  1. Please can Xero add an Employee 'Known As' Name Field to the Employee Record, and show this alongside the legal name, on the Employees Homepage (& when running payroll) with the ability to sort alphabetically by this 'known as' name in both places.
Nearly half of our employees go by names that are not their legal name. e.g. Annie = Kit Yee, Kate = Catherine, or go by their middle name instead of their first name.

This issue is making running payroll ever more difficult and the potential for error incredibly high, as often the legal name bears no…

  3. UK Payroll- Access to a communal time off calendar for all employees.
As a smaller business we try to have one employee off at a time where possible- it would be hugely useful if they could access a shared leave calendar in the same place as they request leave & submit timesheets from. This would pull data from my admin overview calendar and stop me having to create external calendar in iOS and another in android which leads to missing data etc and wasted holiday requests. They could see if the leave they want is available prior to the…

  4. Give the ability to set a percentage (i.e) 50% on an employees bank account when paying across more than one bank.
I have an employee who always splits her pay equally between 2 bank accounts, however she is a commission paid rep and therefore each pay amount is different. So the current function is no use to me- which allows a $$ amount to be set only. This is fine for set salaried employees but not for commissioned sales reps.
MYOB had a function where you could set a percentage on how much went to bank account 1, and therefore…

  5. For clients we have with director only payroll, if we could schedule all the filings and pay runs to be done automatically and we just get a pop up box just before they go to confirm nothing has changed for a number of different clients rather than one at a time? I believe Sage Payroll are working on this and Keypay payroll system can already do this too. Just wondering if there's anything on the radar for Xero to to the same?

  6. We would like to suggest an enhancement to the Xero payroll software that could significantly improve its functionality for our company.

Currently, Xero offers download options for various pension providers, but we've noticed that True Potential is not among them.

We propose the addition of a CSV download option specifically for the True Potential pension provider.

Given that Xero already possesses the necessary data, incorporating this feature would eliminate the need for manual data entry and formatting, reducing the risk of errors and saving valuable time.

    Benefits of this enhancement:

Accuracy: Automated data transfer minimizes the potential for mistakes…

  8. I need to be able to track all my project expenses, including labor costs, for each project. All the labor data is already in Gusto, my payroll provider. Currently I have to create a report in Gusto then manually enter the data in Xero. I also have to manually maintain two lists of the same projects: one list in Xero, and one list in Gusto. I would like the Projects in Xero to synchronize (two way) with the Projects in Gusto. I would also like to be able to pull (or synch) the project labor cost from Gusto to…

  10. There is currently only one default setting for NI contributions to be made to. It is though necessary to separate out employee and director costs. Even direct employees and overhead categorised employees. Other pay items allow postings to different ledger accounts but not NI deductions. Would just save a lot of manual journal posting to correct payroll run postings.

  11. Purpose: to be able to move payroll from one Xero company to another quickly and without errors.

When exporting employee details from payroll in order to bulk upload them onto another company's payroll, it is not possible to do a bulk export. You have to instead individually download each employee. This is fine if there are only 10-20 employees, but any bigger and you are opening yourself up to missing employees and making mistakes. Any other exports currently available do not give all the information needed to then import directly into a new payroll.

    Perhaps the main frustration,…

  12. When an employee has a postponed autoenrollment the pension doesn't prompt or show up until just before the payment run has been posted. Making any prior payroll reports and payslips incorrect as the pension then tags on at the end. So reports then need to be reprinted and balanced again.

Can the prompt no show up at the start of the pay run? This will then save any duplicated reports and potential incorrect payments.

Also the pension filing report viewable before the RTI posting.

Alternatively, enter the postponement date when posting the pay run in which the employee becomes…

  13. In Sage, we used to be able to run a report that allowed us to export all our employees hourly rates, so yearly pay rises were easy to plan from.
There isn't a way to do this in Xero - so my suggestion is to have a payroll report, similar to the employee details report, that allows you to see all employees hourly rates.

  14. Payroll - Leave Liability Report to include Time in Lieu or Time Banked. For Companies that choose to offer Time in Lieu to their employees, this will be extremely helpful for reporting purposes. Also if it was available in Excel would be great. Thanks.

  15. Xero should deal with back dating a directorship

As an accountants it is not unusual to only have a touch point around the year end and the client prepares the payroll. And the addition of new directors can be missed by the staff preparing the payroll.
No HMRC guidance is that you can adjust in the next month if the directorship is in the same payroll year. Xero does not work in this scenario. You need to revert each pay run back to the start if the directorship and re run and submit and if there is a…

  16. When adding a Director to payroll midway through the year the status can only be set to 'Annual'
It would be great if we were able to choose either 'Annual' or 'Alternative' Setting a new director on 'Annual' in January has affected their NI contributions. On Annual the NI does seem to vary but sort its self out by the end of the tax year. It just means paying more NI for a period of time.

Hi Laura, thanks for your feedback here. Appreciate you may have already been through the set up process yourself but our recent release of the Switching wizard in Payroll for the UK aims to improve this flow if you set up a new organisation.

We've introduced an experience that'll make it easier to transition from your current payroll provider to Xero Payroll, reducing errors and saving time.

As part of the experience, you'll be able to import a Full Payment Summary(FPS) from your current software provider to Xero Payroll. You can get more understanding of how this works through our short video. 🙂

  18. Under the new STP Phase 2 screens there is no-longer options on the 'Tax' tab to select Working Holiday Maker, rather just 'Australian resident' and 'Foreign resident'.

I understand on the 'Employment' tab you now need to make this selection, however, I've already had many users reach out confused thinking they need to select 'Foreign Resident' now.

My suggestion is to do one of the following:

    1. Add Working Holiday Maker as an option and have it link back to the Employment tab if selected.

    2. Add a text note in the 'Tax' tab section explaining the requirement to return…

Hi Kielan, thanks for the idea. While we appreciate your feedback for where to select Working holiday maker, we want to be upfront that we don't have direct plans for making these changes in the foreseeable future.

As you’ve mentioned there is a placement to accomplish what you're asking here by selecting Working holiday maker in the employment tab under Income type.

  19. Given that there is already a link between Pay Runs and Timesheets, it would be very helpful if the Pay run could recognise what days have time entered on the timesheet then it would recognise if an employee worked on a Public Holiday and then by default record 1.5 times and add the lieu day to alternative holidays.
This is something that my clients miss regularly as they expect Xero Payroll to do this for them.

Hiya Simona, sorry for not updating you on this sooner.

Shortly after the release of the new report our team made a change based on feedback, so the report now shows Employee name and Date as separate columns, and the columns will be included when running the report by default.
