AU Payroll: Leave requests for part time workers that dont work standard hours
When multiple days are requested the ability to adjust the hours for leave application so it matches the ordinary hours for particularly days.
Thanks for your feedback and interest in the idea here. We appreciate the desire for being able to enable employees to make these changes themselves.
While this is something the team will continually review as they keep developing Payroll for Australia, we want to be open that this is not in the direct plans atm.

I can see here pages and pages of requests for Xero to have a function that allows employees to edit hours over multiple days. However, the response from Xero is still that there are no direct plans to develop this option. Why? I can't rollout Xero me to employees unless this is an option. There is an audit issue in having approvers edit hours requested by employees. This would be the case in every leave application over 1 day. Can Xero reconsider adding this option as a matter of priority. Thank you.

Employees should be able to submit hours within multiple days and not by payroll admin to adjust. As this could then cause legal issues for employers.

For any part time employees submitting multiple days of leave, they should be able to enter the hours of leave they will be taking as well as the date range. The approver should not have to adjust the hours every time an approval is required.

Part-time employees. It would be good if there was an area in Xero that you could enter in the standard work day hours for each employee. E.g 7.6 hours. So if the employee is part-time and works 30.4hours per week, Xero will know this equates to 4 days per week. This would flow through to leave and public holidays, Xero will know a day is 7.6 hours and automatically populate this in the payroll. No manually entering required. Is this possible?

Would be good to have default employee days if they are a permanent part-time without having to rely on a weekly roster etc, and then Xero can just look at that automatically assign the right hours.

We have a part time employee who works 5 hours 12 minutes per day x 5 days
When she submits leave via the Xero Me app, if she puts in multiple days eg Monday 19 Feb to Wed 21 Feb it will calculate her leave as 3 full days instead of 3 x 5.2 hours.We have another employee who works 4 full days and one half day on Fridays
If she submits leave that includes a Friday it calculates the Friday as a full day of leave instead of half a day.It would be great if Xero would allow customised hours to be set up for part time employees.

We have an employee working 4 x 8 hour days and the accruals aren't working how they should be.
Xero should factor in part time employees.
Payroll staff shouldn't have to manually adjust the hours on leave because Xero doesn't work properly.

Even just retaining the same feature that a one-day leave request has - which is, to include the total hours being requested - would be great.

Being able to customise the shift lengths that each worker does on each day of the week would be an absolute sanity saver for our team! We have 23 staff who work anything from 3.25 to 9.5hr shifts, so you can imagine how painful putting leave requests through for our Xmas close has been!! If we could specify worker X does 5hrs on Mondays and 9.25hrs on Tuesdays, while worker Y works 7hrs on Tuesdays and 8.5hrs on each of Wednesdays to Fridays, we'd be so grateful!!!

It is time consuming for the payroll administrator to manually adjust all leave types and public holiday hours when all our staff work a 7.5-hour day. Would be good to have a "set hours" box to tick when on-boarding new staff.

I wish we would stipulate the days worked as assumes that people work Monday to Friday when this is not necessarily true (especially retail or hospitality). Have retail clients so when you put in the dates it assumes weekends are not included so have to amend the hours. Not that difficult but would be good if could stipulate at least days of the week worked so it understands some could be working on weekends.

This is critical as leave requests are calculated incorrectly and can't be adjusted by the employee if they are for more than 1 day prior to submission. Leave approvers should not have to make changes to a leave request once submitted by an employee. This creates a risk with hours being entered incorrectly by the leave approver.

This is critical for our church with part time employees as leave requests are calculated incorrectly and need to be manually corrected. Xero is not helping our employer responsibility to keep accurate records of leave accrued and taken.

Staff should be able to put in total hours on leave requests.
Our organisation doesn't work on a 9-5 basis. At present if I put in their hours when I set up the Employee Xero automatically divides that by 5 days, but we have staff who work 2, 3, 4 or 5 days, with set hours per day.
At present staff have to put in a leave request for everyday they are off, instead of being able to put in a weeks leave request and being allowed to put their total hours in. Makes no sense what so ever for our organisation, and causes extra work for everyone.
Anyone else finding this a problem?

I agree with the posts below - this basic function should be built into Xero. There seem to be a lot of assumptions by Xero that the employee and “payroll admins” can accurately make these calculations. Clearly, people interpret things differently and this is where human error occurs. We pay for systems, like Xero, to remove/mitigate human error.
While it will be painful, our solution is to move away from Xero to a product that can fulfill our requirements (and our basic employer obligations!).

I seriously cannot believe this is still an issue. Agree with you Mark, how is this not a daily complaint to Xero. This has been an issue and requested of Xero since the program began and I can see in the Xero community it's asked OVER AND OVER AND OVER with no response from Xero.
It's not just a "would be great to have this function" request, it goes to the basic fundamentals of a legally correct functioning payroll program. Just get on with it and fix it along with calculating leave taken for salary earners. I can't understand why my hourly rate changes just to take leave. -

If employees are set up with 'Fixed Amount per Period' the daily hours in each leave request are calculated using the hours field from their Pay Template instead, then divided by the working days in their pay period. When employees are on a monthly salary, this can cause a fluctuation, as you have found.
Currently, it's not possible to set a specific number of daily hours in a leave request for employees.
This needs to be fixed ASAP - I cannot believe that all Companies that pay there employees Monthly are not jumping up and down - else they are looking at other solutions???
