  1. In Sales by item report we need a column of Customer as well, since it's not available so we are not able to get the details which customer ordered which product.

  2. User role- Limit invoice access to seeing and working on only user's own invoices. So as to enable different user to work on their own invoices without having access to other user invoices. Only manager should have access to all members of his team .

    Hi team, coming back across this idea I wanted to confirm that this is how the Invoice Only - Drafts role currently works - Someone with this role will be able to create and submit bills and invoices they enter to be approved by someone else with the right permissions in the org.

    They will only have access to view invoices and bills that they have entered themselves, and will not be able to view bills or invoices raised by others in the organisation.

    Danny, it sounds like you're referring to the Invoice Only - Purchase role which will enable a user to raise and approve bills they have entered. The user is not able to access Sales, but they'll be able to view any bills or purchase orders that have been raised by any user in the organisation. We have a somewhat similar idea for a tick box option…

  3. The changes made to the new bills view is inefficient when when viewing a column, if it is a credit note or had a credit note applied to it the icon creates an indent thus making it harder to follow with the eye. In addition the previous easy to locate yellow icon that did not create an indent has been replaced with a blue icon that blends with other Xero Coloring.

    Hi Fiona, appreciate not way you'd envisaged here, however there has been an update that will help you easily locate your Credit Notes when in Bills. 

    You'll find under the Filter option you now have the ability to filter by Credit Note, Overpayment and or Prepayments which helps quickly narrow down your view to just these documents types. 

  4. Tried to amend the national insurance category to a v category for 6 weeks after the employees start date, as that is when they were valid from, to find the calendar will only allow me to amend to a date previous or on their start date with the company. Has anyone else encountered this issue at all?

    Hi Laura, it looks like you also raised a support case about this which has since been resolved. 

    To recap, when you add a V category, you'll have the option to enter a date in which the category starts from. Then you would need to enter the date in which the employee was first employed as a civilian.

    For example, V category is valid from 31 Jan, therefore you can only enter the employment civilian date up until 31 Jan. You won't be able to enter an employment date after the NI category date.

  5. Invoice - Be able to have Xero automatically create a credit note if an invoice is negative. Show the invoice as paid in full and generate a credit note for the remainder. The credit can then be applied normally to other invoices on the customer account.

    Hi Darren, returning to your idea here we have released a change within new invoicing that'll suggest and enable you to create an Overpayment for any amount that exceeds the total of the invoice. Saving you the time of having to create this transaction separately. See more in my update on this idea. 🙂

  6. Xero to create a function that allows you to see a total of Direct Bill Payment charges through a specified time period (similar to running a report on a specific account type). It is a direct cost and therefore it should be very simple to obtain the information. At the moment there is no real visualization, you can only obtain the information by multiplying the amount of payments made in a certain period by £0.24.     Hey Theresa, thank you for raising this suggestion. Whilst there isn't a report dedicated to showing the Direct Bill payment fees, you can use the Account Transactions report to see the fees for a specified time period.

    The payment fees are recorded as spend money transactions to the 'Payment Fee' account. Running the Account Transactions report on this account will show you the fees paid.

    Hi all, as noted in my last update - if you have the Adviser role in an org from the dashboard you can click the '+' icon in the menu banner at the top of the screen, and select 'Manual journal' which'll take you directly to a new Manual Journal. 🙂

  8. There needs to be the ability to undo/unlock a submitted ATO Activity Statement when lodgement has failed with the ATO and it has been rejected. When submitting an Activity Statement with a variation, they are often rejected by the ATO as the ATO recaclulates its own amounts and the submitted AS is rejected. This results in an AS that is listed as "Failed" un the Needs attention section of the Activity Statement page. There is currently no way for an end user to undo the failed AS to correct any issues for resubmission.

    Hi community, as promised I'm back to confirm that the ability to revert a failed business activity statement back to draft is now live to all users. 

    Now, if your statement has failed to lodge with the ATO, you'll find an option to "Revert to draft" in the 3 dot menu icon next to the failed statement. When selected, the statement will be reverted to Draft status allowing you to correct it and re-lodge to the ATO.

  9. We issue quotes / invoices to customers, and POs to our vendors that include links to more detailed instructions / specifications on our Sharepoint server. The links don't appear live on the PDF documents so folks have to copy and paste them to view the additional content. It would be great if URLs could generate live hyperlinks so that additional information can be linked in the body of a quote / invoice / PO

    Hi Vanessa, 

    I just tested adding a URL in the Description field on a standard invoice template and when viewing the invoice as a PDF, the hyperlink to the URL does work if you mouse-over the first line of the URL.

    Alternatively, if there are common links you want to direct your customers to, you could add them to other areas of your invoices, quotes or PO by using an advanced template.  For example you could create an invoice template for a certain type of scenario with the relevant links you need to share, and add them just below the line items and total amounts on the invoice. Then when you need to send these links you just select that invoice branding theme.


