  1. We use the project and task options for all our projects.
    Each of our tasks within individual project folders have fixed prices. These fixed prices are often of a substantial amount, with projects scheduled to run up to and at times over a year.
    We invoice each task/project for time spent each month till the project is completed.
    I would like to have the option to invoice against time spent at the end of each month on each fixed price tasks within each project.

    Being open we don't have any planned changes for your idea here, however it'd be good to get a sense of interest from others in community that'd like to price projects in this manner.

  2. It would be useful if when manually adding an expense to a project, there could be a description box available as well as entering the expense name. We sometimes need to elaborate on those costs for the numerous people looking at that expense but there is no-where to put this information unless it's added to the expense name.

    Hi Nicola, really appreciate you taking the time to share this idea. Right now, the only place to add detail when recording an expense in a project is the Expense Name field, which is limited to 100 characters. You can consider this as a workaround to include a short description with the title— but we know that it’s not an ideal solution when you need to provide more context or add a professional level of detail.

    This idea is now in the Gaining Support stage. If you’ve found creative ways to work around this or have thoughts on what a proper description field should include, we’d love to hear them. The more insight we get from real workflows, the more helpful it is in shaping future updates.

    We look forward to seeing more discussions on this idea.

  4. I'd like to be able to move expenses from one project to another without having to delete the expense under one project and manually enter it again into a different project number. It would be much easier and so much more efficient to be able to do the same as assigning a bill to a job number and if that job number turns out to be incorrect, it's simply a case of re-assigning the project number to it rather than having to delete and re-enter the whole thing again. Very frustrating and time consuming!

  5. Creating projects in Xero is a great and useful function. Creating estimated expenses inside of the projects is even greater. However, those estimated expenses not showing estimated costs to complete the project is a missing crucial feature for me. Currently the estimated costs do not show in projects summary reports unless there are expenses towards that estimated expense item. This is a major flaw because anyone wanting to track estimated expenses needs to know the estimated costs to complete on all projects.

  6. For time tracking against projects it would be really useful if employees with limited access could add time in the same way an admin can via a drop down (rather than clicking in to the project first - which is more time-consuming)

    Hi Lucy, thanks for your engagement and for highlighting this improvement for the time tracking workflow in Xero Projects.

    We've reviewed your idea to allow employees with limited access to add time via a dropdown menu, similar to the admin experience. It's now open to gain support from other community members. We can definitely see how making this process quicker and more direct would be a huge help for team members.

  7. When in Projects - Tasks & Expenses - it would be really handy if the supplier name was included.

    When adding bills, I have to remember to add the supplier name in the bill description before adding the bill info.

  8. Ability to be able to add multiple line items to expense claim bill, like a normal bill, when expense claims are submitted through Xero Me. When a singular cost is associated with multiple jobs, being able to add a second or third line etc to divide this cost within the bill and assign to project accordingly would be far better than having to upload the same expense claim multiple times with different portions of costs allocated.

  9. Automatically add expense receipts associated with an Expense Claim to a Project that converts to an Invoice within a Project. Currently, the Expense Claim description is the only info added automatically to a Project when the claim is associated with the Project. Ideally, we need the receipts associated with those Expense Claims also added automatically from the library to the Project without having to search in a long list of library receipts for a match when creating a customer Invoice for expense reimbursement.   11. Ability to change the default work week for entering and viewing time entries in Projects.

  13. It would also be a lot more practical to assign the expenses to projects in just the same way as it's done in invoices, instead of assigning them via the project tab. I notoced that not all expenses are taken into account and I had to go back to each bill to redo the project assignment to make sure that everything is accounted for, and even then, i find that there are still gaps.

    The invoice project assignment method has the merit of showing what was assigned or not.

  14. It is possible to see a list of bills not assigned to a project.

    However, I would like to be able to see a list of all transactions not assigned to a project including spend money and receive money.

  15. On projects under "quotes & invoices" it would be great if it showed the remaining balance of the invoice. I send 4-5 invoices per project and sometimes clients pay a random lump sum and i write it off against the invoices but that can lead to an invoice being part paid and being able to see which invoices have been paid or have a remaining balance under that view would be beneficial instead of having to get out of projects and searching the invoice under the invoice tab.

  17. The ability to 'lock in' previous periods pay rates in Projects. Currently, when uploading any pay rate changes per member of staff, this cascades back to all hours worked on projects which skews figures.

  18. When creating an invoice from a project-keep items in the same order as they appear in the project. It is very confusing when all the items are in different places than they were in the project and I have to reorder everything.

  19. Limited Projects Users should be able to print a timesheet. Those who are subcontractors require their own records, and this saves duplication. Clients often require timesheets to be signed, and the person who entered the time is usually the best person to arrange this, however they cannot do so unless they can print their own timesheet.

  20. I think the idea of Xero Projects is great. However, it requires a lot of hand-holding and reentering information to go through a project life cycle.

    Here are my top 10 improvements I think would make a FAR smoother experience.

    1. Pull through items quoted into the project as tasks once 'started'. This should be a bare minimum. At the moment tasks have to be manually added to any project.

    2. Push the project title into the reference tag so it displays in the Xero invoice list (otherwise there is no high-level description of what the job is for an invoice). Or…

    That's a few points you've listed, Nicholas. Sorry it's taken a while to respond to you here, and do appreciate the feedback.

    It's best for each point you've raised to be recorded as separate ideas so the community know what they're voting for, we can get a clear sense of interest in what customers are wanting to see, and we can keep you updated if a particular idea progresses.

    We have a few ideas that have been started and appear to relate to things you'd like to see too, I've adjusted the title of your idea here to represent your point on adding the project title to the Quote reference but for the others I'd recommend starting new ideas for each of these so we can start to track the interest from the community.
