UK Payroll - Option to view leavers in History by leaving date
After the recent Xero upgrade, the ability to view leave dates disappeared from the employees' History. Instead, a column titled "Next pay day" was added, which does not seem useful because the employees have left the company.

There is currently another way to generate this list without needing to click into individual employee records.
You can run the Employee Contact Details report to access this data in a list format.
By running this report, you can view both Start Dates and Termination Dates side-by-side.
You can filter or sort the report giving you the overview needed to manage the team and process documentation efficiently.

UK Payroll - Add student loan plan 5
Update Student Plan types to include Plan 5

Plan 5 applies to those starting their degrees from August 2023.
Plan 5 deductions apply from April 2026 onwards, so you can expect to see this Student Loan Plan available in Xero payroll soon.

UK payroll - Remove Subject to minimum wage message from draft pay runs
I appreciate the need to comply with minimum wage but to have this message on every pay item showing when processing is not only annoying but confusing when processing. This should only be a warning prompt if the gross pay doesn't meet the requirement when pay details have been completed.

Please know they are temporary and essential right now. The notifications were implemented to encourage employers to carefully review their payroll data to ensure compliance with HMRC’s new legislations, and to avoid penalties during this transition period.

UK Payroll - Better connection between Xero and NEST
Xero and NEST do not always link.
For example a client of mine has a pay date 15th September (pay period 15/08/23-14/08/23). This gets sent to NEST from Xero using a pay reference period 15/09/23-14/10/23. This results in the submission showing in the period following the current period on NEST.
I have spoken to NEST and they advised that Xero is incorrect and need to change the pay reference period to match the pay period so the file is submitted to the correct period within NEST.
Please can this issue be rectified to avoid manual submissions having to be made.

We’ve taken a closer look at how periods are sent to NEST from Xero. Our direct NEST integration uses the pay reference period defined in NEST’s own specification – that’s the period in which earnings are paid, rather than the pay period in which they’re earned. For arrears payrolls, this means a pay period like 15 Aug–14 Sep with a payment date of 15 Sep will appear in NEST under a PRP of 15 Sep–14 Oct.
We’ve confirmed this approach with NEST and it aligns with their employer payroll guidance.
We understand this can be confusing when you’re reconciling schedules in the NEST portal, and we’re feeding this feedback into our wider work to modernise the UK pensions experience.

UK Payroll - Activity Details and Summary report format
The new Payroll Activity and Summary Report is not as user friendly as the old one. It was much easier to read and find your employee name and net amount due on the older version. I also don't like how half an employees details can be on one page and the rest on the next page. I would like to revert to the old style, if possible?

AU Payroll - Upgrades to Xero me app for more customisation
We are long term users of Xero and find many aspects of its functionality make our accounting functions easy! This is not the case in terms of Payroll entry….The Xero Me App does not come close to meeting the needs of a small business like ours….and I am sure we are not entirely unique!
Our business is predominantly made up of casual employees who work different hours from day to day/week to week. Many of our employees also drive vehicles and require kilometre reimbursement.
The biggest challenge we have is the accurate recording of employee hours…unfortunately, we have issues around…

AU Payroll - Bring Back Payroll Hub
Bring back the central way to manage payroll across multiple clients to ensure they have prepared and submitted their payroll records and bring in the ability to track super payments ahead of PayDay Super requirements to ensure client compliance.

To ensure we can accurately track community interest, I’ve categorised this post as Feedback.
We generally avoid "rollbacks" of retired features, and we encourage members to submit one specific feature request per post so others can vote clearly on them.
Current Solutions: You may find that Xero HQ Payroll Manager already provides a central view to track pay run statuses across your clients. You can find more details here.

Expense Claims - Dashboard Widget and Review Summary
I note in the latest update, the Expenses to Review widget no longer allows for a 'Create New Expense' option on the dashboard. It would be helpful for this to return for those in administration who assist in uploading reimbursements on behalf of others. Previously I could simply submit an expense reimbursement from the dashboard, now I need to navigate to expenses before I can submit.
Additionally, the preview page no longer shows 'Spent <date>' in the line by line summary of expenses pending approval. Showing 'created on <date>' is not helpful at quick glance. We're now required to look…

I really appreciate you taking the time to explain how these recent changes impact your workflow—especially the time-consuming nature of reviewing over 100 reimbursements at once. That context is incredibly helpful for our product teams.
While we look into these improvements, there are a couple of existing features that might help speed up your current workflow:
- Global "Create New" Menu: You can quickly add an expense from any screen in Xero by clicking the plus (+) icon in the top right navigation bar and selecting Expense claim. It’s not quite the dashboard widget, but it saves you from having to navigate through the Business menu first.
- The Expense Claim Detail Report: For your review process, try running the Expense Claim Detail report (found under Accounting > Reports). You can customize the columns to include the Invoice Date (which pulls from the "Spent Date") and the Reporting Date…

Payroll - New justified list of employees
Hi Xero,
you are slowly converting all lists into justified (by the size of the screen) lists. Few weeks ago, the purchase orders were justified. We could not see them because the look was so unfamiliar.
This morning the list of employees got justified. It has only 5 columns. The look of this list is ridiculous and extremely difficult to read. On my screen the distance between the centres of the four columns is 13cm, and the blank spaces on the lines on average are 10 cm.

We understand how the increased spacing ("justified" view) on wider screens impacts readability.

- YTD payroll report (to see total salaries earned by staff for each reporting period)
- Pay cycle report (report to be saved in the Payroll module after each pay cycle)
- Ability to save employee contracts in Payroll module under each employee (for audit and transparency purpose)
