Add an option to upload a copy of the Sick Note / Fit Note to the leave

NZ Payroll - Add 'Cash up - Sick Leave' pay item
As a small business it is hard when employees take time off when sick especially with 10 days now. We have an incentive in our contract to either roll these over or cash them up however this is not available through Xero.
1 voteAppreciate you sharing detail and why you'd like a cash up option with us here. Being open, as this is more specific to your business(not regulatory) we don't have plans for adding a cash up option within NZ Payroll.
However, there are currently two ways you could achieve this within Xero Payroll today
- Leave the Sick Leave maximum to accrue value as nil this will allow an indefinite roll over of sick leave
- If you're wanting to cash up then enter a sick leave request for a single day and enter the total value of a week to cash up with a description of cash up

UK Payroll - Assign multiple employee groups to an employee to split salary costs
A staff member will be working in 2 different locations - I would like the cost of the salary to be split over the 2 (3 days in one location and 2 days in the other location)

NZ payroll - Create a shared Calendar
Integration of all employee leave taken with a shared calendar in outlook or calendar in Xero itself that everyone can view to see who is on leave and when.
5 votesHi everyone, appreciate your interest in a shared calendar for Payroll in NZ. With payroll products being worked on quite separately we have split this idea out from this one, so we can track the interest for this in each product and keep you updated.
Being open this isn't something we have immediate plans for in NZ payroll, however we're keen to continue to track the interest and can keep you updated if there are any developments.

NZ Payroll - Add set Tax Rates when creating pay items
Have tax rates added to Pay Items and or a way to add employee tax rate to unscheduled pay runs so you don't have to edit tax rate when processing.
This will ensure correct tax rate is applied to all employees every time a pay is processed, whether is a normal pay run and or unscheduled pay (bonus etc)

NZ Payroll - Multiple employee bank accounts change in allocation of payments.
When an employee has set amounts to be paid to multiple bank accounts, if there are insufficient funds to pay the amounts Xero allocates to the lowest amount not the order of the bank accounts. This means that payments like rent can be short paid. It would be good to have a flag notifying you of this and an easier way to reorganise the payments.

figures can be entered into both fields at the same time. It should not be this way. There is not enough explanation as to how the salary sacrifice options work

At Xero, we have an open API, which means anyone can develop an app or integration for the product, without providing us documentation.

I have had to re-run a payroll before when an employee's pay has been incorrectly calculated. When you re-run the payroll, XeroMe did not update with the new payslip information. Surely this should happen automatically.

Xero Me should actually already behave as you've described - any changes to a posted pay run will generate a new payslip for each employee.
I'd recommend raising this one with our support team, as they'll be able to assist with troubleshooting. We'll close this idea off as delivered in the meantime.

NZ Payroll: Long Service Leave to accrue each pay run instead of on the employee's anniversary
I would like long service leave to accrue and update the balance each payrun like annual leave does, i.e. leave available to take in advance. rather than waiting for the accrued LSL to be applied on the anniversary date.

UK payroll - Amend employee regular earnings if pay run hasn't been run
Please can you add a fix so that you can amend someone's regular earnings with the same start date if that pay-run hasn't yet been run.
You used to be able to do this, but recently you cant make a correction - instead you have to put the correct data on the next available date. This creates a second line on the payslip - which looks messy and clearly displays the fact you've made an error. Not something I'd choose to share.
1 voteHi Georgina, the salary line will only lock once it's been included in a pay run. Is it possible there is a pay run in draft? If so, you'd need to delete the draft pay run in order to edit the salary line.

NZ Payroll - Option to change employee anniversary date when on unpaid leave for more than 1 week
Where an employee takes unpaid leave for more than one week, it would be helpful if you could enter in the date in which the unpaid leave applies from so that the anniversary date can automatically be reset. The current set up is rather antiquated, and needs to be automated to ensure accuracy and ease of use.

For any organisations that started using Xero payroll in NZ from 5 August 2024, you'll find you can adjust the employee's sick leave entitlement date from their employee record. See more detail around this on Xero Central.
For all other organisations, don't worry this is also in the works but just has a little more complexity to it, we'll keep you updated of when this is made available to all remaining organisations, here.

