User Role - Access to specific feature only
"Business and accounting" role needs ability to more narrowly define. I want an employee to access invoices (receivables) but that then gives them access to ALL financial reporting, e.g. P&L, which I don't want them to see.
Hey everyone, thank you for all your feedback. We’re on a long journey to provide more granular access and controls within Xero features that our customers need.
As you may have seen in some of our recent updates across other user roles ideas we’re currently in the process of adding more permissions within Reporting and Inventory. Further to this our research has highlighted Payroll and Banking as areas that more controls are most needed, and are on our agenda as we continue to develop permissions and access to features.
Your feedback here and through direct engagements with our teams have been extremely insightful, and we appreciate all your inputs.
I'll continue to provide updates on the development of roles for features as we progress.

The lack of a response from Xero is deafening in its contempt for its customers. Xero - please respond with some meaningful timescales!

Xero as you can see this is a really important feature that is require now, for us moving from Sage to Xero was suppose to make processing easier, instead its created a lot more work for me as a business owner in filtering reports etc before passing to staff so they can do their job, this really needs attention ASAP

We've been asking for this for over 6 years, and to get a "response" from the "Community Manager" just 10 months ago to say they are researching but still nothing has changed (except things that don't matter) shows contempt for businesses that use Xero. Research isn't needed - action to provide granular user access is critical - basic stuff overlooked and ignored for far too long. What is the date for this to happen???

So when is it going to happen? This has been an issue from day 1 of Xero!! Too much time being spent on things that don't enhance the experience and actually make it worse. Please come and sit in our shoes for a few days and don't just play in the sandbox environment.

More customisable access for employee/Users please. In order for a Standard User to see 'Spend' transactions, they have to have full access to bank account balances. I want a junior admin user to be able to see Bills and not duplicate it because the 'Spend' is invisible to them. It makes no sense that a Spend is attached to a bank account. As per other comments here, Bank Balances, P&L etc is generally for management or finance staff so should be able to choose. This limitation is restricting our business flows, Xero is no longer a platform for sole traders or Mum/Dad operations. We don't want to have to look to other platforms but this is making our processes difficult.

We need the ability to give users access to specific reports only—for example, Debtors/Aged Receivables and customer invoice reports—while preventing access to sensitive management reports such as Profit and Loss, Balance Sheet, and bank-related reports.
At present, the “View and run reports” permission is all-or-nothing, which means staff either see every report or cannot access the debtor reports they need. Granular, report-level permissions would allow businesses to delegate day-to-day finance tasks safely while protecting confidential financial information.

The lack of ability to add users at different levels is really stunting our ability to take on trainees/more junior staff. So, bad for productivity and bad for the economy. Well done Xero!

Can you make this urgent this is a breach of privacy to have users be able to see what is in the bank account. You should have each report separate so we can select which report we want someone to see and what they are able to see on their home page.

Segregation of duties is critical! Seeing invoices or bills only, but not seeing debtors or bank .......

Agree with the comments here, we need to have the ability to toggle on and off access to various areas and the ability to limit access to items or provide access to items.

Agree with all the comments below, this needs to be an urgent pipeline improvement.
A simple toggle switch for each area (sales, purchases, accounting, reports, bank accounts etc) and associated permissions (read/view, create, approve, admin) would be a great improvement. Coming from a Sage200 background, the flexibility on user permissions in Xero is abysmal, too basic and presents control risks.
I need to give staff access to company debit card accounts to alleviate workload, but can't as they will see the main account which is not required.
Equally, I need to have flexibility as to what nominal accounts staff can see so that workload can be managed more efficiently and not reliant on me sharing reports and information they could have view access to via a user dashboard.
Please sort this ASAP.

Hi Xero, totally agree with all the comments below, this is causing issues with auditing and confidential information, I'm have to do more to provide staff with reports etc & access to certain items, moving from sage to xero has caused more issues when it was suppose to make life easier for us !!
The options to provide certain staff with the access they need to do their role without being able to see full business is an important one please get this sorted ASAP
thanks

Hi Team Xero, this has been in development for sometime, can you update everyone and how close you are to releasing this very critical release?

Completely agree with a lot of the people here. There should be levels of access. For example our junior members should be able to draft invoices and not approve them, our managers and partners should be able to approve and send for example.

Hi Xero Support / Development team,
More time and focus needs to be spent on the very important area of Access and Rights.
Currently we have a very serious control risk where the person who raises Purchase orders can also access and create Bills and pay those invoices. From an audit perspective this is fraught with lots of risks for which we have to develop offline manual controls. These controls should be embedded within Xero's base level offering to ALL customers.
For a Xero user we should be able to define for a particular Xero function(s) what access if any a user has and what level of access - create / Edit vs Read only vs No access at all. Additionally for each access right linked to Xero function there should be access to the relevant Xero reports . e.g. I want our PO clerk to have full read write access to Xero Purchase Order but only read write access to Billings and the Aged Payables Summary report - a simple grid system for users access across all Xero functions will do the trick. This should not take any time to develop and ALL organisations that use Xero would benefit.
When can we expect a solution (please do not keep us waiting)? -

Our staff used to be able to log in and only have access to quoting then you changed something, we knew nothing about this until one of our staff members came to me and said I can see everything! That was not a good day.
Please get a work around this for us ASAP, as to be able to quote out of Xero is absolutely a fundamental part of our small business. Thank you in advance.
We certainly do not want our design employees seeing all of our business data. Or have access to anything but the ability to quote. -

I agree with Anne,
We need to be able to have way more control over who has access to what. One of the features we were told is coming was being able to give users access to one of the bank accounts for instance and not all of them. We have clients with bank accounts specifically for day to day supplier and customer transactions and separate accounts for savings/investments accounts and for payroll. Some of the users need access to the day to day supplier and customer account, but not the rest.
The other big issue we have is the creditors clerks not being able to view the payables age analysis themselves and the same for the debtors clerks or debtors/creditors managers. We need to be able to give them access to these reports according to their functions, because constantly asking for reports from someone who has access influences the flow and speed of them fulfilling their roles and adds a task that they used to have to someone else's to do list that has other things to focus on.
One more thing that our clients all mentioned would be great is to (for instance) be able to give someone access to COD customer invoicing without giving them access to the rest of the customer information. That way they can start prepping people to take over should they get promoted instead of throwing someone in the deep end without any experience.
Do we have any ideas of when this will be implemented?

We need to assign a user access to contact details only for updating contacts and adding new contacts without the user having, by default access to financial and banking information which comes up on the Home page when they login.
Management of user access needs more flexible and have the option to customise to suit specific users. -

This critical.
It has to be sorted out now. I dont understand the delay anymore and it is causing big problems daily.
I hate comparing accounting software programs, but Pastel allows for this and it works great. Each user's access was done individually.
As a FM I need to have a right to assign roles/functions to users and restrict visibility and/or editing rights for certain accounts.
