AU Payroll - Set up second auto super authoriser
Having a 2nd person as a Super Authoriser would be helpful when the 1st person goes on leave.
Hey everyone, we appreciate a lot of recent activity and trend in this idea especially with Pay Day Super coming.
As mentioned in my last updated this is an idea our product teams are keeping a close pulse on and we want you to know this is high on our agenda, likely to be picked up later this year.
While we can't provide any commitments as yet, we'll share another update here as soon as there's progress.

Currently, if the designated authoriser is unavailable, super payments can be delayed, which creates a real compliance risk—especially with upcoming Payday Super requirements where timing is crucial.
Allowing a second authorised user would ensure payments can still be processed on time and would also enable advisors/bookkeepers to step in and process payments on behalf of clients when needed.

This is critical. Without it the ONE person who can authorize Super is expected to be on hand ALL the time to keep everyone else happy. Not fair on the ONE!!! Also doesn't allow for something happening (such as the ONE being hit bus - if something critical happens to them (which it can) - then there is absolutely no backup.
This is not just CRITICAL it is ESSENTIAL with the changing requirements in the Australian Employment requirements. Pre July 2026.

This is critical; without the ability to set up a seconf user this will create nightmare with payday super. There are a million reasons why a single user may not be able to approve via their phone within the required timeframe, for example, travel, illnes,, IT issues and so on. This is NOT just a nice to have in Xero, it is an essential feature required by users from 01 July 2026!

"On 2 May 2023 the Australian Government announced that from 1 July 2026, employers will be required to pay their employees’ superannuation guarantee (SG) at the same time as their salary and wages."
This idea was originally posted before that date.
As a competent, proactive accounting software supplier, Xero has had 3 years to implement this.
The fact that it won't be implemented as part of the 'payday super package' or until after 1 July 2026 reflects Xero's priorities and customer care factor.Please make sure you vote and nominate 'how important this is'

I agree this must be in place in time for pay day super. I'm not sure how Xero can claim to offer a pay day super compliant product due to the high risk involved having only one authoriser. On our other payroll system, it's no issue at all to have multiple authorisers.
I did note some people suggest setting up a fake group account with a group mobile phone number attached. With WFH and multi-state teams, we'd have to look at online SMS solutions. Seems a lot of fuss for something like this?

Essential to have more than one authoriser in cases of annual or sick leave and a second person has to do the payroll. Urgent action would be appreciated.

Thanks for your handy email from noreply@send.xero.com subject line "Plan ahead for Payday Super with Xero".
I reckon you should add this handy tip from participants of this discussion, which is missing from your checklist: "get a burner phone and register it as the sole registered super payment authoriser"

Like many on this forum, our firm prepares the wages and superannuation for some of our clients. It is essential that there is a segregation of duties between the preparer and the authoriser of these payments.
The SMS needs to go to the Director for authorisation, and automatic processing.

Extremely urgent. Needs to be in place for the start of PayDay Super.
"Any user with full administrative access to the QBO payroll system can generate and submit super batches".

Our company has been processing super for clients, but it isn’t appropriate.
Accountants can’t/ shouldn’t be authorising payments that move bank accounts. Directors must have the final say about the money leaving the account.
Xero need to change the authorisation process. Let anyone run & approve the payment. Or it could auto approve when the payroll is run.
The payment should always be authorised by the director – perhaps via an sms showing amount & date due &, if possible, amount in the related bank account. A button in the sms should process the authorisation. This will happen weekly so even the most tech illiterate directors will get used to it.
Reminder sms should go out until the super has been processed.
If the director still misses it, the ATO will fine the director.
This places all the stress & responsibility back where it belongs: with the company director.

We have also moved to weekly super payments and having multiple authorisers is critical as staff payments is a shared position.

Having more than one person able to create and approve automatic super is now going to be critical. In some cases our clients are moving from 4 payments per year, to 52 payments per year. The chances of the authorised person being away unexpectedly for one of those payments is much higher (dare I say likely) and therefore contingency plans, ie a backup preparer and authoriser needs to be in place to ensure the employer can meet their legal obligations and not face penalties due to limitations of their payroll/super software provider.

As I work in a small company and am responsible for payroll, I see having a second person to authorise as critical. As an employee, not the business owner, I do not want, nor should I need to log in and work when I am overseas. I currently forward date wage runs for when I'm on leave and need the same for Super.

It’s important to add a second authoriser for superannuation approvals in Xero to avoid any delays in meeting payday super deadlines, especially if the primary authoriser is unavailable.

With the introduction of PayDay Super in Australia, could we have the ability to have more that one approver of Superannuation payments. Obviously, it will be critical that superannuation payments are made on a timely basis, and having more than one approver would allow for illness and holidays.

As an accountant who helps a number of clients and not-for-profit organizations, if the subscriber is sick or unexpectantly unavailable on payday, it's crucial to have a second authoriser so that they don't break these new laws coming in.

This is critical. Please add a second person incase the first authoriser is on holidays or is unwell.
