Hi everyone, thanks for sharing on your needs for a comprehensive client audit trail in XPM. We understand this feature is critical for accountability and data integrity, and we hear you on the pain points this is causing.
As you might've read and heard updates of our teams are currently working on a unified experience across practice tools with the Xero Partner Hub.
History of client changes aren't wrapped into the initial work, but this is something the team would like to look at longer term and for now we'll move the idea to Accepted. Once Xero Partner Hub is fully released we can consider and will share any updates around history with you all here

I agree this would be great.
In the mean time we have used the Custom Fields to create fields such as Client Created, Client Created By, Archive Date, Archived by etc.
This is useful when staff use the function properly, but not everybody does.

This is also a huge issue for us.
This takes me a lot of wasted admin hours comparing the ledgers we are charged to the client list to make sure none have slipped through. I try to run a report to show who has been archived every month so I can just check those however it is not fool proof.
It is also frustrating that you have to restore the client just to cancel the subscription. And then when you archive it in XHQ you get a pop up warning to say their is an active file. That warning is in the wrong system. It needs to be in XPM.

Thanks for your feedback here. Currently when you create a credit note/overpayment the balance is reflected in the contacts record. This shows as a negative value in the list of the customer's invoices.
With new invoicing, if you create an invoice for a contact that has outstanding credit, you'll be asked if you'd like to allocate this credit once the invoice has been approved. You'll also see the available credit and option to apply each time you view an approved invoice.
While it's not possible to allocate credit from one contact to another you could edit an existing credit note to change the contact without having to recreate it from scratch.

This would be extremely helpful. Nothing worse than having to open up the tax return to find the outcome of the return, especially when you are checking multiple returns. If this could feed into the Tax Return screen in XPM under the client it would be amazing.

Appreciate your feedback on the idea here. As a grounds to start from we thought it would help to confirm;
- There is a two way sync of your clients between Practice Manager and your practice Xero organisation Contacts
- The sync between XPM and your practice Xero organisation contacts is different - we’ve explained this more below
Differences between Xero Practice Manager(XPM) and your practice Xero organisation sync
- Client will sync with your organisation’s Contacts depending on your Xero connection setup - more on Xero Central
- This is controlled by users with the Administrator role and can be set to ‘Never’, ‘Only when uploading invoices’ or ‘Every time client or supplier details are updated’

The sooner this is updated the better. We have many clients that like to pay small amounts weekly before their jobs are even in our system. Xero makes this incredibly hard to track. It would be so much easier if you could see the correct balance whether it a credit or debt. It would also be helpful if you can allocate the prepayment to other entities. We have had issues where a client has over paid, we have receipted as an overpayment, then an invoice is created under a different entity and if the client wants to use that credit against the bill you have to un-reconcile the original payment. It a lot of mucking around.

Hi everyone, while we appreciate you raising the idea for this here, we want to be upfront that this is not something we're looking to develop.
For electronic lodgment, the ATO's requirements to report the whole year with data of death as an extra field. There are validations and calculations that use this date. This is different to paper lodgment.
As this is the case, we will not make the end date editable.

It would be good to have (Deceased) recorded next to the clients name, similar to when a client is archived, so that it stands out. Nothing worse than when you don't realise someone is deceased.
It would also be handy to display the Date of Death under the Date of Birth on the main section.

We added custom fields for Date Created and Archived to keep track of when they became a client, which staff member created them etc and the same for Archiving the client. I was surprised that this wasnt an automatic option.
But I agree with he others, that history trails of when changes were made and by who would be extremely helpful.

Hi community, thanks for your continued input to the idea here. While this isn't something we have planned in the near term, we wanted to share a possible
alternative where you could send the prepayment transaction to your customer.
Unallocated customer prepayments can be found on the Awaiting Payment tab on your sales screen. You could add a separate invoice template to use with receipts for prepayments and consider making the following changes.
- Change the 'Approved Invoice title' field to Receipt.
- Deselect the Show unit price and quantity columns.
- Deselect the tax column.
- Deselect the Show payment advice cut-away
We'll continue to stay tuned to the idea here, and let you know if there's change.

Please know that your feedback has been shared with our product team. Right now, we're making improvements to centralise the experience across XPM and HQ, bringing clients under one umbrella with Xero Partner Hub.
Atm we don't have direct plans for enabling the ability to highlight notes but we'll continue to review this as we keep developing this space.
We appreciate your passion and your partnership in helping us build the best possible practice management solution, and will share if there are any updates.

100% agree. A banner at the top of the client or a pop up screen that you have to click to close would be very helpful.
Most of our staff only look in the notes if they are actively looking for something.
