  1. I want our employees to receive an automatic email when their leave balance is above a certain level, separate to their payslip. The email will be a prompt advising them of their leave balance and our company policy regarding taking leave. I'd anticipate the email workflow would be triggered once each payroll period, when it is completed, based on a conditional logic such as 'if balance is greater than X, this email is generated for Employee A'.

  2. Workers Comp pay item leave accrual idea.

    There is an option to "Accrue Leave for this Earnings Rate" when setting up the WC pay item.

    What would be good is the option to accrue for AL or PL separately as this alters according to state law eg in WA, AL is accrued but not PL on WC payments.

  3. Allow us to turn off the pop up that shows when posting a pay run. I don't need reminders to pay the employees and file the pay run especially when I do payroll for 20+clients.

  4. Is it possible to change the annual leave or personal leave displayed on the payroll activity details report to be the actually leave dates that the employee has taken. Currently the dates next to the annual leave or personal leave line is the pay date (which for reporting purposes is misleading as the employee didn't have leave on these dates).

  5. When running employee leave transaction reports, it would be good for this report to also include employee unpaid leave, as presently this option is not available. The only way to run an unpaid leave report is to run a leave request report, export and edit as required. We have to submit reports to the ADMS for our apprentice claims, and a report including all leave is required.

  6. Please give us the option to make Tracking Groups a mandatory selection on the Employee tab before Xero users can save a new employee. This will stop users from setting up new employees & forgetting to assign the Employee Group tracking group which results in misreporting

    Hi team, while we appreciate your feedback and why you'd like to make this field mandatory not all businesses use tracking for payroll. We want to be upfront that we don't have any plans for making the employee groups field mandatory.

  7. We need to be able to account for annual leave transactions in the general ledger but Xero does not currently facilitate this. Is there any chance that an update will be done which will allow this? I know that this has already been raised but it is baffling as to why a basic payroll/GL integration is lacking.

  8. Currently Xero does not assign annual leave and public holiday to a project/job as timesheet doesn't have this function.
    Superannuation generates from payroll (pay run) , however, there is no place to allocate superannuation to different projects/jobs as well.

  9. Add an additional pay frequency of 4-4-5 which is a very common pay frequency in the UK for service based businesses with hourly payrolls. Payroll is process in 4 week, 4 week and 5 week intervals over a year meaning essentially 4 x quarters of 13 weeks.

  10. A report that shows current annual leave hours, plus leave available to take in advance hours for each employee. It's very time consuming to have to calculate leave if you want to give an employee leave in advance. Using the "show leave available to take in advance" option in the employee set up tends to give the wrong balances on the employee payslip which leads to confusion.

    Thanks for raising this idea about the setup of Salary Sacrifice in NZ Payroll.

    We can certainly see how having both the salary sacrifice and employer contribution fields available for input at the same time could be confusing and potentially lead to errors. Your feedback on making the process and its rules clearer is valuable.

  12. Flag duplicate leave entries on the same day
    We are extracting leave data through API to manage resourcing including leave booked. We have a few cases of employees with duplicate leave on the same day entered and approved in error. It would be great to see a flag or warning pop up to approvers and payroll admins where more than a standard number of hours leave is applied to a given day. The number of hours comprising a working day could ideally be set for each employee.

  14. Will it be possible to have "description field" in the Deduction field of the Pay template? That can be changed or updated directly on the pay template. For example, to add the ending date for staff loan deductions.

  15. Xero defaults to full pay period hours for a new employee in the 1st payrun even if the employee start date (already entered into Xero) is part-way through a payrun. This doesn't make sense and is too easy to overpay a new employee in this way, if a manual override has not been done. Ideally, Xero would calculate the expected hours for a salaried employee based on the start date, but another idea would be to flash up a warning before finalising a payrun with employees that have a start date listed within the pay run period.

  17. From the moment you post a payrun, and this can be 1 day or 10 days before payment is made, employees have access to their payslips. To pull an ABA from the payrun, you need to post the payrun first. I process payroll for over 30 business's. Part of that process, as I am sure it is for any agent or employee bookkeeper, you generally need to get an approval (even the filing for STP makes you verify that an authorised person has checked it). This approval is an email to the client with the payroll information (including ABA file)…

  20. A number of my client are service businesses and as such all of the payroll costs should be posted either to a Cost of Sale account for Operational staff or Overhead for support staff. I can achieve this for all costs except for Employer NIC cost, which has to be manually moved. It would be beneficial if the NIC could go to an NIC GL dependent upon the type of basic pay chosen.
