Short term cash flow - Expected payment date based on history
It would help if the expected settlement dates for invoices (and bills) were based on past history rather than due dates

Quotes / Invoices - Select which lines to copy to a new transaction
When your quote involves different vendors, it would be nice to have the option to create POs with a click of a button for all the vendors but because you can't specify a vendor for each item then at least let us select the line items. Also very important, any additional information that was added to the description during the quote / invoice process should be carried over to the PO.

Projects - Add Estimated Income Feature
Currently, Xero Projects allows us to enter and track predicted expenses, which is great for monitoring project costs. However, there is no equivalent option for predicted income.
Being able to record predicted income against projects would provide a much clearer picture of project profitability and cash flow forecasts. This would allow project managers, accountants, and business owners to compare projected vs actual income alongside expenses, improving financial forecasting and decision-making.
Benefits of this feature:
Aligns income forecasting with existing expense tracking.
Improves visibility of project profitability before actuals come in.
Helps businesses plan resources, budgets, and cash flow more effectively.
Provides a more balanced and complete project management tool.
This would be particularly useful where invoices are split across different categories. Having the ability to assign parts of an invoice to different areas of tracked predicted income would bring much-needed flexibility and accuracy to project reporting.

1 voteHi Jalal, thanks for sharing this idea with us. We can see why this would be helpful for some users. Currently the way to view to profit is to add columns for both Gross Profit and % Profit to the Project Details and Summary reports. We've moved this idea to gain more support from the community. We'll watch it closely for more traction. In the meantime, you can share this idea with your peers who might want to see this feature in Xero as well.

Reporting - Option to remove the Date from the Footer of all reports
The print date that now appears at the bottom of reports is useful for some reports and circumstances, and I understand this date is now turned off for Published Reports.
However we do not 'publish' our financial statements - we send our financial statements to clients in a practical and informative pack instead. This is a more efficient, professional and streamlined approach for us.
Showing the print date on these financial statements is of concern, due to various issues including the lag time between preparing and approving the report. It is also not ideal when preparing the directors resolution and we have a resolution signed date, then a report date at the bottom that is completely different. It does not look very professional at all.
Rather than having to re-run these reports each time, which creates inefficiencies, we need the ability to be able to toggle this date on and off - at least at a template level, or alternatively at the report level.

Reporting - Allow monthly figures to be time-adjusted based on reporting period in custom reports ratios
In my custom income statement, I'd like to create a calculation for a debt service coverage ratio. However, I don't there's a way to set a P&I payment as "per month" in the custom features. Is there a feature to set a formula that adjusts my debt service based on the number of months the income statement covers? (E.g. monthly P&I is $5,000 per month. So a 6-month year-to-date statement would adjust P&I to be $30,000 on my printed report).

Reports/Tracking - Add filter to P&L Comparison to hide zero balance tracking columns (projects)
When comparing the Profit & Loss by projects, it would be very helpful to have an option such as “Hide zero balance projects” after selecting all projects. Currently, when we select all projects (we have more than 100), the report also shows those with zero balances (no transactions). This makes the report slower to display and download, and we have to manually remove those projects afterwards. Would it be possible to add such a feature to improve efficiency and reporting usability?

Reporting - Suggestion for matching/filtering Balance Sheet items to show 'open' amounts
Only show 'open items' on Balance sheet
Have an ability to match items in a balance sheet account, so only the 'open amounts' (which make up the total) are visible eg for accruals - don't have to see all the old accruals, and the invoices that have cleared these out. Would be able to see summary of just the 'open amounts'

Navigation | Search - auto close and remove entry
I have seen the new Xero update, and the search bar has changed (only looks and complaints)
1. The search bar stays open, so you manually have to close it, which is slightly annoying.
2. Your search stays in the bar when it is closed. So when you open the bar again to search for something else, you have to delete the original search. If it has been a while since you last searched, you forget, and it can be so frustrating. If the search bar were fixed (actually finding things I were searching for), I wouldn't mind. But this issue hasn't been fixed, and therefore, the only thing that has changed is the looks and the complaints above.

