  1. When calculating annual leave the ordinary hours changes to include allowances. The loading is then based on this figure. However the allowances are still included as separate lines on the pay template and need to be removed manually. Can this be automated as it needs to be done manually for all employees for every annual leave period?
    I can opt not to include allowances in the calculation, but it makes sense to gross up allowances in the ordinary rate for this purpose.

  2. Can we have an audit trail on Timesheets, please? If there is a dispute around timesheet entries, changes, submissions, retractions, re-submissions, approvals etc. it would be invaluable to have an audit trail for the employee. the approver and business owner to refer to. I was surprised this didn't exist as both Xero AI and ChatGPT explained how to find it! Sadly Xero Support confirmed this audit trail does not exist.

  3. Has support considered the option to filter the leave balance report by employment status? When generating this report all employees are listed or only an individual employee. Why would we need the current balance of leave for terminated employees? I have some employees who have returned, so both are listed but I don't know which is active until I run the report on each.

  4. My small business client came up the idea that when we download the aba file for our payroll, it would be great to have the option to pay total PAYGW & super liabilities into a nominated bank account.
    This sets aside the money ready for the BAS'es, IAS'es and super.

  5. UK HMRC often carry out routine checks on compliance with PAYE and National Minimum Wage. In one NMW check we have been asked to provide them with a list of the names and NINOs of all staff employed by us between two specified dates. To make it easy they dont use tax years but calendar dates

    We need a standard payroll report that allows us to export a list with the employees name and NINO. The only way to create this at the moment is by a manual trawl

    Currently you can generate a Pension Contribution Report which includes the employees name and NINO 🙂 When creating the report - under Columns select the fields you'd like to include in the report as well as the date range. Once created, you can export it in PDF, Excel or Google Sheets. 

  6. It would be great to be able to edit text on a payslip. For example, one of my clients would like to hide the percentage of leave loading on their employees' payslip. Currently the payslip would read "Annual Leave - Leave Loading (17.5%, exempt from SGC)" for each time leave is taken, and they would like to hide the "(17.5%, exempt from SGC)" part.

  8. Ability to show or report the variances/differences between the draft payrun and the prior period payrun.
    This would save a huge amount of time going through each payslip to ensure the usual pay is being processed and nothing has been accidentally added or missed.
    Especially when you have a large number of employees.

    Hi team, while it's not possible to view the previous pay periods figures for comparison in the current pay period, you could open the previous pay period overview in a separate browser window. Meaning you can compare the two pay runs without having to go back and forth between them.

  9. Currently we have employees and contractors paid fortnightly through payroll. When printing annual earnings certificates the cert list contractors as employees rather than contractors and scores xero's for kiwisaver deductions and other taxes etc.

    We need to be able to print different annual earnings certs that reflect info for employees, and reflect info for contractors with different titles on cert as contractor, not employee.

  10. Ability to enter a date range on employee pay template for deductions/reimbursements.

    Helpful for entry of a one off or multiple weeks for reimbursement or deductions - if you forget to either remove from the template it continues, and if you don't have it on the template you can forget to manually add on pay day.

    Just makes life easier if there was a date range that the deduction or reimbursement will be included if the pay falls within the date range on the template.

    As example - Child Support can change by the pay so especially good for managing…

For clients we have with director only payroll, if we could schedule all the filings and pay runs to be done automatically and we just get a pop up box just before they go to confirm nothing has changed for a number of different clients rather than one at a time? I believe Sage Payroll are working on this and Keypay payroll system can already do this too. Just wondering if there's anything on the radar for Xero to to the same?

  12. AU Payroll - Specify leave approver
    Ability to specify a set approver for a specific employee for when they submit leave requests.

    Employees who are nominated as a leave approver should only be able to approve leave for the specific employees who have them nominated as their approver.

    Alternatively, employees who have the "Authorised to Approve Leave" checkbox ticked should only be able to approve leave by employees in the same Employee Group.

  13. There is no functionality to retroactively add or edit break times into an employees submitted timesheet. It would be good to be able to edit or add a break time on the timesheet if they forget before approving it.

  14. It would be great if we could copy timesheet tracking each week. We have a client that has extensive tracking for timesheets - with some employees having time tracked to a number of different tracking codes. It would be a huge timesaver to be able to save the tracking for each employee so we do not need to enter it each payrun.

  15. It would be great if there was an option (tick the box) to copy last week's wages for the current week for payroll. I have casual staff who sometimes have the same hours as the previous week's so not having to replicate this would be great and the quickest way would be to have a tick the box which can copy it across to the current payroll

  16. Have tax rates added to Pay Items and or a way to add employee tax rate to unscheduled pay runs so you don't have to edit tax rate when processing.

    This will ensure correct tax rate is applied to all employees every time a pay is processed, whether is a normal pay run and or unscheduled pay (bonus etc)

  17. Unpaid Intern. I have an Uni student doing an internship. We offered to pay $500 per month as a transport allowance. The unpaid intern is not an employee. When I wanted to set this person up in Payroll, I found limitations: the only available contracts are full time, part time and casual. I tried to set her up as casual, which is wrong, and link the transport allowance. An error pop up asking to calculate Superannuation. I give up.
    In this case, MYOB is better, as we have an option to "not report" and we don't pay superannuation for…

  18. Employer pension contributions for employees on SMP should be calculated on the employee's earnings before they went on leave, not on the reduced rate of 90%. Xero's calculation is currently on the latter with no option to overwrite. The correct calculation would be first choice, but the option to change figures would be helpful also

    Hi everyone👋, thanks for the idea and support here. To be open and upfront we don’t have any plans in the near term to expand this functionality.

    Right now, you can create an additional Employer Pensions pay item and add it to the employee's Pay Template. When the pay run is processed you'll be able to enter in the difference due, to ensure the total contributions equals the required value. If anything changes in this space, we’ll update you on this idea. 

  19. Separating out pre & posttax deductions on PDF payslip. At the minute these are all displayed together.
    Would be better if Pre tax deductions where displayed under gross salary and then taxable pay calculated, before displaying post tax deductions.
    Would be easier for employees to follow.

  20. Now that you have a function to create a Non-employee SubContrator who is paid Superannuation only here are some suggestions as currently it is a very labout intensive and manual process especally since STP2

    • ability to populate the contractors details eg address, email, phone number from their Contact as they have been paid for an invoice via Bills
    • pay items that alows you to enter the invoice value so the super is calculated - at present, new STP does not allow you to trick the system anymore so 10.5% SG has to be manually calculated
    • ALLOW SPACES IN ABN…

    Thanks for sharing with us in product ideas, Alison. It really helps for each idea to be separate so we can gauge interest in the specific feature community would like to see, and users know exactly what they're voting for.

    Reading through your feedback, you should find you can now copy and paste an ABN that contains spaces. It also appears there is an existing idea for tracking contractors Super contributions that I added your vote for and you'll be kept updated if there's any progress for.

    I've slightly adjusted the title of your idea here to reflect your first point, however you're welcome to start others for the remaining ideas that you'd like to see us develop.
