Contacts - Supplier audit report add last active/used date
Can we please have an option to run a report for contacts incl Suppliers for example, where we can then audit new suppliers for a time period. Links into other ideas posted here to also see last active/used date. Similiar to the account transaction reports but to be able to run one for Contacts/suppliers would be super helpful for audits. For tracking payable transactions (bills) by contact, we suggest using the Supplier Bill Activity Report or filtering the Account Transactions Report by contact and payable invoices. Contacts - Warning of existing archived contact with same name
Xero currently does not identify a contact as a duplicate if the contact has been archived and another one is being created with the same name.
Some people have thousands of contacts so this isn't something that we can manually check before we create a new contact.
It would be much better if Xero advised you that there was an archived contact with the same name when you are creating a new contact - then we could just restore the previous contact, and all of our purchases (or sales) would be in the same correct contact. This would also improve…

Contacts list - Make payment option
If i am searching a contact i would like the option to be able to make a batch payment from that screen.

While we don’t have any plans to share on this at the moment, we do want to better understand the level of interest and the different ways customers would expect this to work. We’re moving this idea to Gaining Support so we can continue gathering feedback and track demand more clearly.

Contacts - Option to navigate pages of the Contacts list from the top of screen
It'd be useful to have the ability to paginate from the top of the Contacts list screen to avoid having to scroll down the page.

Contacts - Add photo to customer profile
Add a photo to a customer file.
The companies I work for have over 100 tenants.
It would be great to be able to add a photo of the tenant for recognition purposes.It will make phone and email queries easier.
The photo can then be displayed next to the customer's name

ATO - Client Phone/Mobile populated field included in reports
Need to identify clients where the Phone/Mobile field has been populated. Currently reporting and exporting options do not separate the populated Client Phone field into Phone/Mobile etc. There is a compatibility issue with ATO SmartDocs not picking up the mobile phone number if it is in the Client's Phone/Mobile field. We need to move these to Phone/Phone field to fix the issue, but currently there is no way XPM can provide a list or report showing clients where their Phone/Mobile field has been populated.

Search by & select contact groups when sending Invoices/Statements etc.
Instead of manually adding/removing email addresses when sending invoices via Xero, being able to select a contact group to send them to.
For example, for one of my clients, when I send an invoice from Xero I need to CC 5 different internal people and would rather be able to select a group instead of entering them individually.
Being able to select a group would be less time consuming for us, and look less clunky for their customer.

Add Contact Name to History and Notes Report
Add Contact Name to History and Notes Report - we use this report for bank account changes audit purposes. It would be great to have a column with the contact name to assist with this audit process. Currently we need to click into each contact to find the name.

Contacts - Enter default descriptions for Sales/Purchases
Supplier/Purchase defaults should allow a default description.
I have to copy and paste the same item into multiple bills and line items. Xero automatically grabs the dates, contact, and reference, allows defaults on tax but for some reason ignores the description field.
Please add this small feature that would save hours of manual inputs.

This isn't something we have any plans of at present but will keep a track on the interest this builds here.
In terms of existing functionality - if not already you may find creating untracked Inventory items helpful where you could add a default description for the item that you can select when creating invoices/bills for your contacts. You can set a separate description for Sales versus Purchases.

Contacts - Create alert when entering a bill if a new contact has been created
When entering a invoice create an alert if a new contact is being in created, in case it is an error. It is too easy to make a typo without noticing and Xero will just make a new contact as default even though it's not needed.

Contact List - View contact group and last activity date
In Xero, under All contacts, would be great if we & please add had more columns or choices to add certain column of attributes of the contact showing if they are in a group, and possibly a last action date of last transaction, so that any can be easily Archived, when they haven't been accessed in a long while. Thanks!

Contacts - Field for Supplier's Account Number
We need the ability to list both a Supplier's Credit Limit (for Supplier Purchases, not Customer Sales) and their Account Number (as given to us by the Supplier)

History and Notes - Contact History & Notes Add filter and sort to differentiate xero system additions to our own notes
Can we please add some kind of sort or filter option to the History and notes section of a contact. Every time a statement etc is emailed it creates a history line which is absolutely fine, however when you add your own notes to a client (eg we advise them when there is a price increase to their subscription, we make a note on their file) it gets lost in all the history transactions listed of statements sent, so to be able to sort between what a system record created by xero is versus an actual note entry that I…

Contacts - Switch "They Owe" and "You Owe" columns to align with accounting norms.
The Contacts listing in Xero shows amount owing on left and amount receivable on right, it would be more 'readable' to accountants if it were the other way around:

It's worth noting that the current orientation matches the Spent/Received columns in the Reconcile tab of the bank account. You might like to raise a separate product idea if you'd also like a similar change there (or maybe an option to swap the columns around).

Contacts - Ability to select a person instead of company name for all instances of use
In nearly every other business program, a Contact refers to a person and not the business name. The person should be the primary entry entered for contact information, and the business name is an attribute to that person, not the person an attribute to the business as it is currently set up in Xero. We often have to change the specific person (or entity like Accounts Payable) who a quote or invoice or other document needs to go to, and the only way to do that currently is to change the primary person under the business name each time we…

Contacts - Turn off the Contact name suggestions when entering transactions
Please provide functionality in Xero to turn off the contact name suggestions when creating an invoice, bill, receive money or spend money transaction. This is very frustrating especially if you make a mistake and it saves it, it is there forever. Also the list can get quite long. We need to delete the names that are not required anymore from the list. Please, please fix this issue up.
11 votesHi everyone, appreciate the feedback here. As you may have noticed we have made some changes to the Contact field within new invoicing over the past few months to improve the experience.
When entering a contacts name, the contact's shown are results from your existing contact record.
As a start to help with cleaning up contacts that have been created in error you can either edit contact records, or merge contacts that may have been created as duplicates in error. This will help limit the number of contacts that are appearing in results when you type a contacts name on an invoice.

Contacts - View balance of outstanding amount in multi currency
I would like to have having ability to quickly see the outstanding amount in the currency it was originally invoiced (like USD or EUR) directly from contacts dashboard, without having to navigate through detailed reports and apply multiple filters. This would save a lot of time.

Inventory - A report for quantity of product items sold per contact or group
I want to be able to run a report of the quantity of a specific item that my contact or a group of contacts sell in a specific time period. not dollar amount, but an actual item or group of items.
1 voteThanks for your suggestion about reporting on the quantity of items sold per contact or contact group over a given period (rather than just the total dollar value). At the moment, Xero doesn’t have a specific report that shows “item quantity by contact or contact group”, and this isn’t on our current roadmap for inventory or reporting. Today, some customers approximate this using the Receivable Invoice Details report or Sales by Item report with filters and external pivots, but we know that’s not as simple as having a dedicated report.
This idea is still open for votes and If this work does move onto the roadmap in future, we’ll post an update on this idea.

Contacts - Automatically create contacts based on bank transaction details/payee
For users who do not use Xero to create invoices, automatically create customers and suppliers based on receipts or payments in bank reconciliation.

Right now, as you may be aware you can easily create a new contact while reconciling, however the contact will only be classed as a customer or supplier based on the type of transacti9ons that are entered for them.
We have an existing idea around this I could merge your feedback in with?
