Xero Accounting app - Password Confirmation
The mobile app currently does not ask you to confirm your password when you setup a pin for your account. If you were to miss-enter your pin, which is easy to do, you essentially immediately lock yourself out of your account. The system should ask for a pin, then ask you to confirm the pin before finalising it, allowing you to go back a step if you enter in the wrong pin.

Navigation - Quick access to last few pages accessed
On the taskbar, it would be useful to have a dropdown option to link through to the last few pages that you have accessed. Maybe the last 10 pages accessed would be good, a mixture of recent searches and recent transactions. I know QBO has this and I use it a lot for navigating.
For example, when I run a P&L and drill down to a specific bill, sometimes I would make an amendment to said bill. When I save and go back it spits me out at the CoA when I want to return to the P&L. So instead of rerunning I would be able to click on the dropdown and automatically be taken to the P&L again.

3 votesHi team, appreciate the thoughtful feedback in your idea here and while not a complete solve for what's being asked I did want to highlight for this specific scenario you may find favouriting reports useful. This will make that report easily navigable from the Reporting menu in our new navigation 🙂
Also, just another tool that might help to find items that have recently been edited - the History & Notes could be used and filtered to quickly see what transactions have been edited.
While we don't have immediate plans for enabling these sort of breadcrumbs our teams are continuously thinking about the logic and flows as they keep developing Xero features.

User Roles & Permissions - Ability to suspend users
It should be possible to suspend users without deleting them. This should cut off all accesses but should preserve the account /username itself. This is a basic functionality of user access control which is surprisingly absent from Xero. This preserves the user ID incase someone suddenly leaves the company or is suspended from duties for whichever reason.

User Role: Ability for standard users to have access to Uncoded Statement Lines
I would like to recommend that standard access users be able to access a very handy "uncoded statement transaction report" that at this point is only available to the advisers role (usually accountants). I am told for advisers it appears on the front page of bank reconciliation. If it wasn't for chatting to an accountant one day about typing out lists to my clients I wouldn't know about it. I guess you don't know what you don't know. This is an extremely helpful tool when trying to send lists to bookkeeping clients / business partners or employee's when you are chasing backup documentation (invoices/receipts/income info) from. I find it quite illogical that accountants / adviser role are the only one's given this particular report when it is the bookkeeper needing to get all the transactions allocated finalised for them to do their magic. I can't for life of me understand what reason there would be that this report isn't given generic access. At this point I have Advisers/accountants that run this report off when needed but naturally this comes at a cost to the client and a waste of accountants time. For years I have been typing out all the unallocated transactions to send to my clients to chase up and as much as I am a fast typist it's a little frustrating the person that needs to get the information finalised for the accountants doesn't have access to this simple report. I propose that the "Uncoded Statement Transaction Report" be amended to include for standard users. Please vote for this to simplify getting the work done. Appreciate your help. Roz

Demo Company - Reset date countdown
Hi - it would be great if there was an indication on the Demo company when the data will be reset. We know it is every 28 days but when is the 28 days up. I've lost demo testing in preparation to show a client how Xero can help them.

User roles - Give users with Invoice Only Access option to change online payments
Our administrator generates our invoices and has Invoice Only Access, we need her to be able to change whether an invoice is paid by GoCardless or not, one of our company owners has to do this at the moment which is an inconvenience, please change so users with Invoice Only Access have the ability to change online payments.

Navigation - Return to previous screen after viewing/editing a transaction
Ability to return to the previous screen after the user edited a transaction.
Purpose: To make users easily continue working on the previous page rather than having to navigate from the different page again.

We've launched Bills quick view where there's now an eye icon within the line of the bills list. From here you'll find more ease in viewing, and more recently being able to edit bills from this view without having to leave the list, meaning you can simply make adjustments and move from one bill to the next.
We'll continue to explore and develop solutions like this to help our customers get more out of Xero on the go. I'll keep you informed of other updates that could enhance your experience, here.

