Totally agree with all the comments below and the lack of proper functionality of Expense Claims and their Approvals.
Why cant a "User" be allocated a permission of "Employee Manager"
Why can't you allocate a manager to an employee in Payroll? (Basic HR functionality)
Why can't an employee allocate an "Expense Approver" when submitting an Expense claim?
Why cant there be functionality (if needed) for all expense claims to be sent to the "Central Expense Approver".
etc etc
I know that recent improvements have been made to the Expense area, however it still falls well short of being a time saving process.

This is a basic function of any Payroll/Expenses Process. There are cost centres that each have their own staff to manage regarding approving expenses and leave. Currently everyone who is an approver gets an email notifying them that there are expenses and they all have to go in and wade through all of them to find out if it their staff member. Basic Organisation mapping, been around for years and is taught in all business/accounting courses that I have attended. This also is on a very thin line of crossing the line of authority as two managers can see each others information and salary etc

is there any update in regards this functionality? We have several departments within our organisation and it would be great to be able to set up for the head of department to be able to approve expenses for only the people within the department and not receive notification for all expenses submitted by the rest of the company.

We would like to see the functionality for approvers to be able to approve the expenses of specific individuals too. The current functionality is only fit for purpose for owner managed businesses with a small team and does not support businesses that are scaling. We are a firm of accountants and not having this basic financial control in place is very painful for us, as we are not able to 'walk the talk'.

Has there been any progress on this idea within Xero?

Ability to specify which submitter's expenses need to be approved by which approvers & also being able to set up for expenses over a certain amount to require further approval.

It's not good internal control practise when an individual can approve their own expense claim. Please Xero, get this actioned.

They're not going to do it, if you look at the history people have been asking for this for years and the response back in March was basically 'its not planned, its not going to be put in the plan, but we might change our minds at some point in the future, and if that happens, we'll let you know'. So meanwhile they're bending GDPR because we can all see postcodes/maps of where people live for inputting travel expenses for remote workers, can see what CPD people are spending, can see any wellbeing related invoices etc.. from people in completely different departments, let alone teams!

To the person considering changing to an alternative platform, I'd say just do it, unfortunately I'm not in a role where that decision can be made across the whole organisation, otherwise I would have when we got that response back in March!

Is there any time frame on this as our company is now looking for alternatives to link into Xero based on it not having this feature? Thank you

We have a big team and 5 managers to approve expense claims. It will be good for the managers to see only their team members to approve expenses.

We have issues with folk accidentally approving their own expense. If they realise they have to delete and start again, but often they are unaware that they pressed approve rather than submit. Undermines financial controls altogether - but I'd rather not return to paper forms signed off by line managers.

Can't use Xero expenses without this feature

I'd like to add my voice to those asking for the option to limit expense approval rights to named expense submitters (with notifications to match).
Really important for control in any organisation with more than about 10 people.

We agree with the idea shared by Perry Cox and others. We're in the same boat with our finance team approving ALL employee expenses. While we can check for accuracy and ensure proper backup attached etc. we can't approve whether or not the expense was ok to incur in the first place - ie was it within budget or approved by supervisor etc. Having the ability to have supervisors have an approval role for their team members' expense claims ONLY would be really helpful. It would be great if employees could be assigned to their supervisor within Xero - and then the supervisor given the ability to approve the expense. There could be a separate tab that says - Approved by Supervisor. This is a standard internal control that auditors look for and it would be so helpful if we could have it within Xero. Gone are the days of signing paper expense claims! This is a critical feature that we hope to see soon!

Too little too late. We have had Xero for years now. We had to go out year one and add approval software to link with Xero and for Expenses we had to go with an entirely different system that came with its own payments and approvals.

Business critical as at the moment one can approve own expenses. Our company really enjoys Xero and Xero me but we will need to look for an alternative expense system in the near future if specifying approver is not added.

Our Organisation is also in the situation where we require approvers to only be approving those expenses within their team. It is not good that every approver can see everyone's claims. This is critical.

I agree with all the previous comments - this is very important! As we increase the number of employees who submit expenses via Xero, we need to be able for managers to approve their own reports only, not have to wade through a load of expenses looking for their staff!
