  1. Since the recent update in November/December 2025, when navigating back using the back arrow from a specific client, the system returns to the full client list rather than the client’s group.

    It would be more helpful if the back arrow returned users to the relevant group view instead of the full client list.

  2. Since the recent updates in Nov/Dec 2025, when adding staff access to Blue Xero clients in Xero HQ, the staff list now shows ALL staff members, including those who are inactive or no longer working. Previously, only active staff were displayed.

    Having inactive and former staff appear in this list creates unnecessary clean-up work, as these users must be manually removed. Restricting the list to 'active staff only' would improve usability and reduce the risk of incorrect access being assigned.

  3. Following the recent XPM updates in Nov/Dec 2025, the client screen does not display correctly when viewed on a mobile device. The page layout appears distorted and is difficult to read, making it hard to use in a mobile web browser.

    Older XPM pages that have not been updated yet still display normally on mobile, so it would be helpful to improve the layout and usability of the updated client screen to ensure it is mobile-friendly for web access.

  4. Following the XPM updates in November and December 2025, on the client screen in XPM, the contacts section no longer displays a contact’s mobile or phone number. Only the name and email address are visible, which means you must open each contact to check whether a phone number is recorded. Previously, having the phone number visible on the main screen made it much quicker to assess contact details at a glance.

    Restoring the display of mobile and phone numbers in the contacts area would improve usability and avoid unnecessary extra clicks when a number is not listed.

    Thank you for the detailed feedback regarding the recent XPM updates.


    I’ve moved this into Gaining Support. I can definitely see how the removal of those phone number columns has added extra steps to your workflow. While the recent design updates aimed for a cleaner look, "at a glance" information is vital for busy practices.


    A quick tip for now: If you need to see phone numbers across your client list without clicking into each one, you can customise your main list view:


    1. Go to Clients > All Clients.
    2. Click the Columns button on the right.
    3. Tick Phone and Mobile. This will surface those numbers in your main list view so you don't have to drill into each record.

  5. Following the XPM updates in November and December 2025, the Tax Returns and Notes tabs no longer indicate whether a client has any open tax returns or existing notes.

    This indicator was previously used to quickly identify active items on a client without needing to open each tab, we are particularly missing the notes indicator.

    As similar indicators are still shown for Jobs and Invoices, it would be helpful for consistency and usability if this functionality could be restored for the Tax Returns and Notes tabs as well.

  6. Following the XPM updates in November and December 2025, the star indicator within client groups that identified the main entity has been removed.

    This indicator was heavily relied on to quickly identify the primary entity within a group. Please reinstate the star or an equivalent visual marker so the main entity can be clearly identified at a glance.

  8. Incorrect Bulk Update and Suggested Notification Process

    Example Scenario:
    On Job Manager, a staff member accidentally selected all active jobs and changed their status from “In Progress” to “Completed” using the bulk update feature.
    Impact:

    Over 150 jobs were marked as completed.
    Workflow visibility was disrupted, and deadlines were missed because jobs disappeared from active lists.

    Root Cause:

    Bulk update permissions were too broad.
    No audit trail or alert triggered when job states changed.

    Recommended Controls:

    Trigger Email Notifications for Job Status Changes/Setting up email alerts
    Detecting incorrect bulk updates

    This idea is now in Gaining support status, meaning the community team have reviewed it and it's open for community support through votes and comments. We encourage others who'd find this helpful to add their votes and share their experiences.

    In the meantime, it is worth noting that a custom job notification for job state change could be created in your XPM account if you haven't done so already.

  9. Overview:
    Currently, in Xero, the branding theme determines the payment terms and payment method for invoices and bills. While this approach works for general branding purposes, it limits flexibility when managing diverse customer or supplier requirements.

    Problem Statement:
    Many businesses have contacts with unique payment arrangements that do not align with a single branding theme. For example:

    Certain customers may require extended payment terms (e.g., 60 days) while others operate on shorter cycles (e.g., 30 days).
    Suppliers may prefer specific payment methods (e.g., EFT, credit card) that differ from the default settings.

    Hi Meehgan thanks for sharing this idea here. Appreciate having the need to have different payment terms for different contacts. While this is not an existing option in Xero, we are adding your idea to gaining support so that other members from the community are also able to add their comments and vote on this. :)

  10. In XPM when adding time through the clock, you can add the client, the job and the task that you are working on as well as add notes and mark as billable.

    It would be really useful to have a drop down for the job state as well so that this could be updated once you have worked on the job. The ability for quick job state update already exists on the Jobs Overview table so would be good to have here as well from a workflow point of view

  13. The Client Name used to be clear and in the centre of the page before the new update. Now, I forget which client I am in, and it is easy to get it mixed up with the Referral Source.

  14. In the old xero version, you could click on the contact and edit the salutation.

    This option is no longer available.
    The only way to update is to exit client, go back to clients, select contacts, search contact then edit details.
    A lot of extra steps just to add or update a salutation after a contact has been created

  15. When you have a departing group, you have to now click on the group, select the entity, click on the 3 dots and select Archive.
    This removes the entity from the group. You then have to start again and search the next entity from clients, and repeat the steps. as you cannot select back to take you back to the group.
    In the old xero version. While in the client, you would select a drop down box while in the client and select archive. Then while still in the client, you could click on the Group and select the next…

  16. It'd be helpful in some cases to provide a Staff member temporary access to a Client.
    There can be situations where a staff may only need access for a day or month and being able to set a timeframe for this and then access be removed would be helpful.

    Hi community, we've started this request to gauge specific interest in enabling staff to request access to a Client within the unified experience.

    Stemming from this original idea, this isn't something we have direct plans of at this time, but our product teams are staying close to the ground on what our practices would like to see developed and will consider this in future planning. 🙏

  18. XPM Notes - Restore date and time details.

    With the new changes to notes in XPM it now shows an approximate timeframe ie- a month ago, 2 months ago.

    It no longer shows an actual time stamp on the note to know when it was created or when it was edited...

    We use the notes section to record ATO interactions and being able to give them an exact date is much more effective than to say about 2 months ago. Especially when they haven't met their requirements with solving issues.

  19. Previously, checkbox options were all visible, without clicking.

    Now I have to click and see the options (extra clicks, I don't want extra clicks).

    Previously, I could click Opt Out and it would opt out... now I have to uncheck 3 x boxes (extra clicks, I don't want extra clicks). If I wanted to opt in, I could uncheck Opt Out and it would opt in... now I have to check 3 x boxes (extra clicks, I don't want extra clicks).

    What is it about making the product more efficient, not less efficient, do you not understand?