Xero Me: Allow multiple timesheet entries in one day when using start and end times
Add the ability to Xero / Xero Me for multiple time sheet entries per day.
For staff who work across multiple sites having the ability to add multiple time entries per day and either select a client to associate those entries against, or add a note for each time sheet entry would be fantastic.
Ultimately you would allow up to 6 time entries per day.Example
Monday
Time Entry1= 8:00 - 11:30am (note= site 1)
Time Entry2= 12:00 - 3:30pm (note= site 2)

NZ Payroll - Set a Fixed Amount to be paid into an employee's bank accounts
Option already exists to have multiple bank accounts, however If bonus etc is process separately this option doesnt work as its a different pay run, it would be good to have a fixed amount option that lasts for the month and then re-sets, regardless of how many times employee is paid, after fixed amount is paid, balance goes into different account for that month and then re-sets

Timesheets - New design has limited functionality
I have observed that the timesheets section in the payroll system has been updated. However, this update appears to have introduced several questionable design choices that hinder its functionality and efficiency.
Firstly, the employee list is not sorted alphabetically, which complicates the process of locating specific individuals. Secondly, the system no longer autofill's the default earnings rate, requiring unnecessary manual input. Thirdly, upon clicking the "Approve Timesheet" button, a redundant popup appears asking for confirmation of the approval, despite the action already being explicitly initiated. Projects: Include labour costs from Gusto integration
I need to be able to track all my project expenses, including labor costs, for each project. All the labor data is already in Gusto, my payroll provider. Currently I have to create a report in Gusto then manually enter the data in Xero. I also have to manually maintain two lists of the same projects: one list in Xero, and one list in Gusto. I would like the Projects in Xero to synchronize (two way) with the Projects in Gusto. I would also like to be able to pull (or synch) the project labor cost from Gusto to Xero.

payroll - change the look back to the way it was (where you can see things at a glance)
I just updated the employees to STP2 and it has gone from a nice clean format where I can view everything at a glance to a horrible, lots-of-white-space, format now where I have to continuously scroll down to see the information. This new format looks terrible and creates more work for the user! This includes both the timesheet approvals page, and the Employee information tax / employment info pages.

To be transparent, we have no plans to revert the changes made to the Payroll screens.
These updates are part of “Building on Beautiful”, the work we’re doing to improve the foundations.
As every part of Xero starts to look and feel the same, it will be easier to make other important changes.
These improvements have already allowed us to deliver highly requested features such as Payroll History, and support for STP2.

Global Pay Run - Ability to select payable account for Deductions, Taxes and Post-tax Deductions pay types
The feature request is to allow the defining of current liability accounts for pay items with pay types set to Deductions, Payroll Taxes, and Post-tax Deductions. This will enable the tracking of payroll source deductions and taxes necessary for remittance reports to the tax authority (such as EI, CPP and income taxes for T4 and T4 summary completion in Canada).
There are two ways I believe Xero developers could achieve this goal.

We’re making some changes to help you manage your payroll more effectively;
- From 23 July 2025 Global Pay Run will become read-only. You'll still be able to see all your past payroll information, however you will not be able to process any new pay runs after this date.
- Global Pay run will be retired after April 2026, at which point you'll no longer be able to access pay run.
With this update we want to be upfront here that we don't have any intentions of further developing Global Pay Run, and will close this idea.

Gusto Payments
When Gusto is integrated with Xero, a bill is synced into Xero with the proper allocations of payroll related costs between wages, benefits, taxes, etc. That bill seems to work just fine. However, each time there is a bill synced into Xero, a user must manually mark that bill as paid by taking the amount from Gusto's payroll confirmation for Net pay and Taxes paid and entering each as a partial payment on the bill. Since the info is known, why can these payments not be synced into Xero as well? That would save manual steps each time a payroll…

Unpaid leave
Currently there is no option for unpaid sick leave for an employee. It is important to record unpaid leave taken accurately and also display this on the payslip.
When adjusting the hours paid or work to ensure an employee does not go into a negative sick leave balance, it does not show as unpaid leave on the payslip or reporting.
A negative sick leave balance should not be automatic, it should be a prompt and choice as to whether the business wants to risk paying sick leave in advance of entitlement.

Xero comes with some default leave types already created, however if these don't suit your business' needs, you can follow the steps in our 'Add additional leave types and assign them to your employees' article to create some new ones.
You'll have the option to create paid or unpaid leave types, these can then be assigned to employee's with a relevant accrual type.
