UK Payroll - Ability to post Month 1 pay run prior to 6th April
It would be helpful to be able to run the April payroll before the tax year starts. It seems crazy that you have to wait until the new tax year starts to be able to run payroll for April.

Expenses - Sort by Expense Date, not Created Date
Xero expenses now seems to be showing the date created in the list of expenses to be approved, rather than the date of the purchase. That makes processing much more difficult. I think that has changed in a recent update. Please can that change be reversed?
12 votesHi team, appreciate your feedback here. To confirm we did modernise the expenses list toward the end of 2025, which included adding more sort options to the All tab.
You can now sort expenses by Created Date, Spent Date, Edited Date, Purchaser, and Claim Status, plus you can easily reverse the order.
Additionally we have reduced the spacing of the list view to make it more compact.

Payroll - Include Employee group category on the employee list
Xero has discontinued to display tracking category in the employee list - This means I now need to run a report to receive this information which will make processing pays longer so it's no longer a smooth process. I would like to see a return for this feature. Thank you.

Expenses | Notifications - Option to choose the type of notification e.g email or in app
Ability to turn off email notifications for submitted expenses to Xero admins. Only started receiving email relating to submitted expenses as of 10th July 2025 but have been told by Xero support that it is an integral part of expense management and can’t be switched off. Have used Xero and expenses since 2019 and have never received an email relating to an expense submission. Am more than happy to continue receiving notifications of submissions via Xero Me mobile app but do not want or require email notifications.
42 votesHi everyone, we'd like to provide an update of a change that we have made for Expense notifications in Xero.
You can now manage and control email notifications for Xero expenses.
By default users will receive emails when their own expenses are approved or declined, and if you're an Expense Approver or Admin you have the option to turn on email notifications when an expense is submitted for your approval by someone else in your organisation.
These can be managed within your Expense Settings.
Along with this, you'll not receive notifications on your own expense claims if you did the approve or decline action yourself.
We really appreciate your feedback on this experience and sharing how we could make this better for Expense users. 🙏🏻

Hi Luping Zhang, it looks like you're interested in adding UnionPay as a payment service to Xero. While we don't have a direct integration you could look to set this up as a custom URL. We have some information on how you can go about this on Xero central.

Add tracking into the payroll journal. We are wanting to record salary costs in the different departments we have set up

NZ Payroll - Show leave balances on payslip in days and hours
Annual leave needs to be able to be shown in days/hours on payslips and not in weeks as it is very hard and confusing for the employees to work out exactly what their leave balances are. It also makes it very confusing when you are trying to work out if they are actually entitled to leave when doing the payroll as their leave could be in the negatives, but the accrued dollars show otherwise
3 votesHi all, I wanted to let you know what we recently released an update to all NZ payroll organisations which allows you to have leave calculate in Days and Weeks.
Once you've converted your employees leave balances to Days and Weeks the balances will show on future payslips as Days.

UK Payroll - Employee Contact Details
Payroll Employee Contact Details would be good to see a column for terminated employee showing date left and employee number

AU Payroll - Fast click Superannuation directly from payrun
Could you please consider adding the feature of adding and processing auto superannuation payments from each finalised payrun (eg button next to "File" that would prefil the contributions in the payrun and further to authorisation). A number of clients are asking for a payday super feature, and adding this feature directly from the payrun will minimise the number of "clicks" and processing time. This also would be a hot topic if moving to compulsory payday super.

We’ve recently released an update that lets you start a super payment directly from a posted pay run. After you post the pay, select the Make payment dropdown and choose Pay superannuation to jump straight to creating your super payment.

Searching in Expenses
It would be good to be able to search the expenses to make sure that duplicated expenses are not submitted. Also it is really difficult to see what the expense was for and what the supplier was. Also it is really difficult to change any i8nformation on an expense as soon as it is marked as paid.

As noted in my last post you'll see there are new sort and filter options to help you find and efficiently process expense claims.
Sorting expenses will also help group and identify those duplicates so you can take action as needed.

NZ Payroll - Annual Leave option to add in Days instead of hours
Would be easier for employees & team leaders approving leave if annual leave is able to be requested in days and half days. Or to have the option to select either days or hours when requesting annual leave through the Xero Me app.
It's the most common complaint I hear from our employees that it would be way easier if they could just put in 1 day instead of working out the hours they want to take off.

