  1. As we have to load bills into Xero to reconcile, (and I use hubDoc to do this now) it would be great if we had the option to send certain bills to Workflow Max to assign them to a job and include them on a client invoice. This would top off this suite of programs for me!

    Xero is retiring its WorkflowMax product on 26 June 2024 and has entered into an agreement with tech-led business advisory firm, BlueRock, who are acquiring the brand. As part of this, they have commenced plans to offer a new product. BlueRock’s intent is that their new WorkflowMax product, WorkflowMax by BlueRock will be available to customers in early 2024.   3. Add a free text column for comments to the 'Invoices' and 'Bills' dashboards

    Purpose: To track reasons for delay, communications with contacts etc. and have them be clearly visible all in one place.

  4. Occasionally when doing data entry in Fixed Assets we have typed a depreciation rate of more than 100%. It would be good if there was an error message preventing this.

  5. When a business has multiple branches or divisions, it would be great for the system to recognise who (from which division or branch) is entering the Bill or Invoice or Journal, and would automatically assign the correct cost centre to the transaction based on that (with the ability to override allowed or not in the user setup). It would also be good to be able to only allow reconciliation/viewing of that branch or division bank account instead of all bank accounts.

  7. Almost all the payment providers are now settling the amounts with the fees deducted from the captured/sale amount. This needs to be reconciled as two lines 1) Transfer to cash control account and 2) Bank fees.
    Currently there is no way to create a rule for this, hence it is a big overhead for the reconciliation, with almost a large chunk of card sale having to go through this process.

    Can the product team please take care of this on priority? thanks

  8. Accounting > Advanced > Export Accounting Data > Xero General Ledger (.txt), to add the Contact name (customer/vendor/employee name) as a field. Currently, such information is not exported.

  9. Ability to turn off email notifications for submitted expenses to Xero admins. Only started receiving email relating to submitted expenses as of 10th July 2025 but have been told by Xero support that it is an integral part of expense management and can’t be switched off. Have used Xero and expenses since 2019 and have never received an email relating to an expense submission. Am more than happy to continue receiving notifications of submissions via Xero Me mobile app but do not want or require email notifications.

  11. Sales tab - Love the "Billable Expenses", Needs to be above Quotes.
    Need to be able to not bill them where I have a project invoice. Just assign the customer.

  12. Auto accrual of Alternative Leave - It would be great if there was a permanent payment item setup in Xero for public holidays worked, and when it is used Xero automatically accrued the alternative leave earned. Or at least make it more obvious that you have to manually adjust the alternative leave accrual in each pay.

  13. Please increase the character limit for line descriptions when generating invoices from Projects.

    Right now, if a bill line has a description that exceeds the small character limit, it gets cut off on the invoice. I have to then manually open each bill, copy the full description, and paste it into the corresponding invoice line. Obviously this is extremely time-consuming and inefficient for something that seems like a relatively small backend fix that would make a big difference to everyday usability.

    While increasing the character limit of a bills description when invoicing from a project isn't something we have plans for atm, we can gauge the interest from community in this and will update you if there's any progression.

  14. Save international payee details on the Xero contact page

    At the moment, we can only add international payee details when making a payment. It would be really helpful if we could store these details (like SWIFT code, routing number, IBAN, or account number) directly on the contact when setting them up.

    For example, if I’m regularly paying a supplier in the US or Europe, I’d like to save their international banking info the same way I can with a UK sort code and account number. This would save time and fit into my workflow when creating bills.

    Hi Craig, thanks for your engagement and for this very clear suggestion for improving how international supplier payments are managed.

    We've reviewed your idea to add fields for international payee details (like SWIFT codes and IBANs) directly to a contact's record, and it's now open to gain support from the community. We can definitely see how storing this information upfront would save time and streamline the workflow when creating and paying bills for overseas suppliers.

  15. Currently, this process is separate so you have to recreate the sales order as a purchase order to send to a vendor to fulfill. Instead, next to each item on the Sales Order, or at the top to create a single PO for all items, you could create a Purchase Order. This would put the Sales Order in process and save a step.

  17. In an ideal world when a client pays us via Stripe 100% of the fee would be reconciled and XERO/Stripe would invoice us separately on a regular basis for the applicable Stripe fees.

    Hi Jo, thanks for sharing your idea on how Stripe fees could be handled.

    We understand your 'ideal world' scenario where the full invoice payment is deposited, and Stripe invoices you for the fees separately. We can definitely see how this approach would lead to a much cleaner and more direct bank reconciliation for every single payment.

  18. Please add a VAT Reconciliation Report for South African Xero Orgs.
    There is currently no report that allows users to determine which transactions in the VAT Control Account have been posted to which VAT periods and which returns they fall under. Late claims are not indicated anywhere except in the transaction detail within each VAT201, so the Control Account needs to be reconciled externally in excel.
    This is particularly an issue when a conversion from another accounting software has taken place and there are opening balances to reconcile. Or if conversion took place mid VAT period.

  20. Would it please be possible to increase the amount of attachments that can be saved against a bill. At the moment it will allow us to attach more that 50 items but when it saves it only saves the first 50 and removes the rest.
    I realise there are ways round this eg by attaching an e-mail with multiple items attached within it, but it's then more time consuming when trying to find specific attachments

    Interesting to know you're attaching so many files to bills, Jenni. Out of curiosity can you share why you need to attach so many files to each bill? And, is there a # that would suit how many you'd often attach?
