  1. Can you colour code each row in the "Sales Overview > Invoices" based on "status" so that paid invoice listings are "green", waiting payment are "orange" and overdue are perhaps "red"? At the moment the "Sent" column is the only colour coded column which shows "green" whether the invoice is just "sent" or "viewed" which doesn't make it easy to know which invoice to chase for payment.

  2. I'm invoicing through Xero and I want to allow customers to save their card on file in my stripe account when they pay an invoice.

    This way, we can bill them again in the next cycle. We deal with metered pricing, so the value of the invoice is different each month based on usage.

  4. Order book:

    Ability to confirm to a customer that their quote has been accepted & processed as an order. It is either in the process of being made, or waiting in a queue of work to be done.

    As the business manager I can look at my order book on a daily basis to see which orders are outstanding and in what priority they should be completed.

  5. When an invoice in emailed in Workflowmax it is marked with a tick as “Sent”, however this does not carry through to Xero. Is it possible to add this feature so that invoice payment reminders in Xero automatically work without the need to manually change the invoice status to “Sent”?

  6. I would like to be able to send statements using different email templates depending on how old the debts are. Smart lists seem to have the functionality to filter what I want but no option to send statements based on those lists.

    Hey community, thanks for sharing this idea.

    For those who aren't aware, within the Email Settings it is possible to create a number of different templates to reflect the wording you'd like to use, depending on the age of the debt. The Add email templates support article has detailed steps on how to do this 😊

    As mentioned, Smart Lists are a great way to filter your customers and can be used as a tool to identify the customers who should receive their statement with each template.

    However as you have found, it is currently not possible to send statements directly to the customers from the Smart List. We understand this is the main ask of this idea, so we'll continue to monitor the suggestion to get a clearer understanding of users that'd like to see this developed.

  7. When allocating a credit note, either an invoice or bill, be able to set a date for the application, rather than defaulting to the date the credit note was created as it will fail occasionally when using lock dates.

    Thank you for sharing your suggestion for setting a specific allocation date for credit notes against invoices or bills. This would provide a smooth solution for linking invoices and credit notes across different financial years after lock dates have been set.

    Now it's up to the community to get behind this idea support it. Make sure you share your idea with any colleagues that this could benefit so they can add their vote too!

  8. Please add option in Xero Payment Services to pass Zip transaction fees to customer on top of my invoice amount. At least most of the invoice amount will be paid to me.

    Like Stripe card payment service, pop-up could prompt payee to accept the fee on top of invoice amount. The 5-8% zip fee is too high to absorb for my sole trader businesses.

    In Xero > Settings > Payment Services - the Zip payment service could have some settings just like Stripe card payments has to choose that option of including fees in the amount or adding the zip…

    Hi everyone, though we appreciate you raising this idea with us, we don't have any intentions of supporting surcharging of Zip fees to customers from Xero invoices - There are some BNPL providers that have "no-surcharge" as part of their clauses, Zip being one of these. You can read more on their payment terms on Stripes website.

  9. I'd like to enable one-click payments from customers when I send them an invoice, but only ACH, not credit card. As it is, if I enable ACH payments via Stripe, the system displays credit card options to the customer. When I try a custom branding theme without the credit card display, Xero will not allow any Stripe payment mechanism.

  10. Re: New Invoicing - Reduce Number of steps and clicks (The original thread has had comments turned off, so I can't comment that it has made more steps, not less...)

    What has happened here...it is now taking eight tab clicks to get from Reference Number to the first box to input the item code...last week it was six...so the number of click has increased, not decreased.

    Also, when inputting an item code, I have multiple codes that have the same base code with different suffixes...is there are way to just get it to the shaded part that you select the…

    Thanks for taking your time to start a new idea with the specific flow you'd like to reduce steps in, Lynette. Just to check it sounds like you may be tabbing from the Reference field to the Item code field - Would this be correct?

    Being upfront this isn't something we have further changes planned for in the near term but it'll be good to gauge the interest from community around this, here.🙂

  11. BRING BACK CLASSIC INVOICING
    We are extremely frustrated with Xero's recent change to email branding, which now forces our invoices and communications to include the Xero logo. This change makes our company look unprofessional and cheap, as if we are using a third-party service rather than managing our own finances.

    Branding is crucial for maintaining trust and credibility with our clients, and this decision undermines that. As a result, we are now reverting to manually sending invoices outside of Xero to maintain our professional image—adding unnecessary time and effort to our workflows.

    Appreciate your feedback here and I see you have also found the idea around the Xero logo shown on invoices sent to customers.

    We want to be transparent that we will not be bringing back classic invoicing, however we are still committed to developing and bringing further improvements to new invoicing that we know matter to our customers. You'll find a few ideas that have been raised across the forums here that are in the progress of being worked on by our product teams.

  12. Currently one can only post 50 lines in an invoice. It should be unlimited as some clients have at least 200 lines or more depending on their line of business.

  14. Add numerical discount to invoicing in the mobile app. This is a feature on the browser, currently the mobile app only allows a % discount.

    When you go from browser to app having applied a £ discount on the invoice. The app converts it into a % and show different amounts.

    Hi team, appreciate your feedback and wanting consistency between the web and mobile functionality.

    While I can confirm our product team are aware and across the idea here we want to be honest that we don't have immediate plans for developing the ability to add amount discounts within the Xero Accounting app.

    We'll keep tracking the votes and interest through this idea and update you if there's any news to share.

  15. Sending a statement with additional notes in the email. Is there a way to keep record of the additional notes. At the moment you only see under the contact's history and notes that a statement has been sent, but there is no record of the notes that was sent with the statement

  16. The item code on the New invoicing shows much smaller that it was on the Classic Invoicing. Example attached shows how much harder it is to read. Can this be enlarged?

  17. It's good to see you have extended the period before removing classic invoicing because I still need to revert to classic for certain features that are missing from the new system, namely:

    1. The ability to copy invoices to Bills and PO's - this is an important feature that I use regularly
    2. Send invoices via Xero network - again this is a feature that has been useful especially for invoicing between subsidiaries.
    3. Save and continue feature, I don't like the auto save feature because it continues to update the history and notes while I am still adding details to the invoice…

  18. Is it possible to move the delete button away from approve button in Sales Overview.
    When approving invoices, have too be very careful with delete button right beside approve.

  19. There is a significant design flaw in the new Files UI:
    1. The delete button will remove an attachment on a single click, rather than prompting a confirmation.
    2. The 'View' file button is directly next to the delete button increasing the chance of accidentally clicking delete instead. Given the point above there's no way of recovering the attachment as clicking it will instantly remove that file.

    In the old invoicing you could simply click the file name to view rather than clicking a 'View' button. The delete button was under a cog and initiated a second click to confirm…

  20. IT would be really good to have the capability to add 'optional' items to a single quotation -

    • example #1: supplying in quantities of 10, 25 and 50,
    • example #2: there are five items in the 'basic quote' but the customer may choose to add items 6,7 and/or 8 but these aren't a fundamental requirement to include.

    If there is a quotation tool, then being able to offer customer flexibility is important as issuing multiple quotes can appear unprofessional
