    Hi Lana

There is already a way to customise statements to some extent. You could add a Custom DOCX branding theme, which allows you to download our sample templates for invoices, statements, etc, for you to customise in Microsoft Word.

With the Statement template open in Word, you can add logos and make any other changes you would like, before saving the file and uploading it back into your branding theme in Xero.

You'll then want to select this custom branding theme for your statements. There's more on this here: Create an advanced invoice template (it's the same feature for statements)

If you'd like to try this out before taking action in your own org, you can use the demo company to test it. 🙂

Please note that currently, customer prepayments will only be shown on a customer's Activity statement, not Outstanding-type statements.

  2. Have a maker and checker workflow for quotes and invoices, allowing a single user to toggle between situations.
Eg. User A draft quote/ invoice -> submit to User B for approval -> Once approved, User A is then allowed to send out the draft quote/ invoice and vice versa. User should be not allowed to approve quote/invoice that he/she has drafted.

Hi Madeleine, thanks for sharing your idea around having an approval process for both quotes and invoices. It's something we've seen come up from time to time, and it's helpful to understand how it fits into different workflows.

Just to clarify, invoice approval is already achievable in Xero and can be set up by adjusting user roles and permissions. This allows you to manage who can create, approve, and send invoices.

For quotes, there’s already an existing idea for quote approval that was raised by another customer. We’ve added your vote to that idea so it’s included in our tracking, and you’ll be notified of any updates.

If there’s any extra context you’d like to add, feel free to comment on the idea directly, that kind of insight is always useful for the team.

You can edit your post, and respond directly to my update if you'd like us…

  3. Expenses and Projects - We have received some complaints about the functionality of these apps from our clients. In order for us to be able to assist our clients, it would be useful if there was a way to see what the app looks like from their point of view. e.g. a demo version.

Expenses and Projects are featured in our Demo Company. Clients looking to test these features can use the Demo Company to check out how these features work. We have a bit of help around this in Xero Central Use the demo company, but if you need an extra hand you can raise a case with our Xero Support specialists. 😊

  4. Capture data from PDF bills and automatically populate Bills fields in Xero. Similar to Hubdoc image recognition, but need to be for Bills as standard feature in Xero.

Workflow is next: Create a New Bill, upload pdf bill file, then click button or toggle "AI auto-fill", boom no need for manual entires. Double check and approve the bill, saved a lot of time on manual entires/bookkeeping.

  5. Please set up an option on the invoice page to send over due reminders. It is very cumbersome and time consuming being required to open the invoice
    click email
    click edit
    Click the correct email template
    click send
find the tiny box that says sent (make this bigger and green)

A more efficient method is to have a column on the invoice page with a heading that says "send over due reminder" with a tick box next to each invoice.

We can then tick all the over due invoices, it will automatically populate the over due email. Have an icon…

Hi Jesse, welcome to Xero! Thank you for sharing your thoughts on how to increase efficiency when sending overdue reminders.

Did you know that you can set up invoice reminders within Xero? Invoice reminders automate the process of sending out overdue reminders and you can keep a track on the reminder status from within the Awaiting Payment screen.

If you wish to manually send reminder emails instead, from the Awaiting Payment screen you can select all the overdue invoices and use the email option to email multiple customers.

We have a bit of help around this in Xero Central Invoice Reminders, but if you need an extra hand you can raise a case with our Xero Support specialists. 😊

Hi Gemma! It sounds like you would like to code your employees salary sacrifice superannuation amounts to a different account code. Did you know it's already possible to do this in Xero?

To specify a different account code for an employees superannuation line/s, you can click into their superannuation in the pay template and specify which account to use.

To ask questions about using Xero in community you can post or join Discussions on Xero Central. Thanks😊

Hi Sonja. You can already do this in Xero Payroll! The Employee Remuneration report should populate the employees Start Date, Group and Hourly Rate, but if you find it doesn't, raise a case with our Xero Support specialists. If you give them some details about when it's not populating and access to your organisation, they would be happy to take a look. 😊

Hey community, thanks so much for weighing in on this one!

