  1. When creating an invoice from a project-keep items in the same order as they appear in the project. It is very confusing when all the items are in different places than they were in the project and I have to reorder everything.

  2. We charge our consultants at a different cost rate per customer project and pay them a different cost rate per engagement. This is negotiated with them at the start of the gig and applies only to that Project.

    I want to set a different staff rate per project per staff member.

  3. Would it be possible to set up repeating projects? IE if I do the same work for a client each month to save me keep setting up a new project could I choose for it to be a repeating project?

  4. For time tracking against projects it would be really useful if employees with limited access could add time in the same way an admin can via a drop down (rather than clicking in to the project first - which is more time-consuming)

    Hi Lucy, thanks for your engagement and for highlighting this improvement for the time tracking workflow in Xero Projects.

    We've reviewed your idea to allow employees with limited access to add time via a dropdown menu, similar to the admin experience. It's now open to gain support from other community members. We can definitely see how making this process quicker and more direct would be a huge help for team members.

  5. Automatically add expense receipts associated with an Expense Claim to a Project that converts to an Invoice within a Project. Currently, the Expense Claim description is the only info added automatically to a Project when the claim is associated with the Project. Ideally, we need the receipts associated with those Expense Claims also added automatically from the library to the Project without having to search in a long list of library receipts for a match when creating a customer Invoice for expense reimbursement.   6. Ability to change the default work week for entering and viewing time entries in Projects.

    Purpose: Allows us to easily view employees time in the work week that we use for an outside Payroll.

  7. We would like the possibility to assign a validity period to each new "Tracking Category" entry.

    This would mean that you don't have to see all options every time the Tracking Category drop down list is selected e.g. when entering an invoice.

    It would also help to limit the Tracking Category options available to employees, for example, when they enter their expenses.

    Hi Amanda, Tracking was originally designed to be used as a way to track and monitor parts of the business that did not have a lifespan like departments. Appreciate there are many different ways our customers have grown to use tracking, and we'll start to track the interest in this through your idea. But do want to be open that we don't have any plans for this at present.

  8. On projects under "quotes & invoices" it would be great if it showed the remaining balance of the invoice. I send 4-5 invoices per project and sometimes clients pay a random lump sum and i write it off against the invoices but that can lead to an invoice being part paid and being able to see which invoices have been paid or have a remaining balance under that view would be beneficial instead of having to get out of projects and searching the invoice under the invoice tab.

  9. Hi,

    I would like to suggest a small but valuable improvement to the Projects section in Xero. Currently, in the "Quotes & Invoices" tab within a project, only the invoice number is displayed, which is useful for tracking. However, for many businesses, including ours, it would be incredibly helpful if both the invoice number and the reference field could be shown simultaneously in the project’s invoice summary view.

    This improvement would enhance visibility and make it easier to track project-specific details without losing sight of important invoice numbers.

  10. The 3 Project categories at present are Draft/In Progress/Closed. I would like another category called "Invoiced" so I could see which projects have been invoiced and are waiting for payment before we close them.

  13. Hi there, we have been using tracking options for our projects and we have now reached the maximum number and reached the limit for it, but we don't want to delete the previous projects<. Just want to know, if we can increase options limit to numbers. Thank you.

  14. It would also be a lot more practical to assign the expenses to projects in just the same way as it's done in invoices, instead of assigning them via the project tab. I notoced that not all expenses are taken into account and I had to go back to each bill to redo the project assignment to make sure that everything is accounted for, and even then, i find that there are still gaps.

    The invoice project assignment method has the merit of showing what was assigned or not.
    Having said this, it would also be very useful to have…

  15. The ability to 'lock in' previous periods pay rates in Projects. Currently, when uploading any pay rate changes per member of staff, this cascades back to all hours worked on projects which skews figures.

  16. Job Car Creation with Check list for empployees

    Having the Ability to do all things in one app without intergration would be ideal and more cost effective and productive.

    Simple

    1.Creating Jobs
    2.Add Customer
    3.Add Vehcile/Vessel
    Port & Starboard - Model Numbers, Serial Numbers
    Generaor Model Number, Serial Numbers
    4.Add Fault Description
    5. Engine Hours
    6.Trailer Brand
    7. Trailer Details - VIN, Model Number, GTM, ATM, Overall Length, Overall Width, Materail

    Everything needs to revolve around job Numbers

  18. Just brought on a new client on Xero that runs large number of projects. At the moment, Xero does not provide a facility whereby we can bring forward opening blalances for ongoing projects.

  19. Limited Projects Users should be able to print a timesheet. Those who are subcontractors require their own records, and this saves duplication. Clients often require timesheets to be signed, and the person who entered the time is usually the best person to arrange this, however they cannot do so unless they can print their own timesheet.

  20. I think the idea of Xero Projects is great. However, it requires a lot of hand-holding and reentering information to go through a project life cycle.

    Here are my top 10 improvements I think would make a FAR smoother experience.

    1. Pull through items quoted into the project as tasks once 'started'. This should be a bare minimum. At the moment tasks have to be manually added to any project.

    2. Push the project title into the reference tag so it displays in the Xero invoice list (otherwise there is no high-level description of what the job is for an invoice). Or…

    That's a few points you've listed, Nicholas. Sorry it's taken a while to respond to you here, and do appreciate the feedback.

    It's best for each point you've raised to be recorded as separate ideas so the community know what they're voting for, we can get a clear sense of interest in what customers are wanting to see, and we can keep you updated if a particular idea progresses.

    We have a few ideas that have been started and appear to relate to things you'd like to see too, I've adjusted the title of your idea here to represent your point on adding the project title to the Quote reference but for the others I'd recommend starting new ideas for each of these so we can start to track the interest from the community.
