    Hiya team, it's now possible to bulk download payslips from Xero Payroll!

    Payroll admins will see this option from the Employee > Payslips tab, while employees can also self serve from their Payslips tab of Xero Me(web) 😊

  2. Offering a simple update to the Xero system which would dramatically improve one grey area:

    I had a discussion with my team and it's a common topic that keeps coming up - we find it very awkward having the 'Time Off' allowance displayed in 'Hours'.

    Just like some other tracking systems, they allow you to see your 'Time Off' as 'Days' which is much easier to glance at - instead of having to continuously calculate hours, which takes time and can cause confusion on some occasions.

    Hi team, we're happy to share that we've recently released a couple of updates to solve for the needs here!

    • Payroll admins can now view employee leaves balance in weeks, days and hours where the employee has a consistent working pattern set up.
    • On the employee front, you'll be able to view leave balances in hours and (days) within the Xero Me app.

    We'd like to say a big thank you to everyone for contributing here and being engaged with our product team to deliver functionality that's most impactful for our customers.

    We have more enhancements coming to the Xero Me app soon, stay in the know through the Long and Short of it, and releases on Xero Central.

  3. Ability to set up standard week in Xero Payroll.

    Hi everyone, we’re pleased to share that we’ve now released working patterns to all UK organisations that use Xero Payroll.

    This change reduces manual workarounds enabling you to enter more information employees’ working patterns to support accurate allocations of leave and earnings rates. You’ll find you can now;

    • Create or select from working pattern templates
    • Add working patterns manually or using the template
    • Setup multiple weeks of a working pattern

    We’ve shared a few videos on YouTube that’ll help guide you through the change 😊

    We really appreciate everyone who’s engaged with us on this idea and those who’ve been involved in testing some of the functionality with us through the journey.

  4. It would be great if Xero could implement an automatic change/suggestion to change to category A after an H-category employee doesn't meet the criteria anymore.
    One of our employees just had his birthday and I noticed the category doesn't automatically update and there's no flag to say they might now be ineligible for a certain code.
    I imagine there are more companies with the same problem where it's gone unnoticed that the National Insurance Category hasn't automatically updated as nearly everything else does and it's easy to miss a birthday!

    Hi community, we've rolled out a change to Xero Payroll (UK), and now Xero will automatically apply the new NI category to a pay run based on an employees birthdate, and if they are entering into a new NI category. Meaning you no longer have to manually track and updates these.

Notifications on xero to alert you that an employees age has increased due to a birthday, as they may have hit a new age bracket in the wage rates and they could be getting underpaid if not noticed. Example - employee goes from age 20 to 21 this would mean that if they are on the 18-20 year old wage rate and they are on the £7.49 once they turned 21 they should then be on £10.18. so notification of birthdays would help keep you aware of age changes.

    We've recently updated Xero Payroll(UK) and now a new NI category will automatically be applied to a pay run based on an employees birthdate, and if they are entering into a new NI category. Helping to save you time from manually tracking and updating yourself. 😊

  6. I currently pay for the Standard Plan (15/month) plus Payroll (5/month) and use it for 2 payroll users.

    Under the newly unveiled pricing plans my business has been completely shafted.

    In order to use Payroll at all, I need to upgrade to the new Grow plan (33/month), already an increase of 13/month. But on top of that, that isn't even enough because you're restricted this plan to only 1 payroll user. So actually I have to jump all the way to the second from top plan which is the Comprehensive at 47/month.

    Hi team, sorry a little late off the mark updating you all here. We'd like to confirm that, the changes mentioned in my last post are now live and implemented across existing and for any new customers adding an organisation or moving plans.

    In UK you can now add individual employees to Payroll on Ignite, Grow, and Comprehensive plans for £1.50 per employee per month (Ultimate will remain at £1). For Australia payroll is once again included in all Xero business plans, offering more choice and flexibility when it comes to paying yourself and employees, and making it easier to keep up with compliance obligations. On Xero Ignite plan you can pay one person(as you could with Starter), and two people on Xero Grow (as you could on Xero Standard). You can also process automated super payments on both plans.

