Invoice Branding - More Customisation and font options
I think the invoice customisation in Xero needs a major overhaul. Many of my clients have spent considerable amounts on graphic design, but the customisation process (downloading a Word doc, editing, and uploading) is a nightmare. The standard Xero invoices are really dated (such as the Mastercard or Visa logos, the payment slip footer, font choices etc), which means the better option is to upload a customised invoice. The problem I have is that most of the fonts I've tried seem to be unavailable once uploaded to Xero, with most reverting to Times New Roman, and that's an issue that dates back at least to 2020 and has been noted in posts by other users (see: https://central.xero.com/s/question/0D53m00005qPq3kCAC/how-to-make-custom-fonts-work-in-xero-invoices-custom-branding). Invoicing and client communication have a big impact on the way customers and clients perceive a brand, and it surprises me that it's so hard to try and customise invoices from Xero like this. I've looked at alternatives (Stripe, Invoice2Go, etc.) and while not perfect, they offer a much more professional look than the invoices produced from within Xero. For my own practice I choose not to use Xero's invoicing, but if Xero were to offer a better solution in this area I'd change in a heartbeat.

I simply need to move the customer name and address over to align with the margin but I can't do this unless I create a custom template which I don't want to do. At the moment, the address sits indented and not aligned properly with the rest of the invoice.

In the original invoicing templates you are able to add logos at the foot of the invoice by exporting to MS word and updating, this would be critical for me as there are industry logos I need to add on prior to sending to our clients.
I have worked on the new invoice template but can not use yet as unable to add logos as noted above.
I would like to use as soon as practical as I like the way it sets out CIS deductions suffered which seems alot clearer than the one I currently use.
This has been described as not easy or clear by some of my clients, who consistently pay the net value and not the gross, causing a shortfall.
I have attached an invoice I currently use from xero so you can see, and how the new template looks from a CIS deduction point of view and the missing logos at the bottom.

It looks as though this option is currently only available to customers in the USA. Is there an equivalent option for UK customers, or can this be enabled for UK accounts as well?

Xero does not provide a dedicated field on customer invoices for a client’s Purchase Order (PO) number. This is a significant limitation for B2B users.
Many organisations, particularly medium and large companies, require invoices to reference an approved PO number for their accounts payable processes. In some cases, invoices are not processed or paid at all unless the PO number is clearly and separately identified.
Currently, users are forced to include PO numbers in the invoice description or reference field. This is a workaround, not a solution. It makes automated PO-to-invoice matching on the customer’s side more difficult, increases manual handling, and directly contributes to delayed payments and unnecessary administrative overhead — for both the supplier and the customer.
A clearly labelled, dedicated PO Number field on invoices (visible on the invoice PDF and available via API and exports) should be standard functionality. Its absence creates friction in otherwise automated workflows and does not align with common, real-world accounting and procurement practices.

I would love to see more options to customise and add colour. Even if it was in simple ways like the fill background of column headers. Or the colour of fonts.

the invoice templates and customisations are horrible. as soon as you add in their codes they break the design. xero keep charging more and dont give us anything decent. yet here is this beta jax ai thing that nobody wants.

Please allow a wider address box field for the Standard Invoice template!
One line of our address is:

(with Park dropping to a second line)That is crazy and looks awful. There is literally acres of space in the page width, please make the Address box wider by Default on the Standard Invoice template.

I agree adding watermark more flexibility to move or change the format and how it looks would be great.
Can you also ensure that certain information is automatically included on sales invoices. A lot of businesses dont include email or phone number. These are critical for accounts staff when they want to contact the business and check details like bank accounts. It is an ATO requirement that certain information must be shown on invoices yet we are still receiving without some of this critical info.

Another approach might be allowing formatting options within the invoice similar to what was changed in SyncroMSP ticket formatting. Screenshot attached. I do realize this is a huge ask but could be put in line for a future release.

Please is there a way of changing the font size of the total amount due for our clients. I often see them strain to see the total amount due when we print out the invoice for them. It really only needs the total amount to be larger. Please can you help. Thanks

All the financial documents are Word templates that you can modify. There are paid services available that will make your invoices look how you want them to look but you can also do it yourself.
Although I agree that the standard is not great, but it makes it easy to tell which of your suppliers use Xero - all the invoice layouts are the same! :) -

Just started with xero and can't believe how poor quality and unprofessional looking the PDF/print version of the invoices are. I had beautiful standard invoices in freshbooks and would love to be able to replicate that in xero. I feel very unprofessional sending the pdf invoices from xero.
- Needs more basic branding options, simply being able to add your brand colour that is applied to bold text headings and top table border lines would be better.
- More up to date layout of the logo, business address, and invoice details. Amount due should be at the top, due date should be at the top.
- Remove the HORRID giant INVOICE / STATEMENT word from the top that is a waste of space. Should at least be smaller and sit nicely in line with the rest of the invoice details.
- Easier option for editing and making custom templates that does not involve word docx. I do not have a copy of word, nor do I wish to purchase it in order to make simple changes to make an invoice look more professional and on-brand. I also do not wish to hire someone to make these changes on my behalf. -

After looking around at other invoicing programs, I noticed that the Xero invoice is pretty dull in comparison to others out there. Please look at the comparison of Xero & another. The addition of color within the invoice makes it quite a bit more when seen with color. (see attached)
Is this a possibility within the next update?

I have an idea for sprucing up the look of Xero invoices.
While I was off of Xero for a few months, I came across this look in another competitor's layout.
Look at attached screenshot. See how more attractive the invoice looks compared to Xero layout that has no color? Is this something you could offer in the future for of different templates?Look forward to your response or update. Thank you.

docx is kind of a possible work around. at least xero should accept Google Fonts, which is not the case at the moment. should be more actual? :-)
