surname shown first on sales invoice
Can we have the ability to automatically have each sales invoice shown as surname first, followed by their first name. Instead of the manual task of having to go into their contact details and changing this manually. In our business (as I am sure many other businesses also do) we reference our customers by surname for their jobs.

Invoices - Add option to apply an automated percentage surcharge or fee (e.g., FAF) to the invoice total
We would love the option to add a variable FAF(Fuel Adjustment Factor) in the form of an added percentage of the total invoice, to the invoices we send to pur customers. Currently we have to work this out and enter it into each invoice manually which is very time consuming. If you could add a component to your invoicing that included an optional FAF which could work out the percentage for you that would be amazing. Considering nearly every transport and logistics company we know has now added a FAF to their charging due to the recent volitility in fuel…

The suggestion is to add an option to automatically calculate and apply a percentage surcharge or fee to invoices, reducing the need for manual calculations.
For now, you can use a separate surcharge item or connected payment settings where applicable to help manage these charges. We’ll continue tracking this idea here so the community can share feedback and use cases to help shape future improvements.

Hubdoc - allocate account to bill during upload
Hubdoc App. needs the ability to allocate chart of accounts to the bill when uploading rather than always having to do this on the web platform

Invoices - Adjust margin and header spacing controls within Standard invoice templates
Move the entire template up so the "Bill To", Logo and "Company Info are on the same rows.
There is too much wasted space up top and could be used for more line itemsOr
Add an option to crunch the line items with none, single or double line spacing between each item listed.
4 votesThanks for raising this, Kirk. We understand that having more control over invoice layouts can help keep customer-facing documents looking clean and professional.
The suggestion is to add margin and spacing controls to Standard invoice templates, making it easier to adjust the layout to align the logo with address and company information.
For now, Advanced DOCX templates can be used when you need more flexibility over formatting. We’ve moved this idea along to continue tracking interest.

More & more customers/suppliers are wanting their invoices sent to one email & statements sent to another & suppliers want purchase Orders to one & remits to another. An option to have multiple emails and tick box on what is sent where would be very helpful

Invoice | Auto pay - control emails sent to customers
All my clients are on recurring invoices. Every month they get an "Invoice Due" email & then 5 hours later they get a Payment Receipt email. Why is Xero REMINDING my clients that they are paying me money? I have over 30+ expenses on autopay on my credit card. Not one company goes out of their way to reminder me that I am paying them money. But Xero not only tells my clients that they've paid me "another" $1,000 this month, but they tell my client TWICE. I'll re-open and have slightly adjusted the title of your idea so we can begin to get a sense of the interest in having more control of the emails that are sent for auto pay invoices and payments.
Being open, right now this isn't something we're looking to support with this being a regulatory obligation in some regions. However we can continue to track interest here and share if there are any changes planned around this flow.

Statements - Remove the Red ink from overdue
I would like to be able to select a covering statement email as the red box with overdue payments is really annoying our scholars. They see this and think it is the amount they owe. Most of our scholars pay in small instalments this is highly confusing for them. If we had a choice of an alternative template it would be really useful. I have written to support and there is not currently an option for this. Their reply is below for you info.

Reporting - Include Quotes and Purchase Orders in Short-Term Cash Flow forecasts
Since Cash flow forecasting is relying on Invoices and Bills input, this is not so helpful in real life scenario especially for Project based businesses. Invoices and Bills are always late. Since they're late, they don't appear in your cash flow forecast. What I'm trying to do is to input all expected Sales and Bills in a project via Quotes for expected Sales and Purchase Orders for expected Bills. This way my forecasting will account for Sales and Bills that are expected but didn't happen yet. Can you please create that Quote and PO forecasting please?

Invoices - Retain and save the selected Account Code on line items with a $0.00 amount or 100% discount
We send out promotional items and invoice these with a 100% discount. When saving the invoice, Xero is not saving the account code that I applied. I've read this is an accounting simplification. We need to see these invoices - is there a workaround?
4 votesHi Vanisha, thanks for sharing this suggestion. Retaining the selected account code on zero-value or fully discounted line items could be useful for reporting and analysis, particularly for tracking promotional or non-charged allocations.
Keeping this mapping in place would help preserve useful context in reporting, even when the line has no financial impact on the ledger.
We’ll keep an eye on the feedback and interest in this thread.