Xero Accounting app - Organisation Switching in "Share/Context" menu
Introduce the ability on the Xero Mobile app to switch between "organisations" in the context menu of the operating system.
I have 4 different Xero entities that I need to upload receipts to, and to have to go into the app each time change the organisation before I can upload is time consuming.

MFA - Allow setup of Multi-Factor Authentication on first Login
Currently, when you invite a brand new user to Xero who has never used Xero before:
1) on first log in you need to register for Xero & set password
2) on second log in, it asks you to set up multi-factor authentication (MFA)It would be great if MFA could all be set up in the first log in as it creates confusion for the new user on the second log in. Its also easier for accountants when helping clients to set up new log ins if it could all be done at once, rather than Register > log out > log in > set up MFA

Xero Me | Expenses - Remove Employee from 'Nothing to review'
It would be useful to be able to remove employees who are no longer working for the company from the Xero Expenses app. It's annoying having their names pop up under the "Nothing to review" section as it's easy to continue to file expenses under their name even though they no longer work for the company.

Files - Add a Search option
It would be great if we could search in the files that are attached in the file library. Sometimes you need to find something that was attached a long time ago or by someone else and if you could enter a keyword search it would save trawling through them page by page.

Quotes - Restrict users to send quotes but not invoices
Currently, due to the lack of an approval option for a quote (which is a different product idea), I will need to provide the quote creator the right to send quotes directly to customer without reviewing (to avoid having another user to have to login, after being notified per email/whatsapp about the draft created, to review the drafted quote and send to client - very inefficient process). Once I provide an user the right to send quotes, they also have the immediate right to send sale invoices although the approval for a invoice is a non-negotiable. It creates the risk of unauthorised sales invoices being sent. I suggest another level of approval to solve this issue or provide the option to submit quotes for approval.

User roles - Limit user from seeing historic data
User role - Limit access to user based on year of transactions. I.e. can only view transactions from 2023 onwards.

It would be useful if it were possible to restrict the posting of journal entries to specific users.

Quotes: Generate as legal 'Estimate' instead of quote
I believe being able to update all fields to show the word Estimate rather than Quote would be extremely beneficial. I have been able to update all except for the wording of Online Quote Link

Branding - Enable SKIPIF function in advanced DOCX templates
Please enable the Microsoft Word function SKIPIF for use in docx invoice templates. Currently, we can use the "IF" function in customized invoices to skip item records according to its ItemCode, but as noted by another user in the Microsoft Office discussion, a blank row will still appear for records that meet the filter test. User Role: More options for access rights
More granular level for user access rights
I have seen lots of ideas around this same topic but worded slightly differently.
Essentially, the access rights are far too high level causing users to have access to tasks and rights to delete, approve when they shouldn't

Although it might seem quite specific it does help to have detail of the specific permission sets and what is missing in the existing roles shared for each idea, and get a sense of the users that are interested in these differing permissions.
As you can likely imagine, with the number of features and different roles & responsibilities staff may have across businesses a matrices of options for every single permissions across every feature in Xero would be quite complex and cumbersome when trying to assign what a user can or can't do in your organisation.
While we don't have direct plans for this level of incremental control, our product teams are definitely interested to consider the makeup of permissions within a given area or feature of Xero. I'd urge you and others here to add your support to any ideas that have been raised, or add new ones for permission sets that you'd find most useful for your business.

User Permission - Ability to give both Invoice only and payroll access
I have clients whose bookkeeper does the payroll and also processes accounts payable/receivable invoices. Currently we can't have submit/draft only invoice access AND payroll access. This means that if they want to do payroll, they also get access to approval of invoices. Can we please create a user role where draft/payroll access is combined?

User roles: Restrict access to Invoice Settings
For internal control reasons the 'invoice settings' section should be only accessible for certain access types. Anyone with Xero access (excl read only) can go and adjust the bank account manually entered on the invoices sent to customers.
It would be great to have this locked the same way bank account admin is for supplier payments.
