  1. A report that provides details of employees leave to be able to see the leave accruals and leave taken for the pay period.
    This would help as an audit trail and when preparing a salary budget or during a salary review.

  2. Please automatically revert to the "Pay Employees" page after a payrun has been filed. At the moment after a payrun is filed with the ATO we are taken back to the "Post Payrun" / "File" page. You then have to click on "Close" to be taken to the "Pay Employees" page. Why the extra step?

  3. There is currently only one default setting for NI contributions to be made to. It is though necessary to separate out employee and director costs. Even direct employees and overhead categorised employees. Other pay items allow postings to different ledger accounts but not NI deductions. Would just save a lot of manual journal posting to correct payroll run postings.

  4. It would be really helpful if there was a report that showed the actual amount of hours worked per month per individual and as a total. Our company has busy seasons, as well as quiet seasons and having a report like this would help us in planning our staffing situation.

  5. Add Public Holidays (and all other forms of leave) to the Leave Transactions report not just Annual Leave and Personal Leave.

  6. NZ Payroll - update minimum wage increases automatically

    There are other payroll system they do this, and with the minimum wage requirements changing every year, there should be an automatic update or prompt to change anyone who is affected by this, to avoid the error in not paying out correctly as per the legislation,

  7. We recently had an employee which had a leave type reinstated after a period of over 12 months of it not being used. There was a balance sitting in there for the duration of time that it wasn’t active, and therefore not showing on any payslips that were provided to the employee or filed. We are now in a position that we had to reactive this leave type to be in line with STP requirements and showing leave loading on a separate line. When we reactivated this leave type, ALL payslips for the period of over 12 months were updated…

    Hey Amy, I know it's been a little while since you started your idea here. Taking another read through the situation you described, there are a couple of options which depend on whether you need a record of the adjustment.

    • If you do need a record of the adjustment you'd want to post an unscheduled pay run to reverse out the leave balance for the pay period in which it should have been paid out.
    • In the case you don't need a record, you could simply adjust the opening balance for the leave type within the employee's record.

  9. CANADA : Payroll Tracking Categories. I would like to be able to assign a category to individual employees or their hours worked. We have different projects and it is important to be able to see how the salaries are divided amongst the projects.

    Hi Victoria, we don't currently have a specific version of Payroll for Canada. 

    It’s not possible to use tracking in Xero Pay Run. Pay Run in Xero is very simple and is designed for organisations that have a very small number of employees and uncomplicated recurring pay runs. 

    An option could be to apply tracking to their payroll expenses by entering manual journals 🙂

  10. I have a number of clients that have employees that are paid a daily rate rather than an hourly rate. We currently can't use Xero payroll for them as the payroll needs to use hours rather than days to pay. It would be great to use Xero if there was an option to pay a daily rate rather than an hourly rate.

    From your idea it sounds as if you'd like employees to be able to submit timesheets with start & end times and different earnings rates, Nathan? This isn't possible atm.

    However, an option here where you're dealing with multiple earnings rates for an employee is to get them to submit timesheets using the 'Total hours worked'. This'll let them;

    • record the number of hours worked per day, including partial hours
    • record time spent at different earnings rates and tracking categories if used.

    Your employees may need to edit the timesheet setting, by opening Xero Me, going to Timesheets > Settings and selecting 'Total hours worked'.

  12. The Australian version of Xero offers a timesheet summary report. Can we have this in the UK? I need to send a manager details of his employees uploaded timesheet data and there is no report.

    Hi community we appreciate your interest and sharing how we could improve payroll for your business. Each regions payroll has been designed and built separately to meet regional requirements, and taking this into consideration development for being able to view future leave balances would also be worked on separately.

    We have an separate ideas that have been started for this in the AU version, another for NZ payroll, and I'll adjust the title of this idea for UK specifically. We will keep you updated on any progress of this on these ideas.

Notifications on xero to alert you that an employees age has increased due to a birthday, as they may have hit a new age bracket in the wage rates and they could be getting underpaid if not noticed. Example - employee goes from age 20 to 21 this would mean that if they are on the 18-20 year old wage rate and they are on the £7.49 once they turned 21 they should then be on £10.18. so notification of birthdays would help keep you aware of age changes.

    We've recently updated Xero Payroll(UK) and now a new NI category will automatically be applied to a pay run based on an employees birthdate, and if they are entering into a new NI category. Helping to save you time from manually tracking and updating yourself. 😊

  15. Payroll>Employees>Leave currently has leave balances in days and dollar values, this makes it difficult to determine what the amount should be either way.
    As the dollar amount may change due to pay rises or an average applied as per statutory legislation, it would be better if all fields were hours based values. This would make it consistent and easier as a consumer to use.
    As a user, I should not have to be trying to calculate what the values should be and if something doesn't appear to be right, I should not need to contact Xero to find out…

    Hi team, we've recently released changes in Xero Payroll. As you may have seen you can now set up working patterns for employees to more accurately calculate employees wages and leave. While Holiday pay remains in dollars, Annual Leave will show in weeks and FBAPS Leave will now be shown in days.

    Just to note, Holiday Pay is not a one to one correlation to Annual Leave, however if you prefer to have leave in hours you could consider enabling leave in advance. You can see our article here for more information on managing employees leave.

  16. As we don't have the ability to turn off automatic posting of payroll, can you add nominal codes for ER NI & ER Pension, other analysis fields to employees records rather than at Company level to allow easier analysis and posting of payroll journal.
    There is a field on the employee record to enter the nominal code for their wages cost so why can't there be more fields for different codes?

  17. Typically Xero calculates all PAYG tax to be withdrawn from employees to the nearest dollar. Correct. However, the same check isn't in place if you manually add extra tax. In the past, I included extra tax to be withdrawn from an employee and included cents in the amount. At tax prep time, this caused a headache for my accountant. Xero could easily prevent this each time or warn you closer to the end of financial year to get back on track with zero cents.

  19. Create the option to use Days or hours for time off (holidays).
    Holidays are often calculated in days or 1/2 days not hours.
    Having this option for pay & pay rates would also be helpful and also on payslips

    Thanks for your idea here, Rolf. Can't quite confirm the exact date this changed but you should now find the abbreviation for September in Xero Payroll has been changed to the 3 character long version 'Sep'.
