  1. The new xero files screen is awful and it takes me double the time to do anything.

    I enter the invoice red in file screen and it doesn’t pull through to the draft so I need to do it again, I have to catergorise every line on a small bill whereas previously it would have been block entered if it was for the same nominal, no option to copy from purchase order so that now has to be manually marked as billed, having to go through the additional step of approving a draft takes longer and no option to code…

  2. Would be great to be able to assign a special rate to a particular client so that rate generates each time you invoice that client and also add tick box to mark as bad debtor which flags them up.

    Hi Denise, thanks for sharing this idea! We can see how a “Bad Debtor” flag could be a really useful tool for managing risk. When your business is busy, you don’t want to accidentally extend credit to a customer who’s already significantly overdue.

    Right now, the absence of an automated alert means staff often have to double-check a customer’s payment history or risk raising an invoice for someone who should be on a stop-credit list.

    As a short-term option, you can use the Contact Notes field. Adding a note to a contact makes it visible when viewing their details, though it doesn’t yet “pop up” during invoicing.

    Regarding your idea on default rates, you can already assign a default discount rate to contact records. You can also use the Untrack Items feature to make data entry faster and reduce manual effort.

  3. Allow customer's company and/or contact name changed as of an effective date. Retain original customer's company and/or contact name prior to effective date and future business is recorded post effective date with new customer's company and/or contact name.

We appreciate hearing how adding an effective date would be beneficial when you don't want the changes to affect the existing transactions.   4. We're experiencing issues when an invoice is emailed in - Smart Capture adds any images in an email signature to Xero files as a document. These .png or .jpeg files are logos or social media buttons in the email signature.

    I've emailed in 2 invoices to test the function and now have 14 files to review. If I ask my client to email in receipts these additional images will need to be reviewed and deleted one by one to check they aren't an invoice or receipt; this wastes time. We also use Dext for invoice processing and don't experience this…

  5. Credit control- the history data needs more detail
    Sending an invoice and sending a reminder - have the same written detail in history

    Can you differentiate when a reminder has been sent at least !

    Can you also differentiate if the reminder is Overdue, On stop or Letter before Action as per the different email body templates available to send

    Hi team, thanks for sharing your thoughts on adding expiry and renewal dates to files. It’s been useful to hear how this could support the management of compliance-related documents like insurance certificates and training records.

    The idea of having reminders for upcoming renewals is a practical one, particularly for teams working in compliance-heavy environments. We’ve moved this idea to Gaining Support, which means it’s now open for the wider community to add votes and comments. If this would be helpful for your business, feel free to share how you’d use it or any specific scenarios you have in mind — that context helps shape what we look at next.

    In the meantime, the current workaround is to track renewal or expiry dates outside of Xero, and archive expired files before uploading the updated versions when they’re ready.

  7. Include contact details (eg address, contact no, etc) when generating other reports like inventory, sales and etc.

    Hi Shantina, can you share a little more on what you'd be wanting to do or the use the report would have to you? This will help in sharing back with out product teams and for others in the community to consider if this is something they'd like to support too.

  8. To activate the option to be able to sort files by ASSOCIATED WITH in addition to SIZE and UPLOADED. The enormous amount of files now sitting in Archive must have all three columns active to give us an option to locate our files ASAP.

  9. Abilty to log into APP with different email address (not the alias option) for people who work at different organisations they are very protective of what email address they will send paperwork to and have control of with privacy and control. Therefore the app needs to allow multiple logins with different emails address rather than the alias option as this will not be accepted by alot of businesses.

  11. In the transaction lists in a client, having the ability to add "account" column to see what expense account a Spend Money is associated with, or the income account a Receive Money is recorded to.

    Hi Kyle, thanks for sharing this suggestion.

    We understand you’re looking for an option to show Account Codes directly within the contact activity view, so you can review transaction details without needing to open each individual entry.

    Having more visibility into transaction coding could make it easier to review contact activities and complete regular account checks.

  12. I have many clients so it is time consuming to go to each client organisation and into Files just to check whether there are new uploads. It would be great to have a dashboard in Xero HQ that showed how many items were in a clients Xero Files inbox. Or at least get notified when a client has uploaded to the Files inbox.

    We understand you’re looking for a central way to see when clients upload new documents, such as a notification or status indicator within the partner dashboard.

  13. With the increasing requirement to submit sales invoices to the customer portal (eg Coupa) an alert or field on the invoicing screen to remember to submit this way rather than by direct email would be appreciated.

  14. I'd like to be able to add the members of a contact group (from the group's page) to another contact group in bulk. The only options at the moment are to bulk MOVE the contact from one group to another, or to go into each contact individually and manage groups to add them to another group. The other way is to choose them in bulk from the ALL contact page, but when you have lots of contacts & you are wanting a group which is made up of 2 or more other sub groups, this is not practical - I'd…

  15. Overpayments on a supplier on the front screen only show the original amount overpaid not what's left to use up.
    On an invoice you show what's o/s under 'Due' if its part paid, can you not do the same with overpayments?
    Currently you have to click on the overpayment to see how much is already allocated & what's left.

  16. It would be very helpful if contact group changes were shown in the history - what change was made, when, and by whom. Currently, they leave no trace.

  17. It would be fantastic to attach more than one file when publishing from Hubdoc to Xero! Often bills come with supporting documentation, such as contracts and/or receipts. It would be great to be able to attach these, as well as the original bill to be published.

  19. When the transaction is reconciled to a Bill that's been uploaded from HubDoc in Xero, it should mark the document as Paid in HubDoc. (Google's AI-generated answer says that this happens, but it doesn't on my account). That way it would be much easier to see in HubDoc which items still aren't reconciled

    Specifically, if a document is
    1) published as "Purchased, Awaiting Payment", and published to Xero
    2) that bill is then reconciled to a transaction in Xero, so that bill is shown as Paid and linked to Hubdoc
    3) then when viewing the document in Hubdoc, "Mark as…

    We understand the workflow you're proposing: when a bill from Hubdoc is reconciled in Xero, its status should automatically sync back and be marked as 'Paid' in Hubdoc.

    We're grateful for your engagement and for letting us know the changes that matter to you.

    We've reviewed your idea for the 'Paid' status to sync from Xero back to Hubdoc, and now it can gain support from other community members. Along with votes, others can now comment to share additional detail about how this two-way sync would improve their experience.

  20. When we change a bank account currently only the user that makes the changes gets a notification which is a security weakness. We need all users or at the very least the main administrator or Finance Manager to be notified of changes.
