XPM Client Informaiton Data Entry flow and navigation
The current fixed order of fields within the Client Information screen (Client tab) is leading to inefficient data entry and potential oversight of critical details. We request an improvement to the field ordering logic, ideally through admin-level customization.
- The Need for Re-ordering (Current Issues) The current arrangement does not prioritize fields based on operational importance or logical grouping:
Operational Priority: Critical identification fields, such as the Partner and Client Code, are often placed illogically far down the page, sometimes below less essential fields like the Website URL. This forces staff to constantly scroll to capture essential details.

Add 'Practice Information' to the Main Menu Bar
Currently, Practice Information (which contains key firm-wide settings, addresses, and details) appears to be missing a direct link in the main navigation menu (the left-hand sidebar).
Issue: Users must navigate through multiple menus or settings screens to find and update core firm details.
Request: Please add a clear, direct menu item for Practice Information to the main vertical menu bar for easy and immediate access.
Implementing these changes would be a significant quality-of-life improvement for all XPM users. Thank you for considering this feature request!

Xero Practice Manager - reinstate 'Archived' tag for archived client profiles
Following the update, we can no longer easily tell if we are viewing an archived client profile in Xero Practice Manager. Previously, there was an 'archived' tag however now the only way to tell is to check the Relationships section where 'archived' appears next to each related client name (so no way to tell at all if that client had no relationships). Not having this information clearly visible could lead to confusion as to the status of a client.

XPM - Default balance date for new clients in XPM
Since the recent XPM update in Nov/Dec 2025, the balance date for new clients is now auto-populating as January. For the majority of New Zealand clients, the balance date is March, so defaulting to January is not practical.
If the balance date is going to be auto-populated, it should default to March rather than January to better reflect common NZ reporting periods.

XPM - Restore mobile phone and salutation fields when editing contacts
Since the recent XPM update in Nov/Dec 2025, when editing an existing contact, the mobile phone number and salutation fields no longer appear. Only the “phone” field is visible.
When adding a new contact, these fields are still available, and when viewing an existing contact, the data is still present. However, it is not possible to see or edit these fields during contact editing.
Most of our phone numbers are stored in the mobile phone field, so this change significantly impacts usability.

XPM - Allow editing existing contacts without requiring an email address
Since the recent XPM update in Nov/Dec 2025, it is no longer possible to edit an existing contact unless an email address is populated. An email address is now treated as a required field when editing, even if the contact previously existed without one.
Creating a new contact without an email address is still allowed, which makes this behaviour inconsistent. Being able to edit existing contacts without needing to add an email address would restore flexibility and better reflect real-world client contact records.

XPM - Remove pop-up label when hovering over client name on XPM group screen
Since the recent update in Nov/Dec 2025, hovering over a client name on the XPM group screen shows a pop-up label that repeats the client name.
This pop-up does not provide any additional information and often gets in the way while navigating the screen. Removing it would improve usability and reduce unnecessary on-screen clutter.

XPM - Increase visibility of group name on group screen
Since the recent XPM update in Nov/Dec 2025, the group name is less prominent on the 'group' screen, and does not stand out as clearly as it did previously.
The larger group name made it easier to identify which screen you were on, which is especially important now that many screens have a similar layout. Increasing the prominence or size of the group name again would improve clarity and usability.

XPM - Return to group view when navigating back from a client
Since the recent update in November/December 2025, when navigating back using the back arrow from a specific client, the system returns to the full client list rather than the client’s group.
It would be more helpful if the back arrow returned users to the relevant group view instead of the full client list.

Xero HQ - Only show active staff when assigning Blue Xero client access
Since the recent updates in Nov/Dec 2025, when adding staff access to Blue Xero clients in Xero HQ, the staff list now shows ALL staff members, including those who are inactive or no longer working. Previously, only active staff were displayed.
Having inactive and former staff appear in this list creates unnecessary clean-up work, as these users must be manually removed. Restricting the list to 'active staff only' would improve usability and reduce the risk of incorrect access being assigned.

XPM - Improve XPM client screen layout on mobile devices
Following the recent XPM updates in Nov/Dec 2025, the client screen does not display correctly when viewed on a mobile device. The page layout appears distorted and is difficult to read, making it hard to use in a mobile web browser.
Older XPM pages that have not been updated yet still display normally on mobile, so it would be helpful to improve the layout and usability of the updated client screen to ensure it is mobile-friendly for web access.

XPM - Restore phone number display for contacts on client
Following the XPM updates in November and December 2025, on the client screen in XPM, the contacts section no longer displays a contact’s mobile or phone number. Only the name and email address are visible, which means you must open each contact to check whether a phone number is recorded. Previously, having the phone number visible on the main screen made it much quicker to assess contact details at a glance.
Restoring the display of mobile and phone numbers in the contacts area would improve usability and avoid unnecessary extra clicks when a number is not listed.

XPM - Restore number of notes & number of tax returns indicator on Client
Following the XPM updates in November and December 2025, the Tax Returns and Notes tabs no longer indicate whether a client has any open tax returns or existing notes.
This indicator was previously used to quickly identify active items on a client without needing to open each tab, we are particularly missing the notes indicator.
As similar indicators are still shown for Jobs and Invoices, it would be helpful for consistency and usability if this functionality could be restored for the Tax Returns and Notes tabs as well.

XPM - Restore main entity star indicator in XPM groups
Following the XPM updates in November and December 2025, the star indicator within client groups that identified the main entity has been removed.
This indicator was heavily relied on to quickly identify the primary entity within a group. Please reinstate the star or an equivalent visual marker so the main entity can be clearly identified at a glance.

On Job Manager, a staff member accidentally selected all active jobs and changed their status from “In Progress” to “Completed” using the bulk update feature.
Impact:Over 150 jobs were marked as completed.
Workflow visibility was disrupted, and deadlines were missed because jobs disappeared from active lists.Root Cause:

Practice tools | Navigation - Ability to Star and favourite clients
The removal of this marker in the latest XPM upgrade has a significant impact on administrative functions for client groups - we use it to indicate the main billing entity within large groups of clients and can now no longer see how the client prefers to be billed for their work without going into multiple client records to check if a billing group has been set
