It would be great to have a feature that allows users to group clients within their HQ (or the main dashboard) in a way that only selected users with specific permissions can access certain client groups. This would provide more granular control over who can see and manage specific clients, making it easier to manage access for teams working on different client accounts.

    This would be especially helpful for firms with multiple teams handling different types of clients (e.g., accounting, payroll, etc.), ensuring that only relevant team members can view and work on certain client groups.

    Hi Rumyana, this is a thoughtful idea, and we can see how having more control over who can access specific client groups in Xero HQ would be useful, especially for firms with different teams handling various services like payroll, BAS, or advisory work.

    The idea has been reviewed and is now gaining support, which means it’s open for others to vote and share how this would help in their practice. As support builds, it helps give the product team a clearer view of the need across different types of firms.

  3. Xero's feature of importing invoices into XPM is great for clients. But there is no way currently to stop importing them for people who aren't clients. Currently - we sell digital products, which we need to keep invoices for. Every time a digital product is sold, it creates a new client in XPM. They aren't clients.There should be the option to only import if a client exists in XPM.

  6. In Xero HQ, it would be helpful if the "Manage Users" permission were optional for Admin staff—or if there were an additional permission level between "Admin" and "Standard," similar to QBO's "Standard - All Access" role where you can toggle on and off several higher permissions.

    We’d like certain staff members to have access to all Xero files and clients within our practice without the ability to add or remove users or administrators.   7. Allow for Bank Transfers between two different currency bank accounts via the Xero API.
    This is a fundamental and common use case for bank transfers, and is available within the product, but not available within the Xero API. Please make this available to your API users and business partners.

  8. Would like to see the ability to turn on mandatory notes for billable jobs rather than optional. Happy for this to be turned on/off at a practice level.

    This will ensure that time is being recorded correctly against client jobs and making the team member accountable for time allocated.

    This means no missing information and clients can be billed correctly.

  9. Allow CSV/XML Import into Xero Tax Returns from External Form Tools
    Please add the ability to import tax return data into Xero Tax from external tools like Content Snare using a structured CSV or XML—similar to ATO pre-fill.

    This would let us auto-fill returns from client forms, reduce manual entry, and speed up processing. A simple mapping template or import tool would make a big difference.

  11. Joint bank accounts need to be listed in the financial institution details of both parties in XPM. It would be great to have them linked so only one client needs to be updated and the changes flow to the other client, and into the tax returns for both

    Hi community, we’ve created this idea based on feedback we’ve heard, to help improve your workflow in Xero Practice Manager.

    The suggestion is to add a safeguard that prevents jobs from being closed when they’re still linked to an active tax return. We believe this would help reduce errors and support smoother compliance processes.

    Hi Emily, thanks for sharing this fantastic suggestion for improving the invoicing workflow in XPM. We can see how having more direct visibility of costs would make billing decisions much easier.

    We've reviewed your idea to add a calculated 'Cost' column on the screen when reviewing task postings to be invoiced. We understand this would help you better judge what to invoice and how much for at a glance.

  15. When running reports, posting timesheets etc, it would be good for the client search function to search the entire name, rather than requiring exact input. Similarly, the ability to type a date in any format (e.g. DD/MM/YY), rather than being exact or using the calendar icon.

  16. Would it be possible to close sections of the job that you don't use and these stay as default. (Information Tax - job details, custom fields etc.) This would make it easier to see the sections you do use. It would also be useful if you would put them in the order you prefer.

    For example to me the most important section is tasks and these are quite low down the list. I would like this to be a default setting.

  17. With the movement towards Digital ID (MyID, Auspost Digital ID, Connect ID).

    Hi Christopher, we appreciate you sharing this idea. We understand the value of being able to set a custom password for Outcome of Assessment (OoA) documents in Xero Tax. Having more control over how these documents are secured can help you align with your firm’s processes and better meet client needs.

    At the moment, Xero Tax automatically applies the client’s date of birth as the password for OoA documents in dd-Mmm-yyyy format. While this works in many cases, we acknowledge the interest in having more flexibility — whether that’s for consistency across documents, improved client experience, or added security.

    This idea is now in the Gaining Support stage. The community votes and comments help us understand how important this is to the wider Xero community and guide future product discussions. We’ll continue to monitor the feedback here and share any updates as they become available.

  19. In Xero Tax, you can enter "Any other payments or credits on account" to show what a client has already paid towards their tax bill. But you can't enter a negative figure (i.e. a refund already received for a return that is being amended) and there is nowhere to add in any outstanding tax from a previous return etc so that the payments report factors this in.

    It would be good to be able to have some additional boxes to show these please.

    Thanks for sharing your idea for being able to enter a negative figure for other payments. This is something our product team are currently exploring and we'll keep you updated on any progress for this, here.

  20. When creating custom queries, only the system default workpapers are available to add the query to. So when you are processing the workpapers, you need to manually move each query to its relevant workpaper, if you want it on a custom workpaper. Please add custom workpapers to the custom query creation list.

    Alternatively - if queries were rolled forward from one year to the next, custom queries would only need to be moved in the first year.
