Hi team, thanks for staying engaged with us here. From your feedback our product teams clearly understand there are legitimate use cases and scenarios in which you’d like to be able to simply unapprove a bill.
While seemingly simple there is a bit of underlying work that needs to be done within Bills to enable us to build this functionality - As you’ll have experienced within the Bills list view - we’re in the process of uplifting the pages in Bills with updated technology that’ll unlock our ability to develop features like unapprove.
So, while it’s not in our roadmap atm, we’re tuned in here and will continue to assess how we may solve this as we plan our future roadmap. I’ll make sure to share any progress with everyone here.

Thanks for sharing your thoughts on bulk allocation of credit notes, everyone. We understand that manually applying credit notes one by one can be time-consuming, and we appreciate wanting a a faster, more streamlined solution.
Currently, while we know it won't be the flow that suits all, it's possible to apply credit notes to multiple invoices for a single contact by opening the credit note and selecting the invoices to apply it to.
Atm, we're in the process of releasing a new experience for Sales Credit Notes. This work will enable us to develop changes like you're asking here longer term. However, the initial release is focused on developing existing features into the new Credit Notes experience. Once this is fully rolled out the team will have more capacity to consider enhancements like bulk allocations, however we want to be upfront that this isn't planned for the short term.

Thanks for your feedback and letting us know how we could improve the way duplicates alerts work for you here.
While we don't have any immediate changes planned for this, our team will consider improvements to this model overtime.
For the time being we'll continue to keep our eyes on the support for this in community, here. I'll share if there is any news.

Yes this bug still is an issue June 2026 unfortunately and I can't find a way to turn it off.
If you upload an updated/ amended version of a voided bill, Xero will incorrectly flag as duplicated.
All my current 'duplicated bills' Xero is asking me to review are voided and/or recurring bills. If a bill is deleted it shouldn't be treated as active by Xero at all - why even have a void option if it remains as a duplicate?
Please fix this bug, as it is not effective and distracting from any genuine duplicates that may occur. Or at least an option to turn it off if no fix possible.
Thank you,

I would agree with this, the flagged list includes deleted bills in the flagged list
I.e. Bill A is uploaded twice, it is flagged and I void then delete one. The same bill is flagged continually as a duplicate, yet when you select Review upon prompting, each of the bills is one awaiting payment/reconciled/etc, one is deleted. This should not flag a duplicate.
I have attached my current list that Xero flags every time I enter Purchases. Every duplicate flagged is not correct and was deleted some time ago.

Hi everyone, thanks for sharing your feedback on a direct bank feed for Square. We understand that using a third-party integration isn't always seamless and that a direct feed, like the one for Stripe, would make life easier when reconciling your payments.
As noted by others here, the current solution is to connect an app from the Xero App Store to bring your Square transactions into Xero, or you can continue to manually import these.
Right now, building a direct bank feed for Square isn’t in our plans. We're continuing to monitor the interest in this idea, so please keep adding your votes and comments as it helps us see the demand.

Hi team, we appreciate the conversation however we want to be open that we don't have any short term plans for changing the export of Manual Journals in the near term.
Not getting a lot of community support over time, this idea will soon be removed. If it something you feel very passionate about you are welcome to restart and see if there is renewed interest from the community.

Payable Invoice Details report, grouped or filtered by your Contact should be of use to you here, Michael.
There is an option to include 'Description' as a column. Let us know if this helps provide the view you're after.

Having the same issue.
A regularly annoying example that perfectly describes the issue is:
CLIENT MAKES MULTIPLE AMAZON PURCHASES PER WEEK
In Account Transaction report, the description shows the contact not the actual description (the 'why' of the purchase e.g. stationery, cleaning products, printer ink, food).
So when skimming 100s of transactions to check they have been posted to the correct account, all the descriptions will say:
AMAZON on 300 rows
instead of the actual description entered:
office equipment, ingredients, uniforms, computer parts, etc.
which is the ONLY helpful part in allocating transactions.
I used Amazon as an easily understood example, but it is a pain for most accounts where there could be several types of purchase and the report shows a description option but it is actually not functional.
It's really unhelpful to have to drill down into every. individual. transaction when there are months of transactions not showing the correct data in the report.
Please fix this, it is such a time waster!
Thank you
Edited to add - in response to the 'fix' suggested. Selecting Description as a column just contains the contact name as above, so two columns with contact data and none with transaction description. It does not address the issue unfortunately.

