UK Payroll - Hide deep archived employees from Auto Enrolment Summary Report
The ability to export the auto enrolment pension report and also to "hide" deep archived employees. I check this report mid month and send a list to HR as a sanity check for those employees not yet enrolled/non eligible but now have to scroll through "all" employees past and present to get the current information. Not very user friendly. Even an export option with some way of then filtering whether the employee is current would be useful.

Expenses: Option to change default from company to personal
We have a lot of personal expenses (reimburseable) and no company expenses within our business - when employees input their expenses it defaults to company money.
Occasionally these slip through the net and aren't changed prior to approval.
Can we switch off 'company money' in expenses - or can we set 'personal spend' to be the default option?

Organisation Settings - Setting up a UK company with a non-GBP base currency
We have a UK based client who have a presentational and functional currency in USD. There is no possibility of setting up this company correctly on Xero, as Xero only lets UK organisations use the base currency on GBP to link easily to taxonomy.
It would be very helpful if this could be set up.
15 votesHi Jonathan, when you say presentational and functional currency is USD - does the organisation pay taxes in the US? If so it would be recommended that you pick US when setting up the org.
Alternatively, if US is one of the currencies that the org regularly deals and transacts in but pays taxes in the UK it would be recommended that you select UK and the client is on an org that includes multi-currency in it's plan.
We appreciate customers would like to see more capability with currency in Xero - most recently we have added the ability to run the newer Profit & Loss, Balance Sheet and Budget Variance reports in other currencies an org uses.

Sales Invoices - Ability to specify a % of invoice held on retention
We would like to indicate a specific percentage of retention money held by our client on our sales invoices to them. This retention is then payable to us after a specific amount of months.
We also need a way to keep track of the total amount of retention held by a client
35 votesHi community, in lieu of having a direct feature for this I wanted to highlight the option shared earlier on in this thread (Thanks Peter!) for those it may help.
As mentioned, currently you could enter a separate line on the invoice, with a negative amount for the retention value, and code this to a 'customer retentions' account in the Balance Sheet. You could also add a comment in the Description field, indicating the cumulative retention value.
The Account Transactions Report can then be used to manage the values being carried forward.
Being open, this isn't something we have planned for development at this time, however we'll continue to gather the interest here, and if there's any changes we'll let you know.

AU Payroll - Show 'actual' leave balance in employee record
Make it so that an employees actual current leave balance is shown on an employee's record under the leave tab. Not just the balance with future leave applied. It's frustrating to have to download an employees pay slip to view these balances.

Products and services - Update existing bills when cost of an item is updated
REMEMBER PRODUCT PRICE CHANGES
Let's say you have a product you sell, and when last purchased, its cost was $5.00. Now you have purchased it 2 months later and it's cost is now $10.00, when you enter that bill, Xero should recognise that product is now costing $10.00 and change it in your inventory so it remembers it next time you enter that same part number... Instead of having to edit the price every time you enter an invoice with that same product - even just a pop up box when you close the invoice that says something along the lines of "the price for (part # & description) has changed, would you like to update this" and the user can select yes if it's a price increase from supplier or no if it's a once-off price difference.
It's such a simple thing that could be changed. It adds so much time to invoicing, especially when entering parts that aren't whole numbers (e.g. 1.7, 2.5, 3.9, etc. as you have to calculate the cost per whole unit, divide it by the quantity and then adjust the price... every time)
Also, another suggestion in-line with this one. Can you make it when entering a bill, that you can edit the "Amount" column on the far right (so just enter the total value). That way, you can have your quantity set and then enter the total value amount, and Xero can calculate the cost per unit (and once again, prompt you if this price has changed from previous entries.
Thanks,

Xero Accounting app | Bank feed - Ability to refresh
Given that your bank feeds constantly don’t work, it would be great if they could be refreshed via the app, rather than having to login to a computer.
5 votesHi Tahnee, the process can slightly differ from bank to bank. Is there a specific bank connection you'd find this most useful for?