    Hi team, as an update to my last post, we have now rolled out the Leave Requests report in UK Payroll. This report lists the details for leave requested, approved and taken, for all employees or can be run for a singular employee, and will help when planning rosters or work schedules. Payroll Admins will be able to find and access it through the Reports Centre found in the Accounting menu. We're aware that the Leave Requests report does not meet all of the requirements as outlined in the comments of this idea, and we have created a new idea for a Leave Transactions Report. We will track interest of this idea and keep an eye on this separately, so please do join and support if this is of interest to you.

  8. We should be able to adjust the holiday year to the UK tax year as that seems to be very common. ( There is already a discussion topic for this but I cannot see it on this list.
    We should also be able to show holidays in days not hours.
    We should be able to calculate holiday hours for employees that do not do a 5 day week. The hours taken on holiday need to be overwritten every time a PT employee books time off.

    Hi community, happy to share that these changes have now been released in UK Payroll! 🎉 You now have the ability to set employee's leave to accrue based on a custom date of your choosing. We appreciate your inputs and based on the feedback we've made a change so that leave will now accrue on the first day of your annual accrual method.

    Hi team, pleased to share that the Employee Remuneration report for UK Payroll is now live to all users!

    Only users with the Payroll admin permission will be able to view and run this report which you'll find within the reports centre.

    If it's a report you'll be running often, you can favourite it so it's accessible from your Reporting drop down menu too. 😊

  10. Xero Me - change of address - employee can lodge a notification through Xero Me to payroll for your change of address. The change could be approved by the payroll administrator and it immediately updates Xero, then an email would be sent to the employee to say the change of address has occurred. This would reduce administration time, spelling errors in address and encourage employees to keep their details up to date.

    Hi everyone, back to announce that employee profile updates have now been rolled out across NZ, UK and AU 😊

    With the updates employees can now view more fields within their employee profile, and update details that don't require admin approval, including;

    • Contact number & email address
    • Residential address (excluding State/Country)
    • Emergency contact information

    This new report includes additional columns such as DOB, Start & Termination dates, and Employment Groups.

  12. Payroll>Employees>Leave currently has leave balances in days and dollar values, this makes it difficult to determine what the amount should be either way.
    As the dollar amount may change due to pay rises or an average applied as per statutory legislation, it would be better if all fields were hours based values. This would make it consistent and easier as a consumer to use.
    As a user, I should not have to be trying to calculate what the values should be and if something doesn't appear to be right, I should not need to contact Xero to find out how…

    Hi team, we've recently released changes in Xero Payroll. As you may have seen you can now set up working patterns for employees to more accurately calculate employees wages and leave. While Holiday pay remains in dollars, Annual Leave will show in weeks and FBAPS Leave will now be shown in days.

    Just to note, Holiday Pay is not a one to one correlation to Annual Leave, however if you prefer to have leave in hours you could consider enabling leave in advance. You can see our article here for more information on managing employees leave.

  13. HOLIDAY ACCRUAL SHOULDN'T TAKE A MONTH TO RESET
    We have holiday entitlement to reset on the 1st of April each year, however, the holidays don't reset until the 1st of May and after April's pay run.
    Please vote for all holiday balances to reset on the actual anniversary date.

    Hi everyone, we're pleased to update you that these changes have been released in UK Payroll! 🎉 This includes the ability to set employee's leave to accrue based on a custom date of your choosing. Additionally, we've released changes based on the feedback here so that leave will now accrue on the first day of your annual accrual method.

  14. Could you please consider adding the feature of adding and processing auto superannuation payments from each finalised payrun (eg button next to "File" that would prefil the contributions in the payrun and further to authorisation). A number of clients are asking for a payday super feature, and adding this feature directly from the payrun will minimise the number of "clicks" and processing time. This also would be a hot topic if moving to compulsory payday super.

