AU Payroll - Historical Payslip Report (bulk download)
Create a report to show all payslips for an employee for a given time period. Currently these have to be downloaded one by one.

AU Payroll - New Employee - Online Commencement Forms
Ability to send and generate online commencement forms from Xero Payroll.
Purpose: Employees can complete and submit their own online commencement forms, rather than having to ask the employers to submit it.

When setting up a new employee you can send a request to them to fill in their details and complete the onboarding process via a secure online form. As part of this, they'll create a Xero user account which can be used to access Xero Me.

UK Payroll - Show leave balances in days and hours
Offering a simple update to the Xero system which would dramatically improve one grey area:
I had a discussion with my team and it's a common topic that keeps coming up - we find it very awkward having the 'Time Off' allowance displayed in 'Hours'.
Just like some other tracking systems, they allow you to see your 'Time Off' as 'Days' which is much easier to glance at - instead of having to continuously calculate hours, which takes time and can cause confusion on some occasions.
We would all very much appreciate it if you at least give the option…

- Payroll admins can now view employee leaves balance in weeks, days and hours where the employee has a consistent working pattern set up.
- On the employee front, you'll be able to view leave balances in hours and (days) within the Xero Me app.
We'd like to say a big thank you to everyone for contributing here and being engaged with our product team to deliver functionality that's most impactful for our customers.
We have more enhancements coming to the Xero Me app soon, stay in the know through the Long and Short of it, and releases on Xero Central.

UK Payroll - Payslips - Schedule date for payslips to be emailed
Ability to have an automated scheduled payslip.
Purpose: To make Payroll admin workflow easier, especially when they aren’t working on the day when payslip needs to be sent.

We’re excited to announce that we have recently released an update for all UK Payroll customers that makes payslip scheduling possible!
Payslips can now be sent to your employees automatically based on a pre-set schedule. This means you can post pay runs in advance and set a date for the payslips to be emailed. To get started, check out our support article: Automatically email employees their payslips.

UK Payroll: Customise default working week
Ability to set up standard week in Xero Payroll.
Purpose: To make users easily calculate their employee’s wages. Especially for industries that run 7 days a week.

This change reduces manual workarounds enabling you to enter more information employees’ working patterns to support accurate allocations of leave and earnings rates. You’ll find you can now;
- Create or select from working pattern templates
- Add working patterns manually or using the template
- Setup multiple weeks of a working pattern

UK Payroll - Auto updates for national Insurance category (NI)
It would be great if Xero could implement an automatic change/suggestion to change to category A after an H-category employee doesn't meet the criteria anymore.
One of our employees just had his birthday and I noticed the category doesn't automatically update and there's no flag to say they might now be ineligible for a certain code.
I imagine there are more companies with the same problem where it's gone unnoticed that the National Insurance Category hasn't automatically updated as nearly everything else does and it's easy to miss a birthday!164 votesHi community, we've rolled out a change to Xero Payroll (UK), and now Xero will automatically apply the new NI category to a pay run based on an employees birthdate, and if they are entering into a new NI category. Meaning you no longer have to manually track and updates these.

Email notifications: Expenses - Awaiting approval and Approved claims
Ability to trigger notification when expense claims are awaiting approval and approved status.
Purpose: So the approver can review the expenses faster and the one who’s asking for an approval don’t need to wait longer for approval.

We've now released an update for Xero Expense notifications so you can manage and control email notifications you receive for expenses.
By default users will receive emails when their own expenses are approved or declined, and if you're an Expense Approver or Admin you can optionally turn on email notifications when an expense is submitted for your approval by someone else in your organisation.
These can be managed within your Expense Settings.
Additionally you'll not receive notifications on your own expense claims if you did the approve or decline action yourself.

UK Payroll - Ability to have national minimum wage checker
Xero checks employees age against pay rate and that of the National Minumum Wage so it does not get missed. It's doesn't have to change it, just highlight thsat the employee's rate needs to ber changed
125 votesHi everyone, we wanted to provide an update on this. We’ve begun rolling out our NMW checker to all UK payroll organisations.
Once relevant pay items are set as Subject to National Minimum and Living Wage calculations, Xero will check employees’ ages and pay rates against current NMW rates.
If an employee’s pay falls below the required minimum, Xero highlights this for payroll admins to review and update.

UK Payroll - Birthday Notifications for employees
Notifications on xero to alert you that an employees age has increased due to a birthday, as they may have hit a new age bracket in the wage rates and they could be getting underpaid if not noticed. Example - employee goes from age 20 to 21 this would mean that if they are on the 18-20 year old wage rate and they are on the £7.49 once they turned 21 they should then be on £10.18. so notification of birthdays would help keep you aware of age changes.

Pricing Plans - Keep Payroll accessible from the Ignite and Grow plans
I currently pay for the Standard Plan (15/month) plus Payroll (5/month) and use it for 2 payroll users.
Under the newly unveiled pricing plans my business has been completely shafted.
In order to use Payroll at all, I need to upgrade to the new Grow plan (33/month), already an increase of 13/month. But on top of that, that isn't even enough because you're restricted this plan to only 1 payroll user. So actually I have to jump all the way to the second from top plan which is the Comprehensive at 47/month.