Proforma Invoice - Ability to apply part payments before converting to invoices
Ability to create a separate proforma invoice function which allows you to make part payments against the proforma invoice, before being able to convert it to a sales invoice.
Purpose: Users can easily manage part payments before sending their sales invoices to their contacts.

Bills - Set up repeating payments
If I'm paying a bill by monthly direct debit (say Business rate), it would be useful to have the ability to set up multiple payments instead of having to set up 12 separate identical monthly payments.

Contacts - Reinstate the 'Payments in past 12 months' feature
The recent changes to the contacts screen have done nothing but hinder our business. You have removed the "Payments in past 12 months" which is something we rely on heavily when managing our clients. There is now no way to see all payments by a particular client where there are credit notes applied or they have paid by different means (sometimes by card, sometimes DD and sometimes bank transfer) as we would have to search each account separately and manually pull out the credit note balances. Very laborious and this is information we use daily in our credit control procedures.

Profit & Loss | Tracking - Ability to drill down
The previous Profit & Loss report allowed you to filter by multiple categories. There was an add t report function which allowed users to drill down into secondary categories and export ALL of the data into one report which showed 1. A P&L Summary, 2. Detailed expenditure for the chosen secondary category. The "Add to report" function allowed the user to export the entire category details as a whole.
For our business this is critical. We are a bespoke project based company and use this filter constantly & No the project feature does not work for our business....I have tried!
Without this feature the user will need manually export everything individually to be able to build a detailed report for the chosen category...the timing of this would be insane. Please Xero bring back this functionality.
I have added an example with screenshots here for your perusal. NB: Sensitive information has been redacted.

Contacts Ledgers - Ability to pull more than one Contact's ledger at a time
Currently, you are able to pull the Contact Transactions Summary and ledger for only one contact at a time.
If you can add the ability to pull more than one contact's transactions at a time, it would be great. It should work the same as "Account Transactions" where you choose the accounts you want to pull, just for Contacts.
5 votesHi Elizna, you can run the Receivable or Payable invoice detail reports for multiple contacts at a time. Is there something specific about the Contact Transactions Summary that's missing from these reports that you'd want included ?

Contacts - Preview contact files
After reporting a bug (can no longer preview contact files) I was given the following response :
"As you’ve found, right now it’s not possible to preview contact files anymore. You can however, download it and view it instead.
I’ve included a link to Xero Product Ideas where you can view and support current ideas or create a new one to share your thoughts."When something breaks you fix it. You DO NOT pretend that fixing it is a "New Feature" - that then needs requested and voted on.

AU Payroll - Add the name of the leave approver to connected app notification
Please can you send the name of the 'leave approver' to Finlerts LeaveCal integrated app. We get leave approval email notifications via their Xero add on and it would be really helpful to know the name of the person that approved a staff members leave application.
There has been cases of team leaders with leave approval permissions authorising their own leave so this would help us monitor these situations.3 votes -
Trial balance | Cash basis - Show depreciation
Change to New Trial Balance
If the trial balance is set to cash rather than accruals I can no longer see the depreciation and accumulated depreciation accounts. This is a pain for clients who report on a cash basis but still have depreciation. These accounts should appear on cash or accruals as this does not effect whether it is claimed in the tax return.

Contact overview - Show all persons on a contact record
Could the 'overview' page of the contact show all the contacts/persons associated with a Contact Account, not just the 'first' one?
We have 2 or 3 contacts/persons on most of our accounts, it would be nice to be able to see their names/emails on the company overview page, rather than having to click into 'Edit' to find these details.20 votes -
eInvoicing - Set a default seller email address
Currently eInvoicing attaches the user's email address to an eInvoice. So that we can centralise how we track our invoicing, we would like to change this to our generic email address xyz@entity rather than name@entity. It would be great if there was a drop down button added to eInvoicing to make this change.
