Bills - Capture data from pdf bills
Capture data from PDF bills and automatically populate Bills fields in Xero. Similar to Hubdoc image recognition, but need to be for Bills as standard feature in Xero.
Workflow is next: Create a New Bill, upload pdf bill file, then click button or toggle "AI auto-fill", boom no need for manual entires. Double check and approve the bill, saved a lot of time on manual entires/bookkeeping.
2 votesThis is already possible within Xero, Sergii. While it's dependent on Xero being able to read your PDF, you can use our Upload bills feature.
Alternatively, you can email bills to your organisation and similarly Xero will try to autofill details of your bill based on the data in your file.

Ability to Send over due reminders from invoices page
Please set up an option on the invoice page to send over due reminders. It is very cumbersome and time consuming being required to open the invoice

click edit
Click the correct email template
click send
find the tiny box that says sent (make this bigger and green)A more efficient method is to have a column on the invoice page with a heading that says "send over due reminder" with a tick box next to each invoice.

Did you know that you can set up invoice reminders within Xero? Invoice reminders automate the process of sending out overdue reminders and you can keep a track on the reminder status from within the Awaiting Payment screen.
If you wish to manually send reminder emails instead, from the Awaiting Payment screen you can select all the overdue invoices and use the email option to email multiple customers.

Sales Report by Customer with financial year comparatives
I just want a simple report that show sales by customer with comparatives to previous financial years that agrees back to the sales on the profit & loss statement. Surely thats not too difficult??
I am disappointed at the lack of decent sales reporting in Xero. Whilst I agree that Xero has many great features, their sales reporting is not one of them.
The income by contact report does not work as it picks up all receive money transactions for all contacts, not just those in the sales accounts or for customers, so it is significantly different to the P&L.
7 votesHi community, as noted in my last update you can use the Income by Contact report which will show the contacts you’ve received money from over a chosen period, and includes both receive money and sales invoice amounts that have been entered for the contact.

Invoice - Tab through the Add Payment pop-up
When the box pops up to enter the payment details I used to be able to tab through the options to complete them. Now I have to click on the account before I can "select the account". Is it possible to bring back the ability to tab and then to start typing?
1 voteHi Carmel, it's already possible to tab through the Add Payment pop-up in Invoice screen 🙂 - You can use the Tab key to navigate between the fields. When you reach the Account field, you can press the space bar to activate it and then begin typing to select the correct account. This allows you to navigate and complete payments with your keyboard.

Customer Statement – increase character limit on reference field

Our customers would like to see the full PO number in the customer statement. Could we increase the character limit of the reference field to 40–50 characters?1 voteHi! There's already a way to do this in Xero.
You could add a Custom DOCX branding theme, and download our sample templates to customise in Microsoft Word.
With the statement template open in Word, you'd replace the <Reference> merge field with <LongReference> to display the full reference, before saving the file and uploading it back into your branding theme in Xero.
You'll then want to select this custom branding theme for your statements.

Docusign
Signing online documents by customers and suppliers is integral to most businesses. I would recommend you look into providing this as an additional feature, not from an integration.

Keep report preference settings
Can the report preferences be set to stay the same until changed?
I am catching up on prior months and any enquiry everty time defaults to current period and I have to change the date every single time.1 voteHi Maresa, as noted in my last update, you can set up the report with the filters as you choose then save the report as Custom this way you'll have access to that report anytime with the same setup. If you'd like to set this as the org's default this is also possible 🙂

Rearrange - Bank Account List
The ability to re-order bank accounts on the Accounting > Bank Accounts screen has been lost on the BETA version I am trialling.
Previously, you could drag and drop or use an up or down arrow to order multiple accounts in a manner most appropriate. Now they are listed in alphabetic order.
Santander is my business current account so it at the bottom of my screen under various accounts that have only monthly transactions not dozens of daily transactions. I’d like to put that account at the top of the screen.

Is there a way to log in and see the latest customer activity notes per date?
We are a retail shop, & have many customers in & out.
I'm looking for an easier way to log in and see a timeline who's been in store and what's been enquired about etc

It seems like you would like to view the notes entered for contacts. To view notes entered for contacts, you can use the History and Notes report. Simply filter the report by setting the type to Contact and searching for the word "note".