  10. You can now create a contact from an invoice. Great, this was overdue.
    Why stop at only allowing some of the details though? Weird.
    Now I have to go back into the contact and edit it to add Company name etc.
    It's just creating more work when I could have done everything from the one spot.
    Please fix!

    Sorry for not updating you here sooner, team. We've been making a lot of changes within new invoicing. One of these being enabling you to enter more contact details from the new invoicing screen, without having to navigate away.

    You'll find you can now enter the contact name, email, billing address, delivery address, and phone all from the contact card within a new invoice. These details will be reflected without the need to refresh the screen 🙂

  11. Would it be possible to create a setting where users can be blocked from processing an invoice with duplicate reference numbers. There is currently a message displayed but some users click past it therefore creating duplicate invoices/bills. Perhaps the message can be made more prominent and displayed in Red to alert users.

    Hi team, as you might've noticed duplicate detection in bills is now available to everyone! 🥳

    We have a bit of detail on how this works in Xero central. Just to confirm outside of the Actions column If you need to view or edit a bill you'll need to return to the bills list to open the bill from here and make changes.

    Our team are considering future enhancements in this space to enable you the ability to access bills from this screen. 😊

  12. Add an option when uploading receipts to scan in the receipt. This can then take all relevant information from he receipt and give you the option to match this expenses with similar information or to create a new spend money transaction.

    Much quicker and simpler than manually adding this information every time you buy from a new supplier, and will be quicker to match to transactions.

  13. If you aren't using a mouse, files in the inbox can only be acted upon by using the checkbox and then tabbing to the buttons at the top of the inbox. You can open the kebab button to the right, but then you can't action any of the options on the pop up menu using spacebar or enter, which are the usual button-press keys.

    It takes infinite button presses to go from the top of the screen to a file halfway down and then all the way up to the top to action it, but eventually you get there. So…

  14. INVOICING - in the field 'Unit Price', it would be great to be able to have this default to the hourly rate we charge (and to override if necessary). We send our invoices to our clients at the end of each month, and therefore there are several entries for the daily activities charged throughout the month, hence having to input the hourly rate several times for each invoice.

    Hi there! You can already achieve this by filtering the History and Notes report by Contact, and also using the search to refine the results by bank account edits. I've attached a video demonstrating how - hope this helps 😊

    Good news team, quick view is out and this is now available to everyone. As you'll see from the bills list view there is now an eye icon that shows a right side preview of your bill when clicked. To simply move from one bill to the next use the arrows above your bill view. This makes it even simpler to take bulk action on multiple bills at once without having to open and review each individually.

    Thanks for your engagement on this, everyone. Our improvements to the way you manage your online payment methods in Xero, have now been released to all users.

    With the new flow you can easily set up and access differing payment methods to your customers when sending invoices. With ability to choose to enable or disable the payment options you want to offer, you have more control. You can add multiple payment methods to an invoice(like Stripe and a connected app), giving your customers more choice in how they pay, so you can get paid on time.

  18. We should be able to adjust the holiday year to the UK tax year as that seems to be very common. ( There is already a discussion topic for this but I cannot see it on this list.
    We should also be able to show holidays in days not hours.
    We should be able to calculate holiday hours for employees that do not do a 5 day week. The hours taken on holiday need to be overwritten every time a PT employee books time off.

    Hi community, happy to share that these changes have now been released in UK Payroll! 🎉 You now have the ability to set employee's leave to accrue based on a custom date of your choosing. We appreciate your inputs and based on the feedback we've made a change so that leave will now accrue on the first day of your annual accrual method.

  19. Currently, when super payments bounce, Xero sends us an email letting us know that a payment to a particular super fund from a particular payment batch has failed. Once we've identified whose it was, and got the updated details, we then have to contact Xero to get a re-processing authorised.

    All of this takes time, during which the Directors of my clients may become liable for late super payments. I'd like a button to click to speed up at least the contacting Xero for re-processing bit - preferably as part of the process identify the refund received and connect the…

    Hi team, sorry we haven't joined in this idea sooner. Earlier this year we released an improvement so now if an auto superannuation payment is returned the authoriser will receive an email including the reason for the return. They will be able to withdraw the payment from the processed batch to reprocess the contributions. We have detailed help for this on Xero Central, but if you run into any snags as always our Xero Support team are available to help. 🙂

  20. Within the debtors and creditors reports (either detailed or summary) the ability to show balances as of todays date when working on client's system up to 9 months later, would be handy to see which debtors and creditors are still outstanding.
    I.e. client has £100k debtors as at their year end 31/3/22, but when we run report on say 31/7/22, how many of that £100k is still outstanding? To have a toggle to the balance at the report date (31/3/22) or the current date would help,

    Hi everyone, thanks for showing your interest here. With the newer Aged Detail reports, you can achieve this by;

    1. Setting the date of the report to the date you want to include payments up to
    2. Click Filter
    3. Set an Invoice Date filter as 'any' - 'invoices raised up to date'

    If this is something you'll commonly run you may want to save the report as custom so you can easily open the report anytime. You'll just want to remember to adjust the filter for the Invoice Date. 🙂
