Bills - Flag a Bill as 'in dispute / query'
Ability to flag individual bills as in dispute
Purpose | To enable review and ensure the business does not make payment for a bill when it's currently 'under query'
926 votesHi community, appreciate the want for more of an update from us on this highly voted idea. Since Kelly’s last message I am pleased to let you know that our product team has done some discovery work in this space. More specifically, exploring the different ways in which the problem could be solved in Xero, alongside understanding the technical challenges. The feedback you’ve shared has been really useful for our product team’s research 🙏
We recognise the importance of needing to know which bills are flagged, so people making payment can review whether a bill should be paid or not, to avoid inadvertent payment. Being able to improve this workflow is important to us and once we have solution concepts, we will be sure to reach out to this community for feedback.
Right now there are no specific time frames available as to when this might be worked on, but…

Sales Invoices - Add interest to late invoices (including paid/part-paid Invoices)
Ability to add interest for the late payment. This includes part-paid too
Purpose: Save time by adding the interest without having to delete the existing one and remake a new one with the additional interest.
587 votesHi everyone, a year on from my last engagement we wanted to provide an update for you all here.
As many will be across we're in the midst of making a lot of iterations and improvements to new invoicing leading up to the retirement of classic invoicing in September (2024).
We have a fair amount of work lined up in the teams schedule over the coming months and to give an indication there isn't any committed plans around a function to add interest to invoices.
That said, we do have a team that have picked up and are considering how we might solve this with the technology in new invoicing - It's early days on this yet, but I'll share if there's any progress on this for you all here.
In the meantime, as has been shared by others over time there are a few ways you could accomplish this…

Invoicing - Customers to pay deposits on invoices
To have the ability for customers to pay deposit through invoices
Purposes: Business can just send one invoice to customer/client, so they don’t have to send multiple invoices when it comes to part payment.
267 votesThanks for your continued engagement with us on this idea, everyone. We understand there are many different ways business work and conduct business with customers, and that you need more flexibility in the way you manage and receive payments for invoices with Xero. While pockets of research have been done in the past we’re getting a fresh lens and conducting a broader piece of discovery to deeply analyse and understand where our efforts could be focused in this space to alleviate existing hurdles in receiving payments for majority of Xero users. We’d like to open the invite to be a part of our teams research pool, where you’d get the chance to share more on the importance of managing payments for your business. This may involve being interviewed, or helping answer questions through short surveys or questionnaires.

New Invoicing - Keep the previous Contact when using Copy
Please change the new invoicing so when we copy the invoice, the previous contact automatically appears as default
We should not be choosing the customer each time we copy an invoice
226 votesHi all, thanks for feeding back on the ways you work with invoicing and what you'd like to see with new invoicing in Xero.
Our team are reviewing the flow when copying an invoice and having the contact name automatically populate.
In the way this currently works, once you add a contact to the new(copied) invoice any defaults you've applied to a contacts record will then be applied to the invoice. This flow of default application is something the team will consider as part of their review and what works best for majority of users.

New Invoicing - Allow Item and Description-only lines, with no Qty or Unit Price
When choosing item code and description, I want the ability to leave the rest of the fields blank. Classic invoicing had no problems with it. The new invoicing wants to populate QTY, UNIT PRICE and AMOUNT. Makes the invoice look unappealing.
156 votesThanks for all your feedback here, everyone. The way you add description only lines in new invoicing is a little different to classic and we wanted to explain in hopes it'll help with how you're using new invoicing.
When entering a description only line, you can enter text in the description field of the line. If you add detail to any other field the line will be treated as a 'financial' line and you will need to include Qty, Unit price, Account and Tax rate.
When an inventory item is added this uses the item code field and the line is treated as 'financial', so it's not possible to use inventory items as description only lines in new invoicing atm.
We appreciate this is how many of you here have been making use of inventory and our product team are closely monitoring the feedback we're getting on this. Though we don't… -
New Invoicing - Add new Tracking option
The ability to add a tracking code from within the 'new invoicing' bills.
Classic invoicing has this ability and it would be excellent to have it in the new invoicing also.152 votesHi everyone, we appreciate your input on being able to add new tracking options while invoicing and our team are looking into improvements that could be made to this flow in new invoicing. I'll keep you looped in on any change for this here.

