Purchase Orders - Show partial amounts billed
Ability to show partial amounts within purchase orders.
Purpose: Because in some industries, showing partial bills to their clients can improve the workflow when doing ongoing projects.

Work for partial billing of a purchase orders is taking shape. ✨
To give a taster of what this'll look like - when you create a bill from a purchase order you'll be able to enter the amounts of each item you'd like to bill, and your Approved purchase order will show the amount of each item Billed.
I'll come back to share as soon as the feature begins roll out!

Launched but poorly executed.
1) In a pop up window as executed, it's impossible to go through a 60+ line bill to match a PO, suppliers often bill out of order from the PO and I often order duplicate lines on the same PO. Needs to be full screen as per other software platforms.
2) Original PO is overstated after receiving good. The total seen on the Po screen is the original PO value (say $20,000). Receiving almost all of it moves that value form a PO liability to a payable liability. BUT, your execution leaves the PO at 20,000 when most of it has been received. It overstates the order.
3) I am yet toi be advised of a way to interrogate the inventory received/yet to be received data. I run back order reports for my suppliers to keep track of outstanding inventory. Currently my report shows everything as ordered on the original PO, even if 50% has been received. IN the data options of reporting I am unable to find, and you are unable to tell me, where the data of the received/yet to be received items can be found.
4) You have removed the option of 'copy to bill' from the PO screen. If the user does copy to bill form the PO overview Xero is unable to save multipole draft bills from the same PO. It overwrites any that are created by the last one. Deliberate. You prevent users from using the process they had developed over years, to using your a new process, on a Sunday without warning or the option to maintain business as usual.
5) Xero support tell you this is excellent feedback that the development team need (I suggested the team needed it prior to launch). You then get told to 'suck eggs, this is the way it is'. After requesting to be reverted to prior PO/billing I have got donuts from you. Xero has shown once again you don't care about us, you care about you and doing things your way.
Very frustrated as I am yet to find a solution to processing large multi line PO's to bills and maintain (my) business data integrity.

Our organisation needs to copy to bill repeatedly from a single PO leaving it marked as unbilled - we would like this functionality to remain (it seems to have been removed).

Apparently they are rolling the process out to everyone and everyone who had the new function is losing it again until they roll it out, which I'm told could take weeks... I'm wondering if any of our comments were taken into account all they are just rolling it out as is.. In the mean time I've now lost the function and go back to unticking fully billed but now I have an invoice with 20 lines on it from using the new function, which I now have to spend even more time processing...

I've come in this morning and Xero in their wisdom have shifted things around again. We have just sorted out the process - working with what we have and then no warning you have changed it around again.. So all my billable lines that i did after the last purchase order change are notwappearing on the invoice in spite of being billed previously and I have to go through and delete them all... What is going on?

Will this work with multiple purchase orders being invoiced on one invoice.
i.e. You have a contractor for multiple projects that span quarters / years and the contractor invoices monthly, for all projects.The purchase orders are per project.
So the invoice will be partial amounts of a PO, and for more than one PO.Being able to track what has been spent of which PO (and the remaining balance) and which invoices make up that spend, in one place like the PO screen as a column for example, would be incredibly useful.

Another issue; if you make a mistake and pick up the wrong lines if you cancel the bill request, it doesn't cancel it out of the purchase order.. so then you have to bill it again and it looks like you have overbilled it. It also doubles up in the history and notes... Previously if you cancelled it, it was if it never happened..

The other thing I notice is that is doesn't reduce the PO balance even when you use the billing line - there almost need to be a billed and unbilled balance..

HI,
I have seen you have done an update for this and that's great but it doesn't allow for partially billed $$ amount.. It only allows you to bill partial units...
So if you buy 10 items and 5 are delivered it allows you bill 5 and leave 5..
However we have an amount on a PO for $10,000 and we get an invoice for $5000 it does not allow me to bill 0.5..... Whole units only..
Also I now cannot "untick" the purchase order so it's not fully billed so I have to either strip out the invoices costs and modify the PO before I can bill it or set up the purchase order so the quantity is the total of the PO with the price being $1.. I'd then have to change it on the invoice.. So the work arounds have not lessened - just changed..

Could you let us know when this is going to become available as the manual process of editing the draft PO is very time consuming and prone to error. We also run a construction company with large PO's and progress billing throughout, and the process to keep track of it and what is remaining is getting ridiculous.

With the recent update, users can now mark a Purchase Order (PO) as billed by quantity. However, this does not reduce the total dollar value of the PO or show the remaining balance in monetary terms.
In our workflow, Project Managers create large POs that cover the full duration of a project for required materials. As invoices are received progressively, our admin team must manually enter negative line items for each invoice to reduce the PO value and reflect the remaining budget. This process is time-consuming, increases administrative workload, and introduces risk of errors. It also creates additional effort for our Finance Manager to accurately track project budgets and remaining commitments.
We would like to request the following improvements:
-Ability to mark POs as partially billed by value ($) as well as quantity
-Automatic reduction of the remaining PO balance when invoices are applied
-Clear visibility of the remaining dollar value on the PO
-Ability to link multiple invoices to a single PO with a running total of billed amountsThese enhancements would significantly improve efficiency, reduce manual work, and provide more accurate financial tracking for project-based purchasing.

Hi, just checking whether this feature is available yet.
We have an open Purchase Order that suppliers invoice against in stages, and we need to keep using the same PO number across multiple bills. At the moment, we can create multiple bills from the PO if we leave “Mark as fully billed” unticked, but the PO still appears at the original full value and doesn’t automatically show the remaining balance. Xero’s own support content still says you can create multiple bills from one PO, but it does not appear to automatically draw down the value or track the remaining amount for you.
Can anyone confirm whether partial billing with remaining balance tracking is now live, or this still has to be managed manually by editing the existing PO/workaround process?

We have quite a few suppliers who will invoice on partial claims which all are related to the same Purchase Order number. It would be really good if a partial claim invoice is allocated to a purchase order, only the remaining balance is showing on the open purchase order.
IE: I provide a supplier a PO for $1000, they bill us $500 against that PO as a deposit. Once that bill is entered, the open PO shows a balance of $500.

Hi all,
98% of our business is one Customer Invoice for every one Supplier Purchase Order.
As in we make sure to only invoice the customer what we can order and supply at the time.
We dropship or supply via email (no warehouse or stock on hand).
We link each Customer Invoice with the corresponding Supplier Purchase Order by adding the Invoice Number (and other details) to the Reference field, on both the Customer Invoice and the Supplier Purchase Order.
We then export Customer Invoice and Supplier Purchase Order data into Excel and run a custom report based on the Reference field (somewhat difficult and not ideal…) to close the loop, as in to make sure that every Customer Invoice has a corresponding Supplier Purchase Order.
Perhaps adding such a report to Xero would partly address this idea and/or assist some users.

I am using Xero as a trial at present and I agree the purchase orders function needs attention. When you get a bill for a part delivery and copy to draft keeping the original purchase order intact, you are left with the full purchase order amount and goods, which is does not reflect the true future cost and goods awaiting. I hope Xero looks into this as soon as possible, I think Sage has this feature which works well. . . . .

Hi all 👋,
This seems to be an issue that may be solvable, I think. If we can ensure the user uses the same reference between the purchase order number and the bill reference then it should easily be calculated on a new UI.
I'm currently making an app that tackles a bunch of these Xero issues in one place so you don't have to go many places.

I also require this feature urgently, as we have a lot of projects on the go and we need to off-set partial payments from the Purchase order and be able to track what still need to be paid. When will this come into affect?