Invoices - Upload and attach a delivery order
Can you add a task bar for upload of Delivery order so that we can link invoice with delivered DO documentation.

Showing partial/overpayments allocated to online invoices sent to customers via email below the invoice total, as customers want to see amount due (what they have to pay) instead of seeing the invoice total. Customers just pay the last amount shown on the invoice. They often don't read the emails, that state the amount due is less than the invoice total. We want them to see it as we see it on xero.

This is already possible in Xero! When you use the standard invoice template, the overpayment allocation appears as a credit under the invoice total. The final amount due is then shown below that. I've attached a screenshot from my demo company to show you how it looks. Please check the invoice to see if you're using the standard template or a customized one. Thanks

customer/supplier activity report - Select multiple contacts
Add the feature to run customer/supplier activity report for a range of customers.
1 voteHi 👋, this is already possible however it exists within a different report. You can run either the Receivable or Payable Invoice Detail or Summary reports, where you'll be able to filter and select the contacts you'd like to run the report for. You'll find help for each of these report types on Xero Central - here's one for the Receivable Invoice Details report
You can also add a Source filter if you'd only like to view results for transactions from specific sources e.g Receivable Credit Note, Receivable Invoice

It is not possible to run a Profit & Loss report for a business, which can compare 2 options from different tracking categories.

The ability to have a Bills/Purchase TAB or Column within the transactions of each item, so we can easily see all the supplier bills associated with each item that's been ordered. At the moment, there's no way to see what your last order was if you have many sale transactions, without prior knowledge of the supplier and viewing the bill under the contact card. Draft Bills - approve and next
Wish someone would tidy up the system. Emailing bills direct to Xero is great. However when you approve the Draft Bill you get returned to the main Bill menu. Then you have to fiddle around to get back into Draft bills again to approve the next. Probably not such a pain when you have faster internet than we do. Any suggestions on how to quicken up the process?

If you like to approve one bill after another, try out the quick view option. It looks like an eye icon from the list view.
It'll open up a side preview of the bill, where you can take actions such as Approve & next so can keep moving through this workflow!

Product Ideas Forum - Allow voting on ideas closed as 'Not in Pipeline"
Accessible list of ideas previously closed by Xero as a "NO" and the ability to still vote on them.
Just because its not in the pipeline doesn't mean people don't still want it.1 voteHi Fiona, this is a great point – just because an idea isn't on the immediate roadmap doesn't mean we want to stop capturing community interest in it.
This is why we have the 'Not in pipeline' status. When an idea is moved to this status, it means our product team has reviewed it, and while it's not planned for development right now, we've kept it open specifically so the community can continue to vote on it. You can view the full list of all ideas currently marked as 'Not in pipeline' by filtering the ideas using the drop down.
Because this functionality already exists, I'll be closing this idea - thanks! 🙂

Projects - Assign timesheet entries to a job
It would be great if you can allocate the technicians time from the timesheet to a specific job number so that a labour cost is never missed. Have some sort of capability to export the timesheets to all the job numbers.

Staff members can record their time against specific projects (jobs) using either the Xero Me app or within the Projects section of Xero itself. This directly allocates their time as a cost to the job, ensuring labour costs are captured accurately. Tracking - Bulk edit tracking categories
Better user interface / easier editing of unassigned or incorrect tracking categories on recorded transactions
We spend a lot of time each month updating unassigned or incorrect tracking categories on recorded transactions by having to open each one and editing via drop down menu. Having a quicker way to do this would be great and save a lot of time.

Job and Project allocations - wages etc.
I work in a "unique" business so some description is required before I get to the crux. A Horse Racing Club. We run up to 20 races a year. The same staff can work at multiple races throughout the year (bar staff, barrier attendants etc). We have a chart of accounts that boggles the mind (as prescribed by Racing NSW so non negotiable) and we also need to allocate race day costs to those "jobs" (very easy to do in MYOB) - including wages. Would like to change to Xero to make life easier HOWEVER cannot allocate race day wages…
3 votesHi Tracy, good news here! You can allocate wages to your Race Days using Xero Projects. By having staff log their hours against a specific project (i.e., a Race Day), their wage costs will be automatically allocated for reporting. You can then add project time into a timesheet. 🙂