Purchase Orders - Physical Address as default delivery address
Ability to make Physical address as default delivery address when creating Purchase orders.
Purpose: It’s saving users time rather than change the address manually.
60 votesHi all 👋 thanks for sharing this idea and contributing your feedback on how it would help save time and reduce delivery errors. This has all been sent to and considered by our product teams.
I wanted to jump in here to share that this is a feature that our team are looking to develop in Purchase Orders in the long term - there are a few other pieces of work lined up before. We'll shift to Under review and keep you updated of any progress, here.
In the meantime, one way to make the physical address the default delivery address when creating purchases orders is by using a Custom DOCX branding theme, and either use the relevant merge fields, or even enter the default address in plain text on the template. You might then have a separate ‘normal’ theme if you want some orders to go to the Postal…

Bills - Prompt an alert for duplicate Purchase Invoice references when approving from list
Ability to alert a user when there’s duplicate invoices references when they’re about to approve it.
Purpose: To prevent when user approved invoices in bulk through either the Draft or Awaiting Approval sections. So they can double check
36 votesHi community, thanks for sharing feedback on this and voting for the idea here. Our product team are thinking about how they might help alleviate the pain of identifying duplicate bills in Xero. We're at the point where we'd like to get some feedback on their designs and would like to offer the ability to share back with us.

We may not be able to contact or schedule everyone who registers their interest, however we'll return to share outcomes, and any updates with you here. 😊

New Invoicing | Copy to - Purchase order
When a selecting the new invoicing platform, you lose certain functions.
The first function that has been lost is the ability to copy invoice data to a purchase order - this feature needs to added to the new platform as some business use this to purchase items that have been sold from a supplier and makes sure there are no errors.
The second function is when invoicing from Project the time entered for that project is no longer being allocated to an invoice and showing in the project as not invoiced, this will cause doubling up on billing.31 votesHi community, I'm pleased to share with you that the Product team are investigating the first part of this idea - to copy invoice data to a purchase order in new invoicing. There's a few other bits of work lined up before they get to this but we'll be sure to return with an update on progress once there's more news 📰
As for the second function raised here, when you raise an invoice from Projects that includes tasks, time entries or expenses, if you change the project field on new invoicing the connection with Projects will be removed. To correct this, you can either void/delete the invoice and recreate it from the project or manually mark the time entry/task/cost as invoiced.

Projects - Assign bills to closed Projects
As an event company, we often receive bills months after the original project is "complete". I wish I could assign costs to "complete" projects the same way that I can assign invoices to "complete" projects.
22 votesHi Leah, when you've closed/completed a project it is still possible to add Bills and new Expense tasks to it.
From the bill you'll be able to look up and assign lines of your Bill, or within the project you can simply add an expense. The only transactions you can no longer add once closed are Billable expenses, Spend monies and time entries.
Is there a specific reason you need to enter the expense as one of these type of items?

New invoicing - Ability to add Account Code within the invoice
It would be helpful and efficient to be able to make or add an account code straight from the "account code" dropdown in the bill/invoice/journal without needing to go to chart of accounts to make a new one. Currently, users still need to go to the chart and then go back to the bill/invoice/journal but since this refreshes the page, it erases all the data already filled up in the invoice.
19 votesHi all, appreciate how this suggestion would make life easier 😊 This is a feature that our team are looking to improve, and they have plans to enable a quick link to go to the COA (similar to quotes today). They do hope to enable the ability to add a new account directly within the Invoices screen however there are a few other pieces of work lined up before they can tackle that.
We'll shift to Under review and I'll keep you updated of any progress!

New invoicing - Edit exchange rate
It is currently not possible to change the exchange rate used in the new invoicing screen, when invoicing in a foreign currency. You have to switch back to classic invoicing to correct it to the monthly rate we have entered in settings.

