  1. In order to monitor expenses by venue, tracking categories in Payroll - giving staff the ability to log their time worked by venue - makes total sense. However, when staff take A/L or S/L, there is no ability to use a tracking category, so all these transactions go to the default 'unassigned'. The time involved in searching what makes up this 'unassigned' amount in a payroll of 35+ employees across 9 venues is astonishingly time-consuming, yet vital to the overall expense reports. Would love to have some time and effort put into this issue please Xero.

  2. It would be beneficial for an employee to record all hours worked in the timesheet including hours to be allocated as TOIL Accrual
    i.e. employee works 35 hours, 30 hours ordinary and 5 hours to TOIL accrual?
    Then when the employees wishes to take the TOIL, they submit a Leave Request as per existing functionality.

    Currently the employee needs to separately notify payroll regarding hours worked to be allocated to TOIL Accrual. And this doesn't go through the Supervisor Timesheet Approval process.

  3. It would be useful to be able to deselect employees form completing time sheets and therefore not appear on the time sheet screen. We have admin staff that don't complete time sheets but I still have to submit nil time sheets to ensure all are up-to-date

  4. When operating tracking income and expenses in two areas, payroll allows for the primary tracking category when setting up the employee and the time sheet allows the secondary tracking option to be selected.

    Currently the timesheet option only allows for the 'hours worked' to be allocated to the secondary tracking option. Any allowance can only be added at the pay run which means it cannot be added to the secondary tracking category.

    Can we have the ability to add allowances as an option in the timesheet?

  5. Set the default time method for timesheets.

    Allow the payroll admin to set the default method for all employees to capture the timesheet details. EG set all employees to use only the time in and time out method not the hours method.

  6. Are you likely to increase the number of employees you can have in Xero to more than 200? We don't want to move from Xero but may have to if the numbers can't be increased.

    Hi team, while we appreciate you raising the idea here, the cap of processing payroll for 200 employees is to prevent any issues with your user experience - Going over this could slow down the payroll function, and create difficulties when you run payroll reports.

    If you do need to process larger payrolls, we suggest taking a look at our third-party providers in the Xero app store that can serve your needs and handle larger payroll data.

  7. I would like the option of creating separate pay runs and allowing certain individuals access to each. This would help when doing management and senior staff payroll so payroll admin can't access the information of the senior management team. I think the access rights in Xero need to be a bit more flexible as it seems an all or nothing system at the moment. Other accounting packages do have more flexibility with access rights and I think this lets Xero down.

  8. It would be great to have read-only access to payroll - all of it - for auditors.
    They need access to the staff files, the individual transactions and the reports - as they have with the rest of the business.

  9. When using the show earnings rate in the employee template have the amount show that you can verify that it is correct - rather than waiting for it to appear on the payslip.

    I wanted to take a moment to share a suggestion that I believe could significantly simplify our payroll process. It involves the implementation of a bulk upload feature, which would allow us to handle payroll data in a more efficient manner. We will need a template that contains essential details for each employee. These details may include the employee's name, rate of salary, and various pay items relevant to their compensation. This would reduce the time and effort invested in processing payroll.

While we understand wanting to see developments, as you may have recently read - We’ve been offering Pay Run to our Global Edition customers since 2011 to provide basic payroll functionality. However, over the years, we’ve focused our efforts on making solutions available which offer enhanced features and a deeper integration with the Xero platform, such as Xero payroll in AU, NZ and UK, we've also seen newer payroll solutions in regions available through the Xero App Store (such as Gusto in US). 

    With this focus, we’re making some changes to Global Pay Run to help you manage your payroll more effectively;

    - From 23 July 2025 Global Pay Run will become read-only. You'll still be able to see all your past payroll information, however you will not be able to process any new pay runs…

  11. I look after a business that has been advised by the ATO that their PAYG has cycle has changed & they must remit the PAYG tax to ATO within 7 days of each payrun. This means we currently have to make a manual payment for PAYG to the ATO each week, more if there there happens to be an extra pay run for some reason. Payroll software we use for other clients in the same sitiatuon has the functionality to include the PAYG payment with the ABA file for the payrun, which means everyting is automated.   12. Could we have the ability to update timesheets each payrun from and excel spreadsheet.
    This is so that admin staff can data enter timesheet information without necessarily having access to the payroll system. This is also in the case of Company's who do not want the Xero Me function.

    With improvements to XeroMe our intention is to make it simpler for employees to self enter this sort of information. 

    Is there a particular reason why you'd prefer not to use this function? Would be good to be able to share this back with our team or perhaps there's another idea I could be connecting you in with here

  14. Would be great if Xero could trigger an automated (email and/or text) reminder to the superannuation payment approver 10, 5 and one days out from the superannuation due date each quarter.

    A similar reminder feature already exists in XPM for Activity Statement Lodgements - reminders can be turned on.

    Xero also has the ability to automate reminders to Customers around bill payment.

    Xero has the email and SMS of the superannaution approver already on file.

  15. It would help if the list of emplyees were sorted in alphabet order, by Surname. Also, a BACS report that just shows the employee, amount to be paid, and the total at the bottom.

  16. We have a UK based client who have a presentational and functional currency in USD. There is no possibility of setting up this company correctly on Xero, as Xero only lets UK organisations use the base currency on GBP to link easily to taxonomy.

    It would be very helpful if this could be set up.

    Hi Jonathan, when you say presentational and functional currency is USD - does the organisation pay taxes in the US? If so it would be recommended that you pick US when setting up the org. 

    Alternatively, if US is one of the currencies that the org regularly deals and transacts in but pays taxes in the UK it would be recommended that you select UK and the client is on an org that includes multi-currency in it's plan. 

    We appreciate customers would like to see more capability with currency in Xero - most recently we have added the ability to run the newer Profit & Loss, Balance Sheet and Budget Variance reports in other currencies an org uses.  

  17. Currently we can send invoices using eInvoicing through the PEPPOL network, however we can't send credit notes for any changes to these invoices. It would be good if credit notes (or at least negative invoices) would be enabled in Xero so any invoice changes could also be sent through the eInvoice system.

  19. We want to give access to reporting to one of our managers however we don't want them to be able to view all payroll information. Therefore I am looking for a function that can give access to all of Xero except anything to do with payroll so all nominal codes to do with wages would need to be invisible etc. Journals would another thing that needs to be hidden.

    This is really useful to know, thanks Josh - Though we don't have immediate plans for change around this, we really appreciate you sharing the detail of how you'd see this permissions working best for you. We'll keep an eye across this one here, and let you know if there are any updates.

  20. Invoice - Be able to have Xero automatically create a credit note if an invoice is negative. Show the invoice as paid in full and generate a credit note for the remainder. The credit can then be applied normally to other invoices on the customer account.

    Hi Darren, returning to your idea here we have released a change within new invoicing that'll suggest and enable you to create an Overpayment for any amount that exceeds the total of the invoice. Saving you the time of having to create this transaction separately. See more in my update on this idea. 🙂
