  2. When you need to create a new tracking option in the sales invoice screen, you have to search for it again after you have just created it.

    This used to work where it would keep the tracking option you just created but now you have to then search for it to select it again. Doubling up.

  3. It would be helpful to have a way to tag files with searchable keywords that can be searched globally. Example, if i want my accountant to be alerted to particular set of transactions or one transaction , if can add a seaarchable keyword in the reference or notes field that would be appreciated.

  4. Basically calendar to add draft invoices to, to use as a job scheduling calendar.

    Add draft invoices/job to a date add basic detail to the schedule day and it saves the detail in the description row on invoice with the date.

    Each time you add an invoice to a date and you add detail it adds new row with simple details

    Once finished you finalize draft invoice as normal.

  5. Title: Add the ability to allocate tasks under major project categories (e.g., Direct, Indirect) and create sub-tasks in Xero Projects for better project summary management

    Description: Currently, in Xero Projects, there is no option to allocate tasks under broader categories (such as Direct, Indirect) or create sub-tasks within a project. This limits the ability to organize and simplify project summaries, especially for larger projects with multiple facets.

    Thanks for your detailed feature request to introduce task categories and sub-tasks in Xero Projects.

    We’ve reviewed your submission and have now moved it to the Gaining Support stage.

    This means the idea is live on the forum for other members of the Xero community to add their votes and comments. Our team keeps an eye on the ideas in this stage and uses the number of votes and the shared use cases to gauge demand for new features.

  6. Currently, Xero Projects allows us to enter and track predicted expenses, which is great for monitoring project costs. However, there is no equivalent option for predicted income.

    Being able to record predicted income against projects would provide a much clearer picture of project profitability and cash flow forecasts. This would allow project managers, accountants, and business owners to compare projected vs actual income alongside expenses, improving financial forecasting and decision-making.

    Benefits of this feature:

    Aligns income forecasting with existing expense tracking.

    Improves visibility of project profitability before actuals come in.

    Helps businesses plan resources, budgets, and cash flow more effectively.

    Hi Jalal, thanks for sharing this idea with us. We can see why this would be helpful for some users. Currently the way to view to profit is to add columns for both Gross Profit and % Profit to the Project Details and Summary reports.We've moved this idea to gain more support from the community. We'll watch it closely for more traction. In the meantime, you can share this idea with your peers who might want to see this feature in Xero as well.

  7. we have recently set up our business so everyone is on xero, we would like people to be able to view profitability in projects, but not have the admin user.
    Giving people admin user allows them too much access, but we want them to be able to see profitability on the projects so they can keep track.
    is there a way we can give them access, without upgrading their user role??

    Hey Rebecca, thanks for your engagement and for sharing this detailed suggestion about user permissions in Xero Projects.

    We've reviewed your idea to allow users to view project profitability without needing the full admin user role, and it can now gain support from other community members. We understand the need for team members to keep track of a project's performance, and why granting full admin access isn't always suitable.

    Along with votes, others can now comment to share additional detail about how this more granular user role would improve their project management and empower their teams. 🙂

  8. Ability to add a "Site Address" for the project. I have clients who are landscapers or in the construction industry and may have one client with multiple projects that each have a different location.

    Hi Shelby, thanks for sharing this idea. We appreciate you bringing this to our attention. At present users are utilising tracking categories to track different locations of a project. However we appreciate the need for a seperate field for address. We're moving this idea to gain more support from the community. Feel free to share it with your friends and colleagues so they can add their vote and comments.

  9. Certificate insurance is a big part of our company's operation. Xero needs to include a mandatory compliance option for companies to implement. When a compliance requirement, e.g., a certificate of insurance, is due to expire in 30 days, the system should prevent bills from being submitted for payment until compliance is met.

  10. we are currently setting up our company so that all employees use projects to keep track of time entries.
    however, we have given majority of our employees limited access as they don't need to see much, but it means they aren't able to add their expenses on. This isn't ideal for us as our employees do a lot of travelling and need to be able to add their own expenses on to claim their millage back, is this something that could be changed?

  11. It would be useful for the AI tool or even just a standard report to check if Department matched Budget. E.g. we have a Central department and all Central budgets start with Central. E.g Central: Stationery, Central: Web services. Or alternatively Xero to automatically allocate all Stationery purchases to Central Dept.

  12. Time adjustments or credits within a Project | Time entries in Projects works well and it makes sense that a time entry is locked once it is invoiced. However we regularly need to make adjustments for situations like (a) incorrect entries, e.g. billing time on a public holiday not worked, that we want to credit back against the invoice or (b) moving time between tasks within a project. I understand that Practice Manager has a "Time Credit" feature that may be suitableto this need if it could be made available in Projects. If not we need something like a manual…

  13. We use location codes to sperate our transactions by site or (cost centre). I tried to create a bank rule to allow the transaction to be dynamically allocated to an individual location, depending on the location appearing in the transaction description.

    I have been told that this does not currently exist.

    Hi Peter, thanks for sharing this idea about having the option for setting tracking categories in bank feed rules. This idea is now in Gaining Support status, which means it's open for the community to show their support through votes and comments.   14. I would like a solution to be able to import a list of projects. ie project number, client name, project description. It is very time consuming to setup projects individually one by one. Would be much easier if I could create an excel listing, convert to csv and import to xero

  15. With the advent of MTD in the UK where Tracking categories are going to be THE de facto way of splitting Business, Property, and Personal transactions it is crucial that we have the option of making tracking categories mandatory.

    I see that this request was made many years ago - and that last year Xero said they weren't going to implement it AND turned off comments for the idea!

    It needs reviewing - and it can't be a technical nightmare to implement.

  16. It would be good if there was a way to automatically populate or bulk apply the same department and staff member across all lines on an invoice. Ideally, a feature that allows this information to be applied once to the entire document would significantly improve efficiency.
    I might have 20 lines on an invoices and if all items sold refer to the same department and salesperson it would facilitate if I could click on button and repeat these fields on the invoice. The invoice or bills pre setting only work if I am always using the same department and the…

  17. It would be so helpful to have a column on the Projects homepage showing the to-be-invoiced-amount. Currently it shows the total Time and Expensese amount.

    Because we have so many projects on the go, your reports do not work (too much information to process) so the only way to know if a project has time/expense un-invoiced is to open every one of them and check.

    Very time consuming and frustrating! Not very 'smart'.

  18. Assigning sub-contractor paid bills to tasks in Projects

    Hi , there is currently an option to assign incoming bills to specified projects, which works well for our subcontractors.
    There is also an option(drop tab) once each bill is in the project to assign the bill to specific tasks; but this option does not work (unable to click to tasks).
    Please make this option work, as currently adding bills to our projects places the project over budget, and confuses the invoicing process.
    Being able to apply each paid subcontractor bill to specific tasks will be a game changer for us.

  19. It would be so helpful if when it comes to invoicing, like estimated expenses, you could group Tasks. So that there is just one line item on the invoice.

    Staff have multiple labour charge out rates depending on what type of job they are doing, so record their time to multiple tasks. But we only want to show one total Labour cost on the invoice.

    The current workaround is to bring through up to 15 lines from the Tasks, manually calculate the total, and remove the additional lines - which then loses the tracking on what has been invoiced.

  20. There is currently a start and end option, but could this be replaced with a date range option instead? It can take around 10–15 minutes to enter a single week of billing as each day has to be posted individually, and employees can’t clearly see which days they’ve already entered, increasing the risk of errors.
