Delivery schedule / Customise Invoice Statues
We would like to know if there are any enhancements available to incorporate a delivery schedule within Xero.
Currently, we export the “All Invoices” report by invoice date and generate a separate delivery schedule from this data. We would like to understand if it is possible to streamline this process directly within Xero.
In particular, is it possible to include a delivery date field on invoices that can be used to generate or feed a Delivery Schedule report?
Additionally, we would like to ask whether invoice statuses can be customised. At present, the available statuses include Draft and Awaiting Approval.…

User permissions - Read only access export all
read only is almost self defining - unfortunately read only users are not able to export (some) tables. The rational is that they are bundled with import. Can read only users have the right to export data.

New invoicing: Remove / turn off online payments option
I would like the option to remove the 'set up online payments' box whenever I create a new invoice. For companies like ours who are never going to use this function, it's irrelevant and takes up unnecessary space (we use invoice finance and our clients don't pay us directly). Could there be a toggle button in the settings to be able to switch this off?
59 votesHi team, we thoroughly appreciate the feedback we've received from our community here.
I want to share that our product team have made a recent change for the banner that you receive in invoicing, so now if you choose to 'dismiss' this it'll be permanent and the banner will no longer appear.
We want to be open that we don't have any plans to provide the ability to turn off online payments for an organisation completely.

New invoicing - Use '.' as separators in the date field
New invoicing - ability to type "." between numbers (like you can in bills) i.e 24.6 then becomes 24 June after you press Tab.
Right now it only seems to accept 24/6, but I'm sure you used to be able to type 24.6 Tab and then it would convert to the date. If you use "." now, it will default to todays date
31 votesUnderstand our customers have different habits when entering dates, Emily. Atm you can use '-' or '/' to separate n umbers in your dates, however as you've found '.' isn't an option. We'll begin gathering interest in this here, and I'll share if there are any updates planned.

Add send by SMS option to the mobile app and move the send by SMS option to the top of the page on desktop
Allow the send invoice by SMS option to be available in the mobile app. Moving the option of sending an invoice by SMS to the top of the page instead of at the bottom would be much better too. Most businesses will have templates set up, so this is why it would be easier to have the option at the top of the page.

Smarter search box/function using fuzzy search
When using the search function, searching either an invoice or purchases or anything, the search tool is not very smart and too defined making even a space as a defining character. For example If you search for A B Consulting but you type AB Consulting, it won't show up.
It would be good if the search tool can be smarter and use the widely available and established fuzzy search and ignore these minor characters (space, period, commas, typos etc).
It would also be better if it is smart and able to give you results even if you have a typo.

Invoicing templates+ PDF naming + emailing naming
XERO should enter the customer front office era!!!
We need:
1) drag and drop invoice templates to replace the pre-historic existing templates and doing away with the "Billy Boy" word document interface for making invoice templates = the pre-history!
2) add the ability to tune the PDF naming to include custom selected key element
3) add the ability to use custome selected email naming for emailing invoices!!!!
The most important part being invoice template tuning ... please PLEASE enter the 121st century!!!2 votesHi 👋 your idea is being looked into by our Community team. We'll be in touch soon to update you once your idea has been reviewed.

xero invoices in xero as draft
Please make all XERO subscription/billing invocies in XERO as darft under the supplier XERO. It is silly that they are we emailed to the billing a holder and not automatically available within Xero itself.

An invoice that is still an order
Hi all,
I would like to float the idea of including an 'Order' button/tick box on the invoices.
The 'Order' flag would indicate that this Invoice is still 'In progress' and has not been fulfilled. In this situation the invoice has been created as the Quote has been accepted, however the invoice is not sent for payment until the order has been completed. This would also mean that this invoice is not included in the statement that is sent to the customer..
This would help with the customers that have terms and/or have agreed to not pre-pay, however pay on…

hide discount
Actually Hide the discount from the Customer on the invoice.
I DO NOT want the customer to know his discount, so if I select 'hide' discount it should not be displayed on invoice, or you should clearly say 'not hide'
XERO Just does weird stuff constantly that makes no sense.

Invoicing - Allow Salesperson name , contact terms etc
Advance Template. Allow custom fields for advance templates (For all forms). like custom field 1, custom field 2 and custom field 3. So that we can add fields like salesperson name, contacts, terms, etc.
4 votesHi Choonke thanks for raising this here. We understand the need for having Sales person's fields both on the invoice itself as well as the custom template. We have opened this idea up for the community so they can add their votes and comments on this idea. In the meantime, we'll monitor this space for more traction.

