Bank Reconciliation - Show more statement lines per page
Ability to show more statement lines during reconciliation in one page.
Purpose: To save users time from scrolling and changing the page.
Thanks again, everyone! I can now confirm we've officially released these changes to all users. 🤗
As a quick recap of what's been released - From the Reconcile page your bank account now shows up to 50 statement lines at once. There is also a search bar at the top of the page where you can enter details from your statement lines including; Payee, Reference, Description, Transaction type, Cheque No. and Analysis code. Within the search you have filters to help you narrow down the date range or amounts that you want to reconcile - For more insight on recent changes see our Blog.
We really appreciate your engagement of this over time and sharing with us through the Product Ideas site, here.

Currently doing a complex bank rec of 300 or so bank lines. I would like to do all the reconciliations for each company department then move to the next but the inability of Xero to display more than 10 lines makes that almost impossible. A number between 100 and 500 would be sufficient.

Ideally, would like an option to show all of the lines on the screen at once. Many sites have a drop-down list to set the number/page to 25, 50, 100 and 'all'.
Having to hunt through pages to find the relevant entry is time consuming, what with waiting a few seconds for each page.
We have scroll buttons to quickly look up and down, we could search quickly for amounts on the page, we can scan by eye. Paged results are a pain!

Can we please have the option to show more items on the bank reconciliation screen? Currently it appears that even if there are 50 pages to reconcile, the only option is to keep paging on to the next page, rather than show more items per page.

Agree with the really good points made below. I too would like the option to pick how many transactions are displayed as it depends on the size of the business and how many transactions go through each account and also how often you work on the file. It can all be different, but one thing that would make it way more helpful would be if we could save a default number.
If the drop down menu of number of lines can't happen soon, at least put the page numbers and next options at both the top and bottom of each page!As someone else says so much useless info is actually displayed in the statement lines column. Blank fields need to be omitted and the description, reference & payee when not blank should be visible always as this is what tells us what the transaction actually is.

Optimal statement lines at least 100. It is very time consuming reconciling payments that relate to over 200 invoices this can not be done on the awaiting payment screen due to the limit set to 50 invoices. Xero is not just solely used for small businesses and that fact needs to be taken into consideration

Q1 - the optimal # of statement lines you’d like to be able to view on the reconcile screen at any one time
ANSWER = 100 would be ideal for me. A persistent user preference between 10, 50,100, 200 would be the most beneficial for all customers.Q2 - any core reasons you feel viewing more statement lines will help you reconcile in Xero
ANSWER = I still have some paper bills where I need to check what they're for before reconciling, I have to keep jumping between the pages. If there was an option to filter too this would be better. -

Even if this is beyond the capabilities of the Xero programmers a simple search or even better a "go to date" button would go a long way to help mitigate the poor design choices made in development, although this should have been highlighted by any competent focus group. Don't know who you guys pick to test out these things but they are pretty useless! Try reconciling a bank with a thousand unreconciled lines with only half of the receipts to hand, with dribs and drabs coming in all the time. Not everyone will be on top of reconciling their bank every day, those that do aren't the issue.
#of statement lines = as many as possible
Reasons - if you need to ask you shouldn't be in charge of sorting this out. Get someone on-board who knows what they are doing. A practitioner with years of experience under their belt dealing with all sorts clients (loads of really good points made already in the numerous posts below). -

Number of statement lines? I think a similar choice to other Xero functions: 10, 25, 50, 100 + 200 - 200 would Always be my choice.
Having more transactions visible reduces the clicks. It can be so frustrating to have to look 3 and 4 pages for transactions for the 1 date. Using the web page search feature to look for an amount would make this search a lot easier!
Looking for a transaction Eg $200 from abc
open reconcile / bank feeds
CTL F $200 enter
Scroll to bottom of page
Click next page
CTL F $200 enter
Scroll to bottom of page
Click next page
CTL F $200 enter
Scroll to bottom of page
Click next page
CTL F $200 enter
Scroll to bottom of page
Click next page
CTL F $200 enter
Scroll to bottom of page
Click next pageIf all transactions on the 1 page
CTRL F $200 Enter
all transactions are highlighted on the page and I can just 'click next' to find the transaction I am afterThis would be a huge assistance to have 200 transactions on the 1 page.
Re; White space - I will let others reply in here as it does not concern me if all the transactions are on the 1 page. I can live with it.

