  1. We are encountering a limitation within the current user roles that is hindering our Sales team’s efficiency in managing customer accounts.

    The Issue:

    The existing 'Sales (Invoice Only)' role does not provide the necessary permission for sales staff to amend, edit, or delete payments applied to invoices. This is critical for adjusting client balances quickly during the sales and collection cycle.

    The only alternative role grants full access, including Purchases/Accounts Payable, which we cannot provide to the Sales team due to internal control policies.

    Thanks for raising this idea about user role permissions for payment management. It’s a great starting point, and we can see how more granular sales role controls could help with managing access and maintaining internal checks.

  2. I’d like to propose a “view-only” feature that would be fully GDPR-compliant and suitable for organisations that manage sensitive financial information—such as block management companies handling residents’ funds.

    The idea is to allow every shareholder or resident to view the accounts and understand where money is being spent, while ensuring that all personal data is hidden. For example, where an individual apartment appears in the ledger, identifying information would be removed. To avoid jigsaw identification, each apartment could be linked to a classification matrix—for instance, showing it as a two-bedroom unit paying $2,000 per year—without revealing the resident’s identity.   3. "Business and accounting" role needs ability to more narrowly define. I want an employee to access invoices (receivables) but that then gives them access to ALL financial reporting, e.g. P&L, which I don't want them to see.

    Hey everyone, thank you for all your feedback. We’re on a long journey to provide more granular access and controls within Xero features that our customers need.

    As you may have seen in some of our recent updates across other user roles ideas we’re currently in the process of adding more permissions within Reporting and Inventory. Further to this our research has highlighted Payroll and Banking as areas that more controls are most needed, and are on our agenda as we continue to develop permissions and access to features.

    Your feedback here and through direct engagements with our teams have been extremely insightful, and we appreciate all your inputs.

    I'll continue to provide updates on the development of roles for features as we progress.

  4. Dashboard- It would be great if Xero gave us more options to edit out Dashboards. Two colums are not enough, at the most I get to see four accounts before I have to scroll, they needn't be so large either. If they had three colums, and we could shrink the size of the 'boxes' then we could easily see a better snapshot of work to do and where the business is at.

    Hi team, we appreciate all the feedback we've received from our customers about the Dashboard and how we could improve this for you.

    As you may have seen or perhaps even have access to already - over the coming months we are releasing a new Xero Homepage that'll replace the existing Dashboard.

    We've done lots of research and testing with our customers for the new homepage. You'll be able to customise to show which widgets you want, and it's built with updated technology so is much more responsive - adapting based on your device, screen size and zoom functions to show a maximum of 4 widgets side-by-side!

Amazed to discover that a 'login' from the app on a mobile phone using biometrics for example, does not count as a 'login' at all and is classified by Xero as an 'unlocking' event, but this is not logged or tracked at all (that we users can see). So in effect the 'Login History' in 'Settings' is completely flawed. This is also not recognised in 'History & Notes' unless the user actually makes changes. So if they are just in there viewing stats etc. they are invisible. This is really not ideal.
    I would like to see app logins included…

  6. Please reinstate items to be reconciled in My Xero for users with multiple accounts (companies).

    The old format alerted users to new bank transactions and allowed users to see at a glance in My Xero which companies have items to be reconciled.

    The new format doesn't which means users have to open every company to see if there has been activity. This is very inefficient and takes far too much time.

  7. Xero Annual Subscription - 1 yearly bill. Why isn't their an option for annual billing? This would reduce monthly invoice reconciliations for the Xero supplier account to just just one instance. Every bit helps to reduce the paperwork processing... Thanks John

  8. As a client who uses XPM every weekday, I wanted to provide some considered feedback on the most recent update.
    I intentionally used the updated software for several weeks before writing this, to ensure my feedback was fair and based on real, day to day use. Unfortunately, despite giving it a genuine chance, the update has not met my expectations. In my experience, the software has become less efficient and more inconvenient to use compared to the previous version, which I found to be extremely well designed.

The current signup process, while being advertised for bookkeepers actually requires a registration with the TPB as a tax or BAS agent, however pure bookkeepers categorising transactions and doing account reconciliations have no need to lodge BAS' and hence no reason to obtain a BAS agent number.

    This oversight prohibits bookkeepers from signing up to the partner program and growing the platform.

    A simple "do you intend to make lodgements for your clients - yes/no" button before the "BAS agent number" input field would suffice.

When will the ability to add a shortcut to the settings like "tracking category" and "Fixed Assets" to the "accounting" dropdown menu be re-activated like you could do with the old task bar, or is this another case of "we don't care about our customers bookkeeper's productivity being lost" as all the other dropdown menus appear to have all the shortcuts?

    Thanks for your feedback on navigation shortcuts. We appreciate you explaining how important quick access to Tracking Categories and Fixed Assets is for your workflow. You should see Fixed Assets within the Accounting menu already. However, you are correct that accessing Tracking Categories requires an additional click and are shown under the Accounting Settings option.

    Hi Rosemarie, appreciate the ask to minimise clicks when accessing the Files library—those small efficiencies can make a big difference in day-to-day work.

    To be upfront, our Product team doesn’t currently have plans to add Files to the menu bar. That said, we’ve moved this idea into Gaining support so the community can add votes and comments, which helps us better gauge overall interest and impact.

    In the meantime, a quick tip you might find helpful: pressing the slash key (/ or /?) and then F will show a link to the Files Library that you can click straight away.

  14. When creating a new organisation, there isn't an option to choose Xero from the dropdown list of "What tool are you currently using to run your business". I'm migrating from one org to another because of limitations in your PAYE scheme functionality. Right now, a user can't select Xero from the list, which may help you shed light on users who are either running into org challenges or who are power users of your tools.

  16. I love the way the various areas have been split now (Home Sales Purchases Payroll etc)

    I would prefer that reports relating to each of those sections, be stored in their menus. IN the Reporting menu, I have 10 varying reports which make it a long menu path. If they were in their individual menus (e.g. Aged Receivables Summary in Sales menu; Aged Payables Summary in Purchase, all Payroll related reports in Payroll) it would be easier to find and more logical. You could have more reports visible as well in each Menu.

    Great to hear you like the new layout of the navigation, Jason.

    Appreciate how further customisation of reports and possible nesting under the relevant menu drop downs could be useful. We'll get a gauge of the interest in this from others in the community here.

    This isn't something we have plans for atm, but will share if this gets picked up at all.

  17. We're auditors and some of our clients are having issues around providing consistent access to everything as they don't want us to have read-write access, and we don't want that either. What we'd like is a user class for auditors/regulators which is read only and allows access to everything.

  18. Navigation - Main Menu
    Personally, I access practice tools and hubdoc / syft several times daily, I'd prefer not thave to scroll down to get to these. Settings and Subscription / Billing are access much less frequently and coud me lower in the menu.
    Also the Xero Menu and Home Menu seem to do exactly the same thing? Could the main drop down menu therefore be moved over to the LHS where it was previously.

  19. Could the Accounts Watchlist feature have an option to have user specific watchlists? The accounts I want to pay close attention to as Head of Finance is different to what the Finance Assistant wants to see. Not all accounts are organisation wide specific.

    Hi team, we've just launched passkeys to our first group of users. From this week, Xero Me app users who haven't set up MFA yet will be able to use passkeys to log into Xero. Next, we'll be progressively rolling this out to more users over the coming months. We look forward to and welcome your feedback here. As we have more news on the rollout I'll share with you on this idea.