If you haven't yet, you'll be able to convert your employees leave to be calculated and displayed in Days. Take a look at our support article on how to manage this change.

Expenses | Navigation - Hold filters when processing expense claims
Currently, when filtering expenses by name, the settings reset to default each time an expense is opened and closed.
Please update it so that the filter settings remain active, eliminating the need to reapply them for each expense viewed.
Also, please add a date filter setting
3 votesHappy to share we've fully released the new Expenses list view, that includes persistent filters! 🎉 - Meaning when you set filters and go into an individual expense, when you return to the list the filters you preset are held.

AU Payroll - Two employees on Grow plan, or the ability to tack on employees
The new Grow subscription only allowing for one employee is really tough for accountants operating in the micro-business space, as many of the small businesses that I have been working to get onto Xero are either married couples or two business partners who need exactly two payroll employees, with no intention to grow beyond that number.
Having to jump from Grow to Comprehensive just to add a payroll user is prohibitive for a lot of my clients, and knowing that this is the case is stopping me from recommending Xero as a product where it would have been a no-brainer…

Payroll is now included in all new business plans (Ignite, Grow and Ultimate). You'll be able to pay one person on Ignite, and two people on the Grow plan.

AU Payroll Employee Summary - Filter by Employee Groups
Employee Group is an option inside normal Xero for Personnel Officer to filter and generate different reports to support their lives and legal requirements.
Xero has this option, and removed this function without a follow up. This is not make sense.

2 votesSorry for the back and forth, Rossetti. To confirm for all - While it's not possible to select certain individual employees, you can use the Payroll Activity Details report to view a total hours for an employee group.
If the employees are all part of the same group in payroll, you'll be able to run the report for that employee group for the required date range. While we don't currently have any plans right now for developing the ability to select multiple employees from the list, we hope the employee group option can accommodate your needs.

AU Payroll - Information on setting up a novated lease for an employee
Can you please post up instructions on how business owners can setup novated leases for their employees and also identifying the process where the vehicle is FBT exempt or subject to FBT. We have had a few of our clients ask why Xero doesn't provide much guidance regarding this issue.

Xero Expenses app - Edit receipts
It would be beneficial to be able to edit transactions via Xero Expenses.
I find if a client has approved something to the wrong code you have to remove the whole transaction and redo it. In Xero normally you can Edit a transaction.
I have checked with Xero and that is the only current resolution.Xero is usually so user friendly but this way is time consuming and slow. Thanks
2 votesHi Antony, when processing expenses on the Xero Me app there is the option to edit an expense that has been submitted on both iOS and Android.
On iOS this is available from the Options menu, and on Android you'll want to tap the 3 dots in the top right of the claim. 😊

UK Payroll - Employee birthday report
Would be really useful to be able to run a report of employee’s birthdays.

AU Payroll - Timesheet report for leave
Would be great if we could run a report detailing which staff have taken leave (annual, personal) during the period to confirm it agrees to leave entered in Xero Me.

As mentioned in my last update, you can use the Leave requests report which will show the start and end dates, as well as units and dollar amount. It's also possible to run the report for all, or just specific employees for the period. 🙂

UK Payroll - Edit approved leave requests
The leave process is not flexible enough. Once a request is approved, it can't be changed - only declined which is incorrect. Need to be able to amend/delete after approved. There should be the option to book as days not hours as our employees have day entitlement, this should also be able to be shown on payslip as days remaining. Why also is the leave balance report not being opened to UK
3 votesHi team, currently a user with payroll admin permission has the ability to edit approved employee leave requests, by going to the employees record, clicking into the leave tab, selecting the three dots where they'll see the option to edit.
In regards to setting leave to be based on days this isn't possible as the earnings are based on hours, and cannot be set to days.

AU Payroll - Edited leave request date, email notifies employee of the wrong date
Edited Leave request date sends a notification to the employee for the wrong date. We recently had an employee request an RDO for 19/07/2024. After discussion with the employee this date was not suitable because the employee was due to provide training to a customer this date so we agreed to change the date to the following week (26/07/2024).
I then edited the leave request to be for the 26/07/2024 and approved the request.
The employee received an email notification that their request for leave on the 19/07/2024 was approved!
The employee then contacted me because they were confused and…