I thought I would chime in here, as the bank rec screen does need some rework, and as this 'idea' is getting some attention, I will highlight some defects as well answer the specific questions above:
Q) optimal number of statement lines - as many as will fit on the screen without wasting space. Currently there are 4 lines used for each transaction in compact view, with so much wasted space. More of the information on transaction should be displayed, rather than have to click 'more details' ** Dont display a field if its blank, eg why display a blank cheque number if the transaction was not a cheque.
Q) Why more statement lines are useful? - invoices for same amount to same and different customers would be easier to identify if more lines displayed. Customer may or may not have invoice reference in the transaction, is a lot easier to click once than search and click.
** I have an annoying issue with 'more details' - customers put their invoice as a reference, this only displays in 'more details' when you click 'more details' the pop-up overlays the invoices underneath and actually displays LESS DETAILS as the 'more details' screen with so much white space covers the selection boxes for the invoices underneath, so you have to close the 'more details' where you loose the invoice references that the amount is for (multiple invoice payments) and then able to select if you have managed to remember what was displayed in more details. I did raise this as a defect/BUG, but was told by support its working as designed, ie the 'more details' pop-up is designed to show blank fields and cover the invoice selection boxes.
White space issue for transaction line, there are 4 lines, here is an example on my XERO for 1 transaction:
7 Mar 2023
FASTER PAYMENTS RECEIPT REF....
FASTER PAYMENT RECEIPT
More detailsline 1 date
line 2 tells me its a FASTER PAYMENT with a REF of ...
line 3 tells me its a FASTER PAYMENT (I know this, because its displayed in the line above)
line 4 says I have to press 'more details' I click more details, THEN I get a ref, but I get a whole load of other fields, eg:Transaction Date 7 Mar 2023
Payee
Reference FASTER PAYMENT RECEIPT
Description FASTER PAYMENTS RECEIPT REF.1234 FROM CUSTOMER
Transaction Amount 2,588.64
Transaction Type Credit
Cheque No.
Analysis CodeI see the date (I already know that as its in the transaction line
I see Payee (that is blank) why display a blank field?
I see Reference and description - these are useful sometimes.
Transaction amount - that was displayed on the transaction line, why display again?
Then Cheque number and Analysis code are blank, wasting space.I'm happy to discuss and demonstrate to a Xero UI designer so they can see it for themselves.

I agree, having a choice of up to 200 would be good, like in many other areas of Xero, I also agree with the comments on the excessive white space.
The compact view increases the number of transactions I can see without scrolling from 3 to 4, which is laughable. The compact view needs to be much more compact, with more information visible to reduce inefficiencies caused by scrolling and clicking.Having more information visible without scrolling and/or clicking is essential to improving time efficiencies. This concept applies to the bank reconciliation and all other sections of Xero. Developers need to remember this.

@Robert Griffiths - I wouldnt go that far! There are still way to many flaws in Xero that people have been complaining about for over 10 years where the silence is deafening. As a relatively new user (6 months) all I can say is the more I use it - the more I am looking for alternatives

To the second point, with being able to view more statement lines, it would speed up the reconciliation process and will save valuable time from jumping between various pages when looking for transactions.
I also agree with the comments on the excessive white space. This is especially frustrating when needing to click on "more details" just to be able to read the payment reference (normally an invoice number) to ensure the correct allocation of the intended invoice being paid by a client to what is within Xero.

I agree with many others that options for number of transactions as in the other screens would perhaps work well for most.
Clicking through pages looking for specific transactions to match is painstaking when you have a high volume to work through, as bookkeepers we like to clear all the items with matches and then chip away at the rest, being able to filter/sort anything with a match would be a huge leap forward.
Also the ability to filter out transactions really would be a game changer, whilst items can be sorted in the cash coding screen, this doesn't work particularly well with POS payments where the date precedes the supplier name. To be able to filter out all the transactions for one supplier using a keyword (as you can in the bank statement tab) but with the ability to be able to reconcile them would be amazing!

Like others have said, the option to decide how many to show, including 'all', would be ideal. Scrolling is much easier than going through transactions one page/ten transactions at a time. But not only that, this will allow us to use the browser's 'Find' text feature (Ctrl+F) to search for transactions quickly.
That said, it would also be massively beneficial to be able to filter the data by text/description, amount, date, debit/credit, etc. like other on-screen reports in Xero. Add to this, the ability to 'create/reconcile' multiple transactions at the same time, like in the cash coding screen, and Xero would 100% win the in-office battle of best cloud software!

If a clients bookkeeping is completely up to date the current screens are "ok", but if it isn't up to date sometimes you can spend several minutes scrolling through ten's of pages to find the transaction you want to reconcile.
Either give us the ability to search / sort and filter in the reconcile screen or give us the option to reconcile from the Bank Statement screen, which already allows all of these functions.
I also don't understand the need for the complete waste of space at the side of most of your screens. By getting rid of this would allow for more transactions to be shown on a screen surely???

A choice of how many to see would be helpful, like other screens.
What would be equally as useful would be the ability to search for items in the bank rec, or sort them by amounts, as you can on the other bank screens. -

- the optimal # of statement lines you’d like to be able to view on the reconcile screen at any one time. 200 similar to the other pages (journals, contacts, bills, etc)
- any core reasons you feel viewing more statement lines will help you reconcile in Xero. Reconciling a large number of transactions is difficult when there are only 10 lines per page. The pages can be clunky to load and quite glitchy when navigating. Also makes CTRL+F for finding transactions to reconcile much easier. -

Definitely would prefer to see as many lines in the bank rec screen as possible. I would be happy to sacrifice the space at the side of the bank rec screen if it meant that more detail could be shown per line (spread it out so the details are wider and more lines fit on page).
Kind of like the cash coding page but with the ability to match transactions.
I like to idea of choosing 20, 50, 100 or 1000 lines like we can with some account reports.