83 votesHi team, sorry a little late off the mark updating you all here. We'd like to confirm that, the changes mentioned in my last post are now live and implemented across existing and for any new customers adding an organisation or moving plans.
In UK you can now add individual employees to Payroll on Ignite, Grow, and Comprehensive plans for £1.50 per employee per month (Ultimate will remain at £1). For Australia payroll is once again included in all Xero business plans, offering more choice and flexibility when it comes to paying yourself and employees, and making it easier to keep up with compliance obligations. On Xero Ignite plan you can pay one person(as you could with Starter), and two people on Xero Grow (as you could on Xero Standard). You can also process automated super payments on both plans.

UK Payroll - Leave Summary Report
UK Payroll - need a summary report showing leave taken / remaining by employee for a given leave year - This is already available in AU payroll
77 votesHi team, as an update to my last post, we have now rolled out the Leave Requests report in UK Payroll. This report lists the details for leave requested, approved and taken, for all employees or can be run for a singular employee, and will help when planning rosters or work schedules. Payroll Admins will be able to find and access it through the Reports Centre found in the Accounting menu. We're aware that the Leave Requests report does not meet all of the requirements as outlined in the comments of this idea, and we have created a new idea for a Leave Transactions Report. We will track interest of this idea and keep an eye on this separately, so please do join and support if this is of interest to you.

UK Payroll - Adjust dates for holiday / statutory leave year
We should be able to adjust the holiday year to the UK tax year as that seems to be very common. ( There is already a discussion topic for this but I cannot see it on this list.
We should also be able to show holidays in days not hours.
We should be able to calculate holiday hours for employees that do not do a 5 day week. UK Payroll - Add a remuneration report
UK doesn't currently have the remuneration report. This is a basic fundamental requirement on payroll.

Only users with the Payroll admin permission will be able to view and run this report which you'll find within the reports centre.

Xero Me - Allow employees to self-service change of address
Xero Me - change of address - employee can lodge a notification through Xero Me to payroll for your change of address. The change could be approved by the payroll administrator and it immediately updates Xero, then an email would be sent to the employee to say the change of address has occurred. This would reduce administration time, spelling errors in address and encourage employees to keep their details up to date.

With the updates employees can now view more fields within their employee profile, and update details that don't require admin approval, including;
- Contact number & email address
- Residential address (excluding State/Country)
- Emergency contact information

UK Payroll - Report on employee information
For example, to produce a report showing employee name, job title, start date, current hours and current annual salary for pay award decisions.

This new report includes additional columns such as DOB, Start & Termination dates, and Employment Groups.

NZ Payroll - Option to show Holiday Pay accrual as hour value
Payroll>Employees>Leave currently has leave balances in days and dollar values, this makes it difficult to determine what the amount should be either way.
As the dollar amount may change due to pay rises or an average applied as per statutory legislation, it would be better if all fields were hours based values. This would make it consistent and easier as a consumer to use.
As a user, I should not have to be trying to calculate what the values should be and if something doesn't appear to be right, I should not need to contact Xero to find out how…48 votesHi team, we've recently released changes in Xero Payroll. As you may have seen you can now set up working patterns for employees to more accurately calculate employees wages and leave. While Holiday pay remains in dollars, Annual Leave will show in weeks and FBAPS Leave will now be shown in days.
Just to note, Holiday Pay is not a one to one correlation to Annual Leave, however if you prefer to have leave in hours you could consider enabling leave in advance. You can see our article here for more information on managing employees leave.

Payroll - Include Employee group category on the employee list
Xero has discontinued to display tracking category in the employee list - This means I now need to run a report to receive this information which will make processing pays longer so it's no longer a smooth process. I would like to see a return for this feature. Thank you.

UK Payroll | Reset holiday accrual on anniversary date
HOLIDAY ACCRUAL SHOULDN'T TAKE A MONTH TO RESET
We have holiday entitlement to reset on the 1st of April each year, however, the holidays don't reset until the 1st of May and after April's pay run.

Expenses | Notifications - Option to choose the type of notification e.g email or in app
Ability to turn off email notifications for submitted expenses to Xero admins. Only started receiving email relating to submitted expenses as of 10th July 2025 but have been told by Xero support that it is an integral part of expense management and can’t be switched off. Have used Xero and expenses since 2019 and have never received an email relating to an expense submission. Am more than happy to continue receiving notifications of submissions via Xero Me mobile app but do not want or require email notifications.

AU Payroll - Fast click Superannuation directly from payrun
Could you please consider adding the feature of adding and processing auto superannuation payments from each finalised payrun (eg button next to "File" that would prefil the contributions in the payrun and further to authorisation). A number of clients are asking for a payday super feature, and adding this feature directly from the payrun will minimise the number of "clicks" and processing time. This also would be a hot topic if moving to compulsory payday super.

We’ve recently released an update that lets you start a super payment directly from a posted pay run. After you post the pay, select the Make payment dropdown and choose Pay superannuation to jump straight to creating your super payment.