E-Invoicing - PEPPOL Compliance
Ability to send invoices through PEPPOL network.
Purpose: To comply with the European standard of e-invoicing and e-ordering. Especially for those who deal with the public sector.
14 votesThanks for your interest in seeing expansion in our eInvoice support, everyone. Our team are now looking into furthering our support of sending eInvoice's in the UK.
I'll round back to share as this work progresses.

New Invoicing - Move Save button to bottom of invoice like classic
Please move the SAVE for the New invoicing to the bottom as per old invoicing. When you have an invoice with 30-50 items and then have to scroll back up to save it adds to the pressure of getting things done.
Or Better still
Leave the old there until you've got it together and your Paid subscribers are happy.
We are seriously looking at moving away from XERO due to all the changes you impose on us without proper UAT. More often than not it creates more work for us and causes more stress we just dont need in an…13 votesHi team, while we don't have immediate plans to change the placement of buttons on new invoicing we're interested in staying close to this feedback and I'll move the idea to Under review for the time being. We'll return to confirm any outcomes.

Bills - Duplicate warning when emailing bills into Xero
If you enter a duplicate supplier invoice via an email link into Xero bills, then Xero should advise/warn you that there is already an invoice in the system with the same reference/ amount. There should be the same warning that is given when a duplicate invoice is loaded into Xero bills manually.
10 votesThanks for engaging and voting for this idea, everyone. Our product team have been thinking about how they might help alleviate the pain of identifying duplicate bills in Xero. We're at the point where we'd like to get some feedback on their designs and would like to offer the ability to share back with us.

Contact | Note that Purchase Order Required
The ability to flag a customer as "purchase order required". We have a growing number of customers who won't pay us unless we put a purchase order reference on the invoice. It would be good if we can have a flag in the customer that says they require a PO and therefore when we raise an invoice to them it pops up a reminder message.
10 votesQuick turn around, as we were able to roll this out rather fast 😁!
You should all have access to the new Notes feature I mentioned - Found at the bottom of the Contact details section when adding or editing a contact.
As I mentioned, this’ll enable you to enter text such as a requirement for a Purchase order that you’ll be able to see when viewing the Contact record.
It’d be great to get feedback - if this helps with your needs here. -
New invoicing - copy to bill
Give sales invoices the ability to create self-billing contractor bills - the same as billable expenses but for the the sales side, rather than the purchase side. I produce high vol royalties where the suppliers(producers) do not physically bill, but we need to raise the charges directly in line with the sales received. Massively labour intensive and could be fixed with this function.

Bills to Pay - Feature to save Supplier Statements
Description:
I would like to suggest the incorporation of a new functionality in Xero that allows users to save supplier statements within the system. This feature should not post any transactions to the chart of accounts but instead, save the supplier's name, balance, and date as a memo associated with the statement. This information should be viewable within the supplier's profile.Implementation:
The saved statement details should be accessible in a dedicated section of the supplier's profile, providing a historical record of statement balances on specific dates. Furthermore, these statement details could be utilized in the Aged Payables report, either…9 votesHi Alex, with a recent change we've made to the Contacts record you could upload and save a Suppliers statement as a file directly to the contacts record in Xero. Does this accomplish what you're asking here? You'll also find within a contacts record that you can add notes within the details when editing a contact which are visible on the right of the contacts record once saved.

Bills | Export summary
Ability to export bills with one line per bill showing the Invoice Total rather than showing each line entered for each bill.
8 votesHi Jenny and Michelle, you can run and export the Payable Invoice Summary report to get this information.
If this isn't suitable, could you explain bit more of what you'd like to use this information for? It may help in trying to find a solution that'll work for you both. Thanks

Quotes - View Inventory Item Cost
See Inventory Item Cost when doing a Quote. I would find it helpful, when doing a quote to a customer, to see the cost of the inventory item I am quoting on. Of course, it should not appear in the final quote going to the client, but seeing it, would give me more confidence in doing my quote and make it a lot quicker. Thanks
8 votesHi Mark, as cost price of items can change over time, if you often associate specific items you're selling to sales you make to your customers perhaps Billable expenses?
When you add the expenses to your customers invoice this will bring across the cost price of the items you've assigned.