Notify client of customer Credit Limit being reached
Notify the client that a Customer has reached (or is reaching) their credit limit automatically via email - the prompt when invoicing is useful but when doing a virtual finance function for a client, an automatic notification to be produced when a customer is reaching the credit limit would be beneficial and would reduce the need for additional external communication

Credit Notes - New credit note does not show Customer Contact Account Numbers
Your NEW credit note is no use to us as it does not show the client account number (not the bank the contact account number). If you are re-designing a layout at least keep the info you could previously see! Update before this is mandatory please

Invoicing - Allow Item and Description-only lines, with no Qty or Unit Price
When choosing item code and description, I want the ability to leave the rest of the fields blank. Classic invoicing had no problems with it. The new invoicing wants to populate QTY, UNIT PRICE and AMOUNT. Makes the invoice look unappealing.

Your feedback has been valuable in understanding the needs of using description only lines to; add subheadings, provide context for grouped charges, and ensure your invoices are easy for your clients to read and understand.
To reconfirm, atm - You can add one-off description only lines as you enter an invoice. However, if you add detail to any other field the line will be treated as a 'financial' line and you'll need to include Qty, Unit price, Account and Tax rate.
- We know some users have set up and saved inventory items for description only lines they commonly use, however as the item code field is used for inventory items the line of the invoice is treated as 'financial' meaning you'll then need to include Qty, Unit price, Account and Tax…

Invoices - Due date for sales invoices 45 days
Invoices - Please could we have an option for due date to calculate 45 after the invoice date and then end of the month? EG invoice date 1st May 26, due date is 1st May 26 plus 45 days = 14th June, EOM = 30th June (due date). This is a common way to calculate due date in Southern Europe. Thank you!

Quotes - Allow customers to accept or decline specific line items on quotes
Include a tick box or similar to allow a customer accept some line items and reject others within a single quote. This is helpful for offering a choice of materials with different price points so the customer can choose how much they want to pay.
Example -
Line 1 - option 1 cost to build a path with high end materials eg paving
Line 2 - option 2 cost to build a path with lower cost materials eg gravel

We often have multiple people working on/adding to a quote, which is sometimes built over several weeks or even months. Overpayment - Audit trail back to bank statement line
Currently, there is no path to follow to an overpayments origin. We need to be able to see which transaction this overpayment came from when there is disputes over the account.

Allow prepayments to be posted to Accounts Payable not just the Bank lines so it can be included in a Batch Payment form Xero
Currently Prepayments can only be posted directly to the bank line and so the actual payment must be processed manually in your online banking. We use Batch Processing for our supplier payments, so being able to add it to Accounts Payable instead would make things a lot easier for this saving both time and the risk of a mis-type for bank details. I appreciate this means both sides of a transaction would be in Accounts Payable (for a short while) but it would only be until the Batch Payment process has selected the relevant invoices for payment. We’d like to make sure we fully understand the workflow you’re asking for so we can review the idea properly.
Can you confirm whether the main request is to allow prepayments to be posted to Accounts Payable, rather than directly to the bank line, so they can be included in a batch payment?
If so, it would also be helpful to understand whether this is mainly for:
- supplier payments processed through batch payments
- pro-forma invoices
- situations where you’d want the audit trail to still be visible through a tool like ApprovalMax
If you can share more detail about the steps you’re following now, what’s not working well, and what you’d expect the ideal workflow to look like, that’ll make it easier for us to review the idea and move it to the right status.

Invoicing - Invoice status for An invoice that is still an order
Hi all,
I would like to float the idea of including an 'Order' button/tick box on the invoices.
The 'Order' flag would indicate that this Invoice is still 'In progress' and has not been fulfilled. In this situation the invoice has been created as the Quote has been accepted, however the invoice is not sent for payment until the order has been completed. This would also mean that this invoice is not included in the statement that is sent to the customer..
This would help with the customers that have terms and/or have agreed to not pre-pay, however pay on…
