User Role - Access to Products & Services (Inventory) and Purchases/Sales only
Ability to allow individual access to inventory(products & services) and sales in Xero.
Purpose: Enable ability to view different sets of information within an org.

I'm happy to share that we have just rolled out these Product & service permissions to all users. To recap the change - within User Settings you'll now find there are multiple options to assign Product & service permission for an Invoice only user
- No access
- View
- View and create/edit
- View, create/edit, and adjust stock
We really value the input we have received from our community in the needs for more granular permissions for Inventory. We believe this new set of options will effectively meet the needs of the majority of our users. Thank you for your input! 🎉🙏

This is an important update as it makes total sense to have different levels of access which mirror the person's role in the business. I would prefer to have a a two tier system with one user who can process invoices and receipts like an accounts user but not have oversight to more sensitive information across the entire business. Not that I don't trust people, its just information for the Managing Director not a team member to view!

I have been asking Xero to create an option for employees to be able to access inventory only and make adjustments for the past 5 years! It seems outrageous that anyone working in your business can view all financials. Xero, please can you make this critical much needed change.

I require my stock team to be able to order and review stock but I dont want them having access to view bank accounts or financials.

This update is critical for our business.
Will most likely move to MYOB as our
office support staff need access to view inventory information through the “Products & Services” tab in order to complete their job.They most certainly don’t need access to the business bank account details, which essentially allows them to see all manner of information including wages payments made to other staff as well as bank account balances.
I imagine there would be a lot of businesses that are in the same situation and need this update.

Particularly useful for Sales Invoicing Clerks who also need to manage the Inventory Items as a convenience to typing, rather than for Inventory Management.

I agree with all the other businesses in the same position. Only the people in the financials of the business should be allowed in to access financials...
I have been asking for this function to be upgraded for 6 years. Please Xero can you urgently make this change! -

The grouping of user settings/options on Xero seems illogical, Admin staff need access to sales invoicing and stock modules in full, so you would imagine IO+approve and pay would suffice, however it doesn't allow stock/products access properly. To do this, the user needs to be a standard user, and can then see all bank transactions and balances, which just seems bonkers? Why are stock functionality and bank access linked?

Hi Pete and James. Apologies if I was misleading. Yes, it seems we will have to use another application but we have just started looking for solutions. I can't offer thoughts yet. If more of us are looking then hopefully one of us will find a solution and share. We moved from MYOB which, for this, at least, had a good solution.

@Chris Henderson I would also be very interested to know what other software you use. We have investigated other software, including writing our own with the API, but found that the API had the same limitations as normal Xero.

Totally agree with the OP. My admin is not able to access products and services to update our inventory list without having access to bank account details so I am left making these updates as required. My time can certainly be better used. I see there are multiple similar comments since the OP in May 2022. Please Xero, we know you can do better!

My client is still waiting for this feature to be improved! The changes to reports you're making at the end of July will affect how I do my job but currently my client is working 24/7 as he has to do all levels of his business because he doesn't want to give access to his business information to junior staff. In small country towns with no sense of loyalty these days, business owners need to guard their information with an iron fist otherwise their competitors will get an edge over them. Business conditions & life is hard enough as it is. If you support mental health as much as you say you do, get in there, stop changing reports that work well - are clean & crisp & readable - and send that time allocation over to create a new user role! Maybe by Father's Day some of these hard working people can spend the day with their kids instead of the back end of Xero.

It is very short sighted that this menu option is not available. I dont wish all staff to see all the bank/p&l figures but be able to enter basic info and create quotes/invoices

It would be incredibly valuable for procurement/purchasing officers to view and be able to make changes in this area (this is part of their job!). They do not need to see the rest of the financial accounts.

This has become a huge issue with our client who we have just converted to Xero from MYOB. Their engineers need to access the Items list all the time to reference details but we can't have them accessing the company bank accounts.
Pls Xero... there must be a way -

Here's what it actually means.., XERO,
For any BUSINESS OWNER who doesn't want their admin staff to see the companies bank balances, (probably most I would guess?? What do you think Xero??) this business owner then has to do their own admin relating to adding, changing, updating ANY inventory item.
Yay! I personally couldn't think of anything else I'd rather be doing - as a business owner!
SO, by enabling bank balances to be visible while doing any admin relating to inventory, this current setting is fundamentally detrimental to business and productivity.
