Contacts - Supplier Statement "Detailed Ledger" (Running Balance Statement)
We need a new report for suppliers that functions as a true detailed ledger with a running balance.
The Problem: When we need to reconcile an account with a supplier, there is no single, clean report that shows a simple chronological history of all bills and payments. We can run a "Supplier Transaction Report," but it's often not in a simple, statement-style format that's easy to read or send to the supplier.
We need the Accounts Payable equivalent of the "Detailed Ledger" statement that is also needed for customers.
The Request (Solution): Please create a new report, "Supplier Detailed Ledger," that:
Lists all transactions chronologically (Bills, Supplier Credits, and Payments Made).
Shows payments we have made as their own individual line items (e.g., "Jan 20: Payment Made - R2,500").
Maintains a "Running Balance" column that shows the amount we owe after each transaction.
This report is essential for internal AP reconciliation and for resolving account discrepancies with suppliers. It provides a clear, simple, and auditable trail of all activity in one place. This is a standard and necessary report that many competitors offer, and its absence in Xero creates manual work in Excel.

Hi Jasmine, thanks for sharing this idea with us. We can see why this would be helpful for some users. Currently, Xero offers the Supplier bill activity report and the contacts Activity statement. While this information is available on the account transaction report,it is not available in a Statement format. We've moved this idea to Gaining support so that other users who want this idea implemented can vote for it as well. You may share this idea with your colleagues to get more traction!

Dear Xero Support Team,
I would like to raise an important concern regarding the customer and supplier ledger reports in Xero.
I find it quite difficult to reconcile customer and supplier accounts in Xero because the ledger does not provide a proper accounting format showing the **Debit, Credit, and Running Balance** columns. These details are very important for reconciling individual customer and supplier accounts with their monthly Statements of Account (SOA).
At present, I am spending a considerable amount of time exporting or preparing separate customer and supplier ledgers in Excel in order to perform the reconciliation with the respective SOAs. This creates additional work and defeats the purpose of having an accounting system that should provide these basic ledger details directly.
I kindly request Xero to consider providing a proper "Customer Ledger and Supplier Ledger" report with the following columns:
* Date
* Description
* Reference / Invoice Number
* Original Currency
* Debit
* Credit
* Running BalanceThe report should ideally allow users to select a particular customer or supplier and a specific period, and then generate the complete ledger in a standard accounting format.
This functionality would be extremely helpful for accountants and finance teams, particularly for monthly reconciliations, and would save a significant amount of time and manual Excel work.
I request Xero to please review this matter and consider improving the reporting functionality by providing a proper customer and supplier ledger with detailed debit, credit, and running balance columns.

Bills ā āUpload Supplier Statementsā Feature
Could you add an āUpload Supplier Statementsā feature, similar to the existing āUpload Billsā function?
Many businesses receive monthly supplier statements that contain multiple invoices. It would be extremely helpful if users could upload or email a supplier statement into Xero, and Xero could automatically match the statement entries against invoices already recorded in the system.
This would save significant time spent manually reconciling supplier statements, help identify any missing invoices, and improve the accuracy of accounts payable processing.
A feature like this would streamline end-of-month supplier reconciliations and make it easier to ensure all supplier invoices have been correctly entered and accounted for.

it's a nightmare trying to reconcile supplier statements especially when the client pays a fixed amount each month (eg utilities) and ends up with overpayments that have to be allocated.

It would make supplier/creditor reconciliation much faster if we can draw a statement of a creditor. currently you can only do it for Debtors. The statement should show opening balance, date of an invoice, date of a payment, with a running balance and closing balance.
I have attached an example of how the report should look and a creditor's statement and you can see how easy it is to reconcile, in case you missed to load an invoice or a payment was allocated to a wrong creditor. -

We need a good old fashioned "Detailed ledger" option for Suppliers and Customers that lists all transactions, invoices , credits, payments and even journals(like Pastel has)
Please can this urgently considered.

Where you have a sales over view and you can print a statement, it would be so handy to be able to print a purchase statement using the exact same layout showing outstanding or activity statement. This would be much easier when reconciling.

I'm also desperate for this functionality as there is no ability currently to produce a supplier statement that show bills, credit notes, payments and a running balance that can be used to argue for example where a supplier has incorrectly allocated payments received. I am amazed that it's still not been implemented. There was a thread running on the old Xero Community site back in 2021 called "Statements: Supplier Activity Statement" which I voted for and contributed to the discussion on back then and looking back at emails now from the thread I can see it had already been running for over 10 years at the time!! This was one of the most active threads at the time with hundreds of people asking for the functionality to be added.

Thanks for your continued insights on this, everyone. It's clear to see you're really passionate about this idea, however please do remember your peers in the conversation here and stay on topic.
As you're aware, right now there isn't a supplier statement function in Xero. Reading your thoughts here, we understand that you'd find this feature useful but to set some expectations, this isn't on the development radar currently (October 2021).
I appreciate this update will be disappointing to hear for some, especially for those that've been following this thread for awhile. To be open however, the date an idea was first started doesnāt reflect if, or when itāll be developed - there's a lot more factors that weigh into this decision.
Right now we're working on some big things 'under the hood'. We're strengthening the foundation of our software, so that we can continue to support our users, and build out new features that weren't previously possible in future. You can read more on this here.
For now, there's a couple report options that could be made use of, and exported from Xero to share externally:
- Contact transactions - Payables report, which shows you all payable transactions and their payments (bills, credit notes, overpayments and prepayments) from a particular supplier over a given period - It's worth noting that we made a recent enhancement, so the drill down will now be available even if all transactions for the period have been paid. This report shows similar information as an āactivity typeā statement.
- Payable Invoice summary or detail reports - to view a summary or line-by-line details of bills, credit notes, overpayments and prepayments in a given period. This report can be filtered by contact, source and other fields to only show the transactions you'd like. Filter by Balance can be used as a way to only show transactions with a non-zero balance, in order to show similar information to an āoutstanding typeā statement.We'll continue to keep you updated if there's changes in this space. š

A much-needed feature in XERO: Supplier Statement Reconciliation
While going through our usual month-end process, I was once again faced with the manual task of reconciling supplier statements against draft bills in XERO. This isnāt just tediousāitās time-consuming, repetitive, and prone to human error.
The ability to automatically reconcile supplier statements against bills is an essential feature for any accounting system. It helps:
Quickly identify missing or duplicated invoices
Ensure accuracy in amounts and due dates
Avoid overpayments or missed bills
Speed up the month-end reconciliation process and improve accuracy
Boost confidence in month-end reporting
Given XEROās reputation as a reliable and intuitive accounting platform and widely known for its ease of use and automation, itās understandable that some advanced features may still be in development.
That said, this is one area where automation could have a significant impact for users managing accounts payable.
I strongly believe this functionality deserves serious attention from the XERO team.It would not only ease the workload for finance professionals but also reduce errors and save valuable time during month-end.
With the right solution in place, businesses could save time, reduce risk, and enhance the efficiency of their AP workflows.Looking forward to seeing how XERO evolves in this space. š¤

I would greatly appreciate it if you could add a supplier reconciliation option.
Similar to the bank recon, where you can draw transactions for a set period, and manually input the balance due as per the supplier statement.
The recon will then calculate any differences or immediately show that your transactions on Xero matches the supplier's statement. Also, leaving fields to add any payments made that does not reflect on the supplier's statement, credit notes due, etc. And very important, a box to add the supplier's statement as well.
These supplier statements can then be published and kept on Xero for auditing purposes. -

I think it would be helpful to have an interactive check box next to invoices in aged payables detail report to help with reconciling against supplier statement.
