Email Settings - Specify date/time to send transactions
Ability to specify date/time when users’ want to send emails from Xero.
Purpose: So clients/customers can receive the email during the working hours and not at random time.
Hi everyone, I'm pleased to share that we're moving forward with the ability to schedule the send of an invoice from Xero.
We're in the early phase of releasing our new invoicing scheduler to customers, and appreciating the direct interest you've all shown here we've included everyone that's voted on this idea in our initial rollout!
You'll see a tool tip on the invoice page for email scheduling, and be able to choose the right date/time when you go to email an invoice (from the send email dropdown). 😊
We're really keen to hear your feedback.
We appreciate there are asks within this idea for being able to schedule the send of other document type such as payslips and want to be upfront that this isn't in the roadmap at present. However, once our invoice scheduler is out to all, we'll be monitoring it's use closely and consider how this feature may be expanded to other features overtime.

Scheduling a time to send invoice and quotes would make a great feature. My husband and I do most of our bookwork at night and would love the function that you can schedule a time the invoice or quote is sent to the customer so we are not sending them at 10pm when people are in bed.

It would be a useful feature to be able to set the actual time of day that email invoice reminders are sent to clients. Many clients do not turn off their mobile phone devices and the reminder can arrive to their inbox as early as 4-5am AWST which can be annoying to some clients. Sleep is precious.

It would be really great to be able to set the time auto reminders of overdue invoices are sent. Customers do not appreciate receiving these emails at 4/5 am and it would be preferred if they could be sent during business hours.

I often write my invoices late at night but don't want them to send then as I don't want to disturb my clients at that time with an email coming in. But if I approve and then don't send, I have to remember to send later. I could download the invoice and then send it from my email (which has a schedule send option), but this is cumbersome. Please add this feature!!!

The ability to send a future dated invoice, in current time i.e. if an invoice is dated in the future, to have an option for it to automatically be emailed to the client on that date of the invoice, rather than the date you are raising the invoice.
An additional button should be created, saying 'send in future' and selecting the date you want it to be sent out on.
This would help save time, as you can pre-record invoices, which you want to be sent out on a particular date.
This is different from using the template, as this would be useful, for invoices that are constantly changing, but need to be sent on a particular date. -

Currently, invoice reminders are sent out at around 4am in the morning.
Separate to this, bank feed data is imported in the middle of the night too. This means that if a customer's payment appeared in the bank yesterday, it won't appear in Xero until today, but the invoice reminder was automatically sent early in the morning before we could reconcile the payment.
e.g. Invoice due 20th of the month.
First invoice reminder set for 4 days late (24th).If the customer pays on 23rd and it arrives in our bank account that same day, this will only appear in Xero on the 24th because the bank feed refreshed overnight. We will reconcile it on the morning of the 24th, however, the invoice reminder will have already been sent at 4am that morning.
The issue is caused by the invoice reminders going out early in the morning, before we have had a chance to reconcile the payments.
Suggested fix: Change the invoice reminder time to 1pm or later in the day. This will mean that we have an opportunity to reconcile yesterday's payments before the invoice reminders go out.
Note: Moving the invoice reminders back a day does not fix this issue. If we moved the invoice reminders to 5 days instead of 4, the exact same issue happens if the customer pays 4 days late. They will have already paid the day before but will receive an invoice reminder.

It would be good to be able to 'schedule send' invoices from Xero.
I invoice at night, and yet it's more professional to send invoices during business hours, ideally at start of day. Often I do this via email, but it would be good to have this functionality within Xero, from the "Approve & email" button on the invoice screen.

So far I have never seen Xero action anyone's request for an enhancement. I suspect the are still busy working on the first version of Single Touch Payroll as that was their excuse for many years. Or maybe it is this really recent new thing called Covid. They will have some excuse for not listening to their customers.

It would be great if we could schedule the time that the reminders are sent to client's. For example if we could select the timeframe say 9am to 5pm on a week day. Currently they are sent out between 4am and 8am based on the businesses time zone. Client's are not enjoying getting reminders at those times especially on a Sunday Morning. thank you