Just to clarify, certain Fidelity Bank accounts already have bank feeds in Xero through Yodlee or Flinks. If you’re unsure about your own account, it’s worth reaching out to Xero Support—they can confirm whether a feed is available for you.

Given this, the status has been updated to Existing functionality.

We really appreciate your input and encourage you to keep sharing your experiences, it helps us improve coverage and service for everyone.

If we’ve missed the mark or misunderstood the idea, please get back to us.

  9. In our business, we currently have two entities, and employees are sometimes transferred from one entity to the other. Currently, when the employee transfers to the other entity and accepts the Xero Me invite, they lose access to their Xero Me records from the former entity, therefore, they can't access their previous payslips, etc for that entity. It would be good if, when an employee is invited to Xero Me in the new entity, if this entity was simply added to the Xero Me app, and the employee could select the entity they require.

It would also be really good…

Hey Kym thanks for raising this Idea. We understand how important it is for employees who have moved between different entities to be able to seamlessly access all their historical pay slips and information in one place within Xero Me. The good news is that this functionality already exists! You have noted in the comments, an employee can access their pay slips from different entities within Xero Me. All they need to do is switch between the different entities from their profile. You can also export and import employee information between Xero organisations, you can read about it here.

  11. Xero to offer a "Callback" option to discuss over the phone clients challenges and having the possibility to see their screen.

This will allow clients to resolve issues much faster than by going through Xero Central or finding videos on the internet that sometimes not exist.

Hi Simon, thanks for your feedback about this.

Currently the quickest way to get a phone call from our Support team is to raise a case via Xero Central with some details of your query.

If you leave the best phone number and a convenient time window, a specialist in the relevant area will be happy to give you a call, and if it helps, they can also use Xero Meet to view your screen with you.

  13. When the box pops up to enter the payment details I used to be able to tab through the options to complete them. Now I have to click on the account before I can "select the account". Is it possible to bring back the ability to tab and then to start typing?

Hi Carmel, it's already possible to tab through the Add Payment pop-up in Invoice screen 🙂 - You can use the Tab key to navigate between the fields. When you reach the Account field, you can press the space bar to activate it and then begin typing to select the correct account. This allows you to navigate and complete payments with your keyboard.

Hi! There's already a way to do this in Xero.

You could add a Custom DOCX branding theme, and download our sample templates to customise in Microsoft Word.

With the statement template open in Word, you'd replace the <Reference> merge field with <LongReference> to display the full reference, before saving the file and uploading it back into your branding theme in Xero.

You'll then want to select this custom branding theme for your statements.

There's more info on this here: Create an advanced invoice template (the same feature is used for invoices, statements, purchase orders and more).

  19. The ability to re-order bank accounts on the Accounting > Bank Accounts screen has been lost on the BETA version I am trialling.

Previously, you could drag and drop or use an up or down arrow to order multiple accounts in a manner most appropriate. Now they are listed in alphabetic order.

Santander is my business current account so it at the bottom of my screen under various accounts that have only monthly transactions not dozens of daily transactions. I’d like to put that account at the top of the screen.

  20. Add the feature to run customer/supplier activity report for a range of customers.

Xero team quote "this is already possible however it exists within a different report. You can run either the Receivable or Payable Invoice Detail or Summary reports, where you'll be able to filter and select the contacts you'd like to run the report for."

But it is not we required. Receivable only show outstanding receivable , not all transaction during the selected period for that customer.

We would like to have some sort like customer movement report with selected filter of a range of customer.

Returning to the post here we will shift this to Existing functionality. While not always in the base form you're after many of Xero's reports are very flexible and can be set up and saved as custom to access your reporting needs.

In this scenario the Receivable Invoice Details report, could b be Grouped by Contact, and the Date Search selected to run by Due date. Adding a filter for Status to only show invoices that are Approved or Sent, and excluding those that are Paid.

Alternatively, the Aged Receivable Details report will offer similar information on only the invoices that are outstanding at the date the report is run.