Invoice - Restore previous single-screen upload and confirmation
In the previous version of Xero, uploading invoices was much faster and more efficient. When uploading an invoice image, we could immediately select whether it was a Sales Invoice or a Bill from the same screen. This saved time and simplified the workflow.
Another important feature in the old system was the visual indicator: once an image was uploaded and recorded as a Sales Invoice or a Bill, there was a clear mark showing that the document had already been categorized. This provided transparency and reduced the risk of duplicate entries.
In the new version, we are required to go…
7 votesWe understand that the previous single-screen invoice upload process helped with efficiency, and it’s great to hear how it supported your workflow.
The idea is now in Gaining support, so the community can vote and join the discussion. Adding details about your workflow can help the community see the value and encourage others to share their experiences too.
We’ll keep this thread updated as the idea develops.

adjust spacing top invoice template
Move the entire template up so the "Bill To", Logo and "Company Info are on the same rows.
There is too much wasted space up top and could be used for more line itemsOr
Add an option to crunch the line items with none, single or double line spacing between each item listed.

Repeating Manual Journals - Provide more frequency options
Once upon a time when we used TAS for our bookkeeping services, they had a very useful feature when processing recurring journals. We could choose separately months to correspond to the days clients being charged for. For example, we would pick January, March, May, July, August, October, December to process invoices for 31 days; February for 28 days; and April, June, September, November for 30 days. Once you have that set up initially, you don't have to think about adjusting recurring journals every month. At the moment, it takes me about half a day just to update over a hundred…
3 votesHi Anna, thanks for sharing your idea, and letting us know the changes that matter most for you. We understand that having more options in terms of how often the journal should be repeated would be helpful and prevent extra admin. We'll open this up for the community to share their thoughts and vote on it. In the meantime, we'll monitor this space for traction.

New credit notes - Ability to edit and choose application amount when creating from invoice
The existing CN is being phased out in favour of a new-format CN (now in 2026). It is less user friendly than the old one; there are 2 options to create them as follows.
Using Create & Apply Credit from an invoice automatically applies the full amount without giving you a chance to edit first, requiring you to then un-allocate, edit, and re-allocate.
Creating a blank credit note from the Sales Overview means manually copying line items from the invoice, which is cumbersome with room for manual errors..
I'd like to create a CN off an invoice, and edit it…
2 votesAppreciate your feedback on the new credit notes experience here, Zoltan. Can see how this would be useful when you need to make a few changes to the credit note that's related to a specific invoice.
While we don't have immediate changes for this planned we'll start tracking the interest here and can keep yu updated if there's anything in the works.

add payment option on invoicing
Invoicing Add Payment - can we please have the add payment option pop up in a separate box like it did before on the new invoicing. Now you have to scroll to the bottom of the page to enter details and add payment, but I have to scroll up to see my invoice number and reference and as I type, it scrolls back to the top.. like you're fighting with something that should be a 2 second job. Why does this need to be on the bottom and why did it change at all?

Importing invoice from CSV - Display the new items being created
When I import invoices from a CSV, they can often be really big (900-1500 lines). It tells me if I am going to create a new item. It would be helpful if it would tell me which SKU it is going to create so that I can go to my CSV and check if it is actually a new item or if there is just a typo in one of my SKUs.

Annual Subscription Column
Looking for a way to show separate totals on quotes, itemizing "items" into separate columns. Such as one total for hardware and installation, and another for annual support or subscription costs.
Typically when we quote out jobs the subscription for annual support/subscription is billed separately. It is added to an annual bill with the rest of the subscriptions separate from the one time quote for installation of new hardware. When sending a quote over for adding more hardware, for client budgeting purposes it allows them to know total cost they need in the budget but separates the one time charge…

allow credit notes to be marked as sent after being allocated to an invoice
If a credit note has been applied to an invoice, Xero blocks us from marking the credit note as "sent".
Xero then shows this error message:
"Credit note wasn’t marked as sent.
Editing is not available for credit notes that have invoice allocations or cash refunds applied, so they cannot be marked as sent"According to support this is the intentional behaviour.
When a credit note has been allocated to an invoice or has a cash refund applied, you can only edit certain fields - specifically the Contact, Credit Note #, Reference, Description, Account and Tracking fields.
However, the "Sent"…

Credit notes - Preview before saving as Draft.
We would like the ability to preview the Credit Note BEFORE saving it as a Draft.
Currently, the only option to preview a Credit Note is to save it as a Draft and then use the "Print PDF" option to open a preview.
Instead, we would like an option where we're able to view a preview when creating the Credit Note.
Purpose: To be review the Credit Note for mistakes before officially saving it.
Thank you!