Hi team, we want to acknowledge your feedback and the needs you’ve expressed for being able to view the transaction line description in the account transactions report.
While we appreciate not the news you’re hoping for here - we want to be honest with you all that there are no plans at this stage to change the behaviour of this report.
We appreciate there can be some confusion of what is shown as it does differ based on the account and the line’s origin. We have added detail within our Xero Central article, but I’ve also noted below for ease of reference.
- For accounts receivable, accounts payable, bank accounts, and tax account, it shows the contact’s name.
- For all other accounts, it shows the contact’s name and the item line description.
- As manual journals don’t have contacts, it shows narration and description.
- For wage payments, Payroll Employee displays in…

Hi everyone, we're grateful for your feedback on improving Find and Recode, and recognise how sorting by description could enhance your ability to review and recode transactions.
While not a direct solution, you could filter by Contact and then in the browser Ctrl + F to search highlight keywords in descriptions and find the right transactions. We know it's not perfect, but might help narrow things down.
To be transparent and provide some clarity here, there are no planned changes to change the functionality within Find & recode right now. We will share if our position around this changes and there are any updates for you all here.

Thanks for the detail in your idea here, Paul. I had a bit of a test of this myself and have checked in with our reporting team.
It doesn't quite appear in the modal once the report's run - this is something that we'll look to improve.
However, it's possible to enter multiple terms which will each be searched and return results for (like OR as an operator) - All you need to do is enter a comma(,) and space between each condition.
For example A0, L0 or A0, A1, A2, 🙂

Hi team, wanting to provide an update to you here, we want you to know we understand the efficiency more users would like to have in being able to automate the creation of the Xero subscription invoice inside their Xero org.
To highlight from my last update for UK users this is possible with eInvoicing through the online invoice (My Bills page).
This is still something we're interested in developing in more regions however isn't planned in our roadmap just yet.
When resource opens up for us to be able to pick this work up we will share an update with you all on this here. Thanks for staying engaged and supporting in this idea.

This would be a huge timesaver, please implement this! By date and alphabetical is not reliable.
Example: multiple transactions from Pretend Company Ltd may show on bank statement as:
868PretendCompany
353PretendCompany
535PretendCompany
www.PretendCompany
*cardnumber*PretendCompanyso they are not searchable by sorting using any current filters (amount, date, alphabetical).
A search and filter would be so helpful!

Hi everyone, thanks for the engagement here so far. We understand you’re looking for more advanced search options, such as using AND, OR, and NOT operators, to help narrow down results when searching across your data.
Having more flexible search tools could make it easier to find specific transactions, contacts, or records without needing to manually filter through multiple results.
We'll continue to gather feedback and examples from the community.

Hi Abrar, thanks for the thoughtful suggestion and the screenshots showing the account code used when reconciling the bank statement lines. We’ve shared your feedback with the team so they can consider this in future improvements. In the meantime, it’d be great to hear from others who’d benefit—please add your vote and any specific scenarios where this would save time in your workflow. In the meantime as a short-term workaround, run the Account Transactions report for the Bank account and add the Related account column to see where each transaction was coded ✨

Is there a specific element / field of the transactions that you're trying to search by?
Currently there are a range of details that you can search by and Xero will return results for transactions that have been entered in your org (reconciled or unreconciled)

Any updates on this?
If somebody approves a bill that should not have been approved/ wasn't ready, it must be re-uploaded as a fresh one.
Yes it's annoying that it takes time and should be a basic functionality, but mostly:
It loses the audit history! Any changes made to the bill are attached to the one you're forced to delete. It is really unhelpful and makes defeats the point of storing edit history.
This post is 4 years old but the idea was suggested a lot earlier than this, and acknowledged by Xero, as I understand. Please focus less on adding AI into everything and updating aesthetics and listen to bookkeepers actually using the software!
