  1. Ability for Payroll Admin to delete holidays. When an employee books the wrong day or is off sick during a period of pre-booked holiday and wants his/her holidays cancelled, the payroll admin should be able to delete the holiday but cannot.

    Hi team, rounding back on the idea here I want to confirm that currently Payroll admins can reject approved leave requests which will delete it.

    If the leave request has been included in a draft or posted payrun, the payroll admin will need to revert to draft and delete the payrun before the leave request can be rejected.

  2. With the "new look" bills having been implemented, all the different bill options are under a drop down where you select new bill, new CN, new repeating etc.
    I appreciate that this looks tidier or something, but when you're inputting about 20 CNs, having to go through the dropdown for each of them is really tedious.
    Also: after approving a bill there's an option to add another bill directly, but that doesn't happen if the bill is submitted for approval or saved as draft. Can this be implemented?

    There is also no option to go straight to a new CN…

    Hi there, I know it's been sometime since you first raised your idea with us here, and as you may have noticed there have been a lot more changes within the bills to pay space that improve flows and efficiency in managing your bills.

    It'd be good to hear back if you're finding these changes have improved things for you when entering and managing bills - For example rather than approving individual bills, with the quick view you can now quickly scan the detail and approve single or multiple bills at once from the list view, and with New bill drop down available on this same screen, you can + New credit note without extra clicks.

  3. When closing a UK PAYE scheme in Xero Payroll, I struggled to locate the option to end a PAYE Scheme within the system but found guidance in Xero help resources.
    I suggest moving the "scheme cease date" box to the "HMRC" Xero Payroll Settings tab for better visibility and less confusion.
    Your step-by-step explanation was helpful, but some adjustments could enhance user experience.

The Pensions Act 2008 requires all employers to enrol their eligible employees into an auto-enrolment compliant qualifying workplace pension scheme, if they are not already in one, and pay specified minimum contributions. At the moment there is no way to check if and when the letter was sent to the employer. As this is a point on our audit checklist for all our clients would it be possible to add a field showing the date when the letter was sent out to an employee or ideally add it to a pension report.

  5. Can we have both CIS deducted by clients and CIS that we deduct from sub-contractors on the P32 report. I use the P32 to tell me what I need to pay across to HMRC but then have to do a separate calculation for CIS that I've deducted from subbies. The way Xero handles CIS deductions from sales invoices is difficult enough already!

It would be great to have the ability to copy a contact in order to create a new one We often have the same agent representing various clients, and creating a new contact for each one is cumbersome. The option to copy an existing contact (making changes to the name or account number but keeping the address, bank details etc) would be extremely useful.

  7. According to different awards Time off in Lieu is suppose to expire in 6 months time if not used. Currently you can only bank and take Time off in Lieu. It would be great if Xero could automatically expire hours not used as this is a common practice in many employee Awards.

  8. Casual loading rate must now be separated on the employee pay slip. We need an automated template function that populates the ordinary hours and adds on the leave loading on a separate line (without doubling the total hours worked)
    ie Casual works 38 hrs (currently we enter it on 2 lines and the total hours become 76 hrs??)

  9. In Australia, users need to be able to manually edit the amount of GST paid on a transaction. This is required because certain transactions (particularly grocery and pharmacy transactions) have a mixture of items, some of which have GST applied, and some that do not. Unfortunately, the receipts for these types of transactions do not indicate which specific items have incurred GST - they just have a total amount of GST paid on that receipt. As such, it would be great if users could just override the total amount of GST paid for those receipts. See attached…

  11. With ever changing minimum wage requirements (UK only) which are based on an employees age it would be useful to be able to have a 'one pager' report that lists the employee name and the current age. Their age is data which is already in Xero as part of the employee profile. A report would be useful to help payroll staff check who needs to move onto new wages / salaries based on age groups.

  12. I need to report on employee timesheets against my tracking categories. For example how many hours have employees recorded against Job A, Job B, Job C etc in any given timescale. In the transaction/payroll activity report it only gives £ and not into tracking categories.

    Thanks for sharing your idea with the community here, Rachel. I see it hasn't really picked up interest and with the ability for employees ti submit leave requests via the Xero Me app that is accessible from a mobile device we don't have any plans for developing SMS capability.

  14. Increase number of letters/spaces in text field boxes in employee name fields.

    Text fields for employee names are currently limited to 36 letters so my suggestion is to have an unlimited text field or increase to 50 spaces.

    I only discovered this when a new employee's last name has 40 letters so I can't accurately add his full last name. Payslips need to be downloaded and edited via a pdf editor so he has the accurate payslip for his tax and visa records.

  15. Separating out pre & posttax deductions on PDF payslip. At the minute these are all displayed together.
    Would be better if Pre tax deductions where displayed under gross salary and then taxable pay calculated, before displaying post tax deductions.
    Would be easier for employees to follow.

  16. We want to give access to reporting to one of our managers however we don't want them to be able to view all payroll information. Therefore I am looking for a function that can give access to all of Xero except anything to do with payroll so all nominal codes to do with wages would need to be invisible etc. Journals would another thing that needs to be hidden.

    This is really useful to know, thanks Josh - Though we don't have immediate plans for change around this, we really appreciate you sharing the detail of how you'd see this permissions working best for you. We'll keep an eye across this one here, and let you know if there are any updates.

  17. STP2 Allowances. Not reportable at W1 should push that information through with STP, but it doesn't. Using reimbursements as a work around is not good enough - better syncing is needed.

  18. Add a template another file option for payroll. HSBCnet allows file uploads with a SUN however as Xero does not have this template it means only options is to apply for a SUN and increase costs of paying our payroll. We need a file that accommodates ACH CR BACs (non-SUN) files. Requirement is Xero payroll ERP configure the file without a SUN then please ask them to do so, as it should be identical to the one we have tested for supplier payments, meaning the word ‘HSBC’ should be quoted on the VOL1 line and the…

  19. It would be good if you could hide leave balances on individual employee payslips. The hide/show leave balances on payslips is a global setting applying to all employees. We have a scenario where the employ moved from part time to casual. They had leave balances as a part time employee, but don't have them as a casual but the zero leave balances still appear on their payslip.

  20. UK payroll - Have the ability to fully process 2 workplace pension schemes. We have 2 contribution schedules, one basic minimum level, one at higher levels. Sage can process both of these and send the correct contribution amounts to NEST. XERO is unable to do this and requires manual intervention in XERO and at NEST. This is crazy, surely I am not the only one with more than one set of contribution schedules?????
