential to many people. I need to bill across a few different accounts but I want to have it combined onto one line.. so simple and clearly what so many people need. Please Xero - please listen to your customers!

We have integrated our invoices from ifirm but our clients only want a combined invoice but xero doesn't recognise the combined data and descriptions from ifirm and turns it back to singular line items without descriptions.

Very important. We are doubling up to achieve this. Doing 2 invoices, one for our business with each product/service line (and offset to Suspense to create Nil invoice), then one for customer using Suspense code with story and subtotals.

Please this would be so useful. Currently we send our invoices to clients created from a spreadsheet (subtotal only, so they don’t see our line by line breakdowns) and this is completely doubling up workload on something that would be straightforward to implement in xero. Thank you.

This is a basic requirement in many types of businesses to create a single item from individual items. Let's call these Retainers, Basket Items, Bundle Items etc.
It is particularly important to track the breakdown of income for these grouped items gauge where you are more profitable. A simple one-liner "Retainer Fee" will not serve this purpose since you lose the make-up of these items.
I repeat myself, we need to create a basket or a bundle by either collapsing the lines on the invoice or, (which will be first price, to create a bundle or basket item consisting of the individual items. And because of the need to track the source of income, the reports and GL postings should be based on the individual items.
The world may be moving towards simplifying everything but need to be wary that we don't lose the detail we need to manage our businesses.

The idea is to have the ability to choose to merge item lines on a sales invoice into one service item on the printed version of the documents.
I have a client who is a broker and they charge for the premium and their commission on the sales invoices, which need costing to different nominals in the accounts, but they don't wish the customer to have this visability; they just need to see the charge as one charge.

I agree , I would like to be able to track costs (external) for end of month reporting but not show these line items on quotes and invoices to clients / customers. For us we need to see the estimate, quoted, actual cost and invoiced as line items for financial reporting but not on any invoices. It has been suggested to use folders but there are some holes in this theory. Would love to hear work around for this.

There are internal accounts that are billed to offset each other (ie: accounting of retention) These are internal and have no impact on the subtotal of the client invoice and should not be viewable to the client, but are necessary for accounting and billing to the internal accounts on an invoice by invoice instance.
We require that Xero gives the ability to either:
1. Hide line items on a client invoice
or
2. Have a means to select Chart of Account codes that make a line item internal when allocated to these codes and thus are not viewable on a client invoice. -

I am VERY keen to have a function where I report one line to a customer but am able to allocate the revenue across multiple accounts within our accounts
I would have thought this function is important to many businesses - for example those that pay a small commission on sales to an intermediary
Or where there are different revenue streams that need to be recognised for management accounting purposes - but only one total amount is to be shown to the client
This function has been requested elsewhere on Xero for well over a year but does not seem to have been considered or actioned by Xero
Please help !

This would be super helpful to our business and I can't believe its not something that Xero already offer. We have found this feature in the Fergus system which can integrated with Xero, but we are not wanting to run additional programs if we can help it. Definitely something Xero should look into