Invoice templates - Ability to edit Title for Prepayments
Invoice Settings - Branding Themes - Prepayment title
Why can't we alter what shows on a prepayment? We have several customers who mistakenly pay us twice for invoices, this is made worse when we send them the prepayments (of the double payments) which say "Tax Invoice" suggesting this is money owing to us. Why can't we change the title to "Credit Note" or similar, so that our customers know that they've overpaid without us needing to manually contact each customer.
It should be a fairly easy fix, seeing that most types of invoices, quotes, drafts, etc have the ability to have custom titles. Add in Prepayments.Thank you.

Batch Payment - New Bills/payee's highlighted in Batch Payment Summaries
Accounts Payable - New Bills/payee highlighted in batch payment summary
I review the batch payment summaries for our organization after they have been approved by managers but I would like some further controls - it would be great if there was some indication on the batch payment summary that this was a first time bill payee and/or if Xero could check for duplicated bank account numbers in the batch payment summaries.

NZ GST return - Late claims, Publish & incognito mode
Not a new product idea by any means, just a request to put the GST return back the way it was before the update. So far with the new update, we can no longer see the late claims on a separate tab, we cannot publish the final return in Xero and now we can not be in two different entities at once even if we are incognito mode or in a different web browser.
When querying Xero about this problem, it was suggested that I post it as a product idea, because they are all known issues but can't do anything about it unless I request it here. Not a new product idea by any means, just a request to put the GST return back the way it was before the update. NZ Payroll - Option to create pre-tax deductions
The new NZ WorkRide scheme works via a pre-tax deduction re salary sacrifice. Xero Support confirmed that right now there’s no functionality in Xero Payroll to process a pre-tax deduction. We have been advised that we need to manually adjust the tax in the draft pay run to reduce the PAYE withheld. Please enable your customers to comply with the NZ WorkRide scheme without the need for manual PAYE adjustments, by creating the ability to process pre-tax deductions.

Reconcile Period - Add Last Reconciliation Date for Quick Reference
When using the Reconcile Period feature for clients with multiple bank accounts, it is time-consuming to click in and out of each account to check if reconciliation is needed. It can also be difficult to remember which account you left off on, especially when reconciling at different times throughout the month.
Displaying the ending date of the last reconciled period next to "Reconcile Period" and/or on the dashboard would provide a quick overview of the last reconciliation for each account, improving efficiency.

Invoicing - Increase the number of billable expenses shown on the selection screen
Xero decided to limit the number of billable expenses one can view at a time when invoicing to 10, as was explained to me, because some organizations have a large number of billable expenses and it taxes the system and slows down the process of invoicing if more than 10 show. The exact opposite effect happens, however. Now, one has to page through dozens of windows to find the billable expense, instead of simply scrolling through 100+ bills. Even worse, there is no way to sort the bills, so the target of the invoice may be on page 36 taking 3 minutes to find. This is awful. At the very least, like in other areas of the program, this should be selectable (10, 25, 50, 100, 200). It should be sortable. Blaming it on the programs inefficient way of handling should not be an excuse to remove this essential feature. It didn't work perfect before (date column missing, horizontal scroll bar needed to see all columns, etc), but it was still better than having to page through all the bills. Please provide a pagination option or revert back to the vertical scroll!

2 votesHey Scott, really appreciate your feedback on our update here. We want to be transparent that the change to billable expenses in invoicing was something that we implemented due to lots of feedback that we received, and we don't have intentions on returning to the previous behaviour. On review, we first marked this as feedback based on it being a removal of a new feature, however we will shift this to Not in Pipeline to set expectation.
This means other members will still be able to vote on this idea, and we can track if this is still an idea that trends.

UK Payroll - Upload HMRC notifications to employee record
We are all required to keep tax code and other notifications from HMRC for a number of years. Currently we have to do that in hard copy. It would be great to be able to upload a copy to the employee record instead.

Xero Login - Authenticate with Face ID on desktop