    Hi everyone — thanks for your feedback on making superannuation payments directly from a posted pay run.

    We’ve recently released an update that lets you start a super payment directly from a posted pay run. After you post the pay, select the Make payment dropdown and choose Pay superannuation to jump straight to creating your super payment.

  15. We have grant funding so wages as well as super needs to be applied with the tracking code to acquit grant correctly. Presently, there is no availability to apply tracking codes against the superannuation, as well it is only available through timesheets for the wages.
    It would be very helpful if tracking codes could be applied directly with pay items in employee template (similarly like other software) so this can be applied when leave is taken also

    Hi everyone, apologies for the delay in providing an update here. We appreciate the feedback on having Super and Leave to be automatically allocated to payroll tracking.

    In May 2025 we released an update to all AU payroll organisations which extends Employee Group tracking to Leave and Superannuation transactions.

    This means that going forward Leave and Superannuation costs will be differentiated by tracking categories.

    We hope this change helps you manage your overall expenses. Thanks for supporting this idea and paving the way for the future.

  16. Allow a simple 'sort' function to re-order the view of expenses that have been 'done'.

    This should allow order by 'date of spend', by amount; category; etc

  17. Can we have an audit trail, even if similar to invoices/bills, where we can see the who, date & time of the payslips being sent out for a pay calendar?
    This helps to know the payslips have been sent out and that there is an audit trail for this.

    Hi all, thanks for supporting this idea. We understand the need to be able to confirm exactly when payslips were emailed to employees.

    I'm please to let you know it's now possible to review when payslips were emailed to employees in the AU and UK versions of Xero payroll.

    While this feature has been available or a few years in AU, we recently released an update in UK payroll, allowing payroll admins to view if and when payslips were sent to employees.

    We thank you for your continued efforts to shape the feature of Xero.

  18. I hope that there's separate columns for date and employee name as seen in the previous report as it's totally useful when summarising data for various period. For instance, when generating the old report, it's completely quicker to use the pivot table and other excel formulas to calculate the total hours work and the corresponding cost in a certain period and prepare a comparative report for various pay item/period and employee using the old payroll activity detailed report. It's a single payroll report where all the relevant information is included.

    Hiya team, thank you for sharing your feedback and letting us know the detail and why this is valuable to you. Based on feedback we received on the Employee name and Date columns the team have just released an update to the Payroll Activity Detailed report to include Employee name and Date as separate columns in the report and these will now show by default.

    This will help as noted when exporting and using the data for further analysis outside of Xero. 

  19. Went to filter my Payroll Employee Summary by employee Groups to show my Apprentices income for Payroll Tax Reporting and it's gone? Why? I've got to say it's getting really irritating that Xero features keep being removed overnight.

    A suggestion - do not remove a feature and replace it until the new function does at a MINIMUM the same standard of functionality that was previously offered. Otherwise you're going to get alot of annoyed and fed up paying customers.

    FYI - it's not hard for us as an accounting practice firm to migrate away from Xero if you continue to…

    Hey everyone, we appreciate your feedback and hearing what our customers need most when using this report.
    Following the release of the new Payroll Employee Summary report found under the Accounting > Reports menu, we have done a recent update to enable the ability to filter by Employee Group.

  20. Would be great if the days per week and the hours per day could be for each day rather than a total amount. Sarah does a total of 30 hours per week
    Monday - 0hours
    Tuesday - 6 hours
    Wed- Fri - 8 hours per day
    but because we cant specify what days we have had to go 4 days per week with total hours per day 7.5. This is confusing to look at but we also have to remember when it is a public holiday to change it. Would be good if we could specify the hours worked per…

    Hi everyone, you can now create new working patterns for employees which allow you to add in the specific days and hours they are contracted to work!

    This improves the default hours used in calculations around public holidays, leave requests, the first pay, the last pay and when working patterns change during the pay period. Thanks again for all your feedback on this here.
