Ability to attached files to a pay run and employees
Hi community, thanks for the strong support in being able to attach files within Xero Payroll, both for employee records and pay runs. We really appreciate you sharing the value and efficiency this could create for you when working with Xero. It's evident that being able to store important documents like licenses, sick notes, and onboarding papers directly in Xero would remove the need for external storing systems or manual processes.
We acknowledge it's not the end goal but wanted to highlight the use of apps, as some have shared like Dext, to help bridge this gap in the meantime.
I want to assure you that enabling attachments in payroll is part of our long-term intentions. However, to deliver this functionality effectively and reliably, we first need to develop some foundational elements within our payroll platform.
We understand your frustration with the timeline and the limited updates, and we're committed to improving our communication on these important ideas. We’ll be sure to provide further updates work progresses.

Why, when Xero lets you add documents to every other transaction, can't you add documents to employees?
For payroll, this is just as important, if not more important, as attaching an invoice or contract to a transaction. -

This is a facility available in QBO Intuit and we use it ALL THE TIME! Certificates of qualifications, contract copy, sick leave evidence, anything that used to be kept in a hard copy paper file. Xero needs to develop this ASAP. It's not 1984 anymore. Catch up.

The Australian Tax Office requires us to keep copies of Tax File Number Declarations for each employee for at least two financial years after the last time you paid them (specifically, "If a payee has not received payments from you for 12 months, you must retain a copy of the last completed form for the current and following financial year.")
We are also required to keep the paperwork proving we gave employees the ability to choose where they wanted their superannuation paid, and we are required to keep that for 5 years after they leave employment with us.
Digital storage is fine, but we must store all employee-related files securely. Attached to their employee record would be perfect, as this is only accessible by people with reason to have access, and the accounts are kept secure anyway! Having to store these elsewhere means unnecessary duplication of file security measures.

I need to be able to keep track of leave, in particular sick leave to ensure we have received medical certificates in line with our policy and procedures. Please provide some indication as to whether this functionality is being considered.

It would be so good if we are able to attach an employees signed TFN form details to the employee, so we are able to look up all of their details in the one area. So adding an attachment window would work really well.

We are wanting the ability to attach documents to the employee - this could be a copy of the employee contract and amendments to contract. It could be attaching IRD documents relating to Kiwisaver, student loan, compulsory deductions etc. A copy of tax declaration signed by employee or internal communication with the employee & employer.
This would need to be secure so not all users of Xero could access the documents.We can save documents to a Contact in Xero already however this is not available for Employees. This is a basic function which should be included in Xero payroll - compliance with all payroll legislation can be tricky to keep on top of at the best of times. Having all documentation in one place that is accessible from the office or remote is crucial to our business.

It would be handy to save a copy of Employee Certifications and other employee-specific paperwork if we could upload attachments to each Employee profile in Xero. So please add an "Upload file" feature to Employee profile in Xero.

Since attaching documents related to employment history is essential and having everything in one place is crucial, I'd say this task likely has a higher priority. If it’s something that will be used for compliance or record-keeping, it’s best to address it sooner rather than later.

Is it possible for Xero to include a documents tab in the employment section (perhaps in the notes a document can be added OR making it a mandatory part of setting up an employee), so that the TFN declaration and Super declaration forms are saved/can be saved into Xero?
All of the information from those forms is used/shown in Xero - I have attached the ones I mean.We notice a handful of our tax return clients complain each year that their payroll at work/employer has set things up wrong, and when questioned, the employees TFN and super forms have magically disappeared or not been stored somewhere, so maybe that might help both sides, by facilitating some accountability on the employer's part and/or assisting the employer in showing to the employee that the payroll was setup as per what the employee requested.
I also notice that a sometimes business owners forget about getting their staff to actually do a TFN declaration and super declaration OR don't actually know that these documents exist and should be completed so that they have what they need to complete the payroll setup. So perhaps making it a mandatory step might be useful to those that don't know or forget. I was thinking something similar to the bank feed form for the banks that require a manual bank feed connection (how Xero first provides the form for download and then they need to upload the form to move to the next step). If there is some form of text recognition software involved, it could even pull the details from those 2 forms and help owners to fill out those first 3 employment tabs (details, employment, taxes) and the payroll staff can then update/adjust to suit if the text recognition software was not able to pick up accurately (of course handwriting would be an issue here).

To have the option to add files in the Notes section of Employees. This way when a contract changes, a pay rise is given, or if Leave needs to be adjusted, we can attach evidence of why changes have been made.

There’s a difference between having the ability to attach files to an employee’s profile, such as signed documents, NDA's and contracts, versus attaching manual timesheets or notes for a pay run.
We really need the ability to do BOTH.

Is it possible for someone from Xero to actually respond to this request. It's been here for such a long time with no comments from Xero. I feel that because we can already attach files to many other areas it seems the process is there. Id it so much more background work to get it happening?

This feature should be standard. Since file uploads are already available on supplier contact cards, why not extend this functionality based on the numerous requests for it? It would streamline information management, keeping everything within a single system rather than spread across multiple platforms.
