  1. It would be handy to be able to customize the view screen on the contacts screen within Xero. Ie add additional columns - a payment column? It would be a lot easier to have a visual of payments received rather than having to click on the invoice or run a statement against the client to see when payment was last received / paid. It would also be handy to have an item column that includes payments. As well as an option to reconfigure the column order, Ie. Date in first column.

  3. Hi Team, my query is about Draft Invoices. Is there any chance of having a 'Stop do you want to proceed' when it comes to a draft invoice being sent instead of the actual Invoice? I was convinced that I had approved a draft invoice, yet when the email was sent, it was not the Invoice as per the subject reference, but the draft. Embarrassing to say the least.
    Just that extra step would be very helpful. Not the first time it has happened to us. Thank you,

  4. Would like to be able to have adjustable columns on an invoice that I can change what they fill with. Right now an Invoice only has Item as a field. I would like to be able to change from Item to Account. That way I can have one payer and list several clients in the invoice without typing them all in. For instance, if a field was labeled Client Account # or something then I could set up the list with my clients or pull them up from contacts, and just select the clients account number, it would prefill a…

    Hi Laura, hen you say you'd have one payer - would this be a customer or someone internal in your organisation? 

    It still sounds like untracked inventory could work here - for example each 'client' would be set up as an  untracked item, you could select clients using the Item column of the invoice and this would auto populate pre saved data such as the account number which could be referenced in the description column, and monthly service for the account.

    Hi Yumei, a few different bulk requests in the one here. 

    In terms of branding themes when you say you'd want to bulk update branding would this be detail within your branding themes, or the branding applied to invoices in Xero? If the latter, perhaps you'd find setting a default from your Contacts record a useful way to edit this? 

    We try to keep individual ideas separate so our product teams can get a good understanding of exactly is being asked, and others in community know what they're voting for.

  6. Ability to select a date that says payment is due upon receipt of this invoice. This is "due date" is used just as much as net terms of 30 days.

    Hi community, returning to the idea right now you could enter a Due Date that's the same as the Invoice Date (or set it to whatever the date is when the invoice is being approved and emailed).


    Additionally if you'd like to specify the text that appears (such as 'This invoice is due upon receipt') you could either:

    • Add this into the ' Terms & Payment Advice (Invoice and Statement)' on a Standard invoice template, or
    • Add this text into the Footer of the invoice template on a Advanced branding theme
  7. It would be useful to capture Incoterms on a contact by having a dropdown selection for them. Additionally, if this information can be carried over to the invoice screen, it would be beneficial.

    Hi Amanda, in lieu of having a direct field and selection for this in Xero perhaps an option could be to add this information to the Notes of the contacts record, or attaching as a file to the contacts record.

    Appreciate this doesn't automatically flow through to the invoice.

    We'll start to get a feel of the interest for this feature through your idea, here.

  8. When sending invoices from Xero to Xero it doesn't attach the actual invoice in the draft bill as an attached so we don't have this invoice for record keeping purposes and can't even see if there's VAT or No VAT charged on the invoice as it is not attached to the bill. This needs to be added.

    Hi community, sending via the Xero to Xero network within an individual invoice is now live.

    As the team rebuilt this feature for invoicing they have also been able to develop the improvement that you're after here, and you'll see you have the option to include attachments when sending via Xero to Xero within an invoice.

    Atm, this is available in all regions excepting Singapore. We're still working on providing this to users in this region and as soon as it's live I'll update again to let you know. Thanks for your feedback and sharing on the idea, here.

    I would like if Xero can provide an invoice user view only to look at the overdue invoices.

    This idea came up because we have a requirement to give this access to the person we hired for invoice chasing.

    We do not need to let him see previous invoices or give him access to create new invoices.
    Just a view with pending invoices payments for sent invoices

    Hi Danielle, when you say you'd like to post an application. Could quotes potentially be a fit for this purpose here? Otherwise could you share a bit more detail on what would be needed to record the application in Xero.

  11. Is it possible to move the delete button away from approve button in Sales Overview.
    When approving invoices, have too be very careful with delete button right beside approve.

  12. Be able to search for a particular term within invoices. For instance as service that is not often invoiced. Could then allow you to copy that particular invoice to a new invoice.

  13. Ability: Xero only displaying the unpaid invoice up top under client/contact ----- same as former Xero version - PLEASE change this back it was perfect and it is very much not userfriendly now

    Purpose: quick overview of the account i.e. which invoices are unpaid and what was communicated last

  14. Please keep the current feature of adding item codes to billable expenses so that the preset charge out rate and account pulls through. In the new system adding an item code wipes out the billable expense.

    Hi community, thanks for sharing back with us on the flow through of information for Billable expenses.

    Our product team have implemented a change, and you should now find that when you add a billable expense related to an inventory item, and select to add the items to your invoice the item code will be shown.

    If you're finding this is not the case for you it would be best for our Xero Support specialists to take a closer look at things with you 1-1 - you can touch base with them through Xero Central.

  15. Could the VAT transactions report in the VAT return include the invoice number as well as or instead of the reference?

    This would make the review to see if there are any missing invoice numbers much simpler. Our invoices are created in another software package by a number of people who sometimes include text as well as the invoice number and it makes sorting by numerical order time consuming. Having the invoice number as a field would make it very easy to sort in numerical order and identify missing numbers.

  16. The 'new invoicing' option automatically removes any leading carriage returns and leading spaces in the invoice description field.
    This did not occur in the classic version and wonder why it was introduced.
    To enable the details of the invoice to be easily read, it is sometimes necessary to separate line items on the invoice and to indent the actual description.
    Can this 'feature' be removed?

  18. The cash flow currently picks up bills to be paid on a specific date in the cash flow but if you set up a payment in advance and mark as paid in Xero, the bill disappears all together from the cash flow.

    The manual workaround is to "Add upcoming money in or out" but I would have expected Xero to pick them up as payments already set up on the bank account.

  20. When entering a bill or invoice, you enter the total at the top then add statement lines, would be great if it showed remaining amount to be charged/ reconciled to reach the desired total. This would cut down admin time when reconciling bills after entering gst amount could show the total remaining as the non gst amount so you do not need to calculate the remaining amount.
